Spitfire Roles

2 Security Basics Roles provide two functions
Security for Spitfire users (Contacts with a Spitfire login) Project Team Responsibility Include on Routing for Project Documents (contacts with SF Docs routed to them by ) - can also include: Access to Project Documents (Contacts with a Spitfire login)

3 Security: Out of the Box Roles
Everyone Role for Spitfire Users Provides minimum access for a Spitfire user Access to Home Dashboard with Inbox and Alerts Project Manager Full Access to Project Data including Approval for Project documents on assigned Projects Project Staff Limited Access to Project Data on assigned Projects – no Approvals Plan Room Visitor Access Limited to Plan Room Only Senior Executive Access to all Projects System Admin Full Access to all projects and all admin functions Roles for Routing only Architect Owner Important Note !! Add roles as required Add / Edit access as required

5 Roles – Conditions Conditions designate how a role can be assigned
By Project: (e.g., Project Manager GC003) By Doc Type: (e.g., Accounting Pay Applications) By Reference: (e.g., Engineer: Plumbing) Subordinate Role (designates a role that can be included into a User’s Primary Role) Conditions Optional designate if the Condition must be applied Project Assistant (unassigned) no access Project Assistant GC access to this project Project Assistant includes all projects

6 “New” documents are auto populated with the Project ID
Project-level roles Assigned Project by Project (e.g. Project Manager) - or - Assigned to all Projects (e.g. Senior Executive) Can include Full or Limited Access to specific Project Parts Full or Limited Access to specific Project Documents “New” documents are auto populated with the Project ID

7 Assigning Roles – Contacts Dashboard
Typical Spitfire Project User Everyone role automatically assigned when user is assigned a Login name and password Select Role from Additional Roles in the right column to assign the role to the User’s Role(s) in the left column To assign the Role at the Project Level, click the copy icon (notice that the Option selections (Project, Doc Type, Reference) appear below) and select the appropriate Project below Repeat the copy and select process to assign the role to additional projects

8 Assigning Roles – Project Team
Typical Spitfire User – Project Level Click the Add icon to add a new Team Contacts row Use the Lookup – or Autocomplete feature – to select your new Team Member Use the Lookup in the Role column to select the appropriate role for this new Team Member on this project Note: Only roles assigned to this contact by the System Admin are available in the Lookup.

9 Assigning Roles – Default Responsibility
The first role assigned to a contact becomes that contact’s Default Role (Project Responsibility) and will be the default when adding a contact to the Project Team The Default Responsibility can be edited on the Connections tab Signifies the default role

Spitfire Documents without a Project ID (e.g. Bids, Tasks, Vendor, Customer) Catalog Reports Executive Dashboard Contacts Dashboard Admin Functions System Admin Dashboard and Manager Dashboard Roles Templates UI Configuration and Code Maintenance Compliance Predefined Routes
