Co-op Industrial Experience Option (INEX) Formal Admission Information Session In-Person -My name is Stefanie Corona and I am the Coordinator of Student Learning and Professional Development and Industrial Experience Graduate Programs at the Institute for Co-operative Education. I’m looking forward to sharing information about the Industrial Experience option (INEX) for undergraduate and graduate students. I have been an active member of the Industrial Experience team for several years. Tuesday, September 11, 2018 1:00-3:30 p.m.

3 *Overview* -Will provide an overview of INEX including the benefits, work term criteria, admission types, eligibility and policies, application forms, deadline and policies, international student policies, fees and additional resources. -This session is open to both undergraduate and graduate students.

4 INEX To add value to your academic program, the Faculty of Engineering and Computer Science (ENCS) in collaboration with Co-op offers you an opportunity to gain practical experience in a field relevant to your program of study Available in all Engineering and Computer Science undergraduate programs and course-based (non-thesis) graduate programs excluding Aerospace Engineering Securing a work term is not guaranteed -In 2017, we made significant changes to the eligibility requirements, policies and application procedures. If you have visited our website in the past and/or talked to friends about INEX, please make sure you have accurate information by reviewing the updated content on our website. -If you are in a thesis graduate program then INEX is not an option for you.

5 INEX versus Co-op Functions like regular Co-op programs with several exceptions: It has a different application process Graduate students obtain 9 academic credits once all work term academic requirements are completed satisfactorily

8 Admission Types Formal Admission: You are formally accepted in the Fall 2018 semester and secure a work term through Co-op i.e. you complete the Career Fundamentals webinars, in-person Work Term Prep Seminar and apply to jobs on COMPASS (our internal database). Deadline to apply for a work term in Summer 2019, Fall 2019 or Winter 2020 is Sunday, September 30, 2018 at 11:45 p.m. Retroactive Admission: You are not formally accepted in the Fall 2018 semester but secure a work term through your own job search. Deadlines to apply for a work term in Summer 2019, Fall 2019 or Winter 2020 are To Be Determined (TBD). -Not all students who apply will be accepted. -Webinars will be offered after the formal admission application deadline specifically focusing on the retroactive admission process. We will not be covering this in today’s webinar.

11 Work Term Criteria Paid Minimum 35 hours a week 12 to 17 weeks
If you are currently working at the company, the internship must be with a different department and supervisor You cannot be supervised by a family member. A graduate student must be supervised by an experienced engineer or computer scientist during the work term. The internship must be in an office setting with a physical address (remote/virtual/home-based company opportunities are not approved)

Are registered in an undergraduate program in ENCS Aerospace Engineering Building Engineering Civil Engineering Computer Engineering Electrical Engineering Industrial Engineering Mechanical Engineering Software Engineering Computer Science

14 Eligibility Have completed 1 year of study (i.e. 2nd and 3rd year students) Have and maintain a minimum cumulative GPA of 2.5 throughout the time you are enrolled in INEX Satisfy the Writing Skills Requirement by either passing the Engineering Writing Test or by completing ENCS 272 with a grade of C- or better Are proficient in either English or French. If you are weak in French you must be willing to do your work term outside of the province of Quebec. -If you do not have the minimum cumulative GPA of 2.5 then do not apply.

15 Policies You cannot take a leave of absence prior to the work term
You may complete 1 work term only You cannot schedule a work term during your capstone project If you wish to take a course during the work term, it must be approved by your Co-op Academic Director, work term supervisor and your Program Coordinator must be informed You will be enrolled by the Co-op office in the Work Term and Reflective Learning courses during the work term and must complete the respective academic requirements -If you have any account restrictions, this will prevent us from registering you in the Work Term and Reflective Learning courses.

16 Policies You can end your degree on a work term, as long as you attend convocation in the following semester (ex. students completing their degree requirements while on a work term in Fall 2018 must apply to graduate before Tuesday, January 15, 2019 to attend convocation in Spring 2019) The Co-op office does not provide advising on academic matters. It is your responsibility for knowing the rules, regulations, policies and deadlines in the undergraduate calendar. The Co-op office is not responsible should you encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.

19 Eligibility Have completed a minimum of 8 credits before the work term begins Are enrolled as a full-time student in the semester before the work term Have and maintain a minimum cumulative GPA of 3.4 throughout your time enrolled in INEX Are proficient in either English or French. If you are weak in French you must be willing to do your work term outside of the province of Quebec. -If you do not have the minimum cumulative GPA of 3.4 then do not apply.

23 Application Complete the respective application form by Sunday, September 30, 2018 at 11:45 p.m. Incomplete/late/ submissions will not be considered. You will not be able to modify your application after you have submitted it. We recognize that students eagerly anticipate the release of their decision and would like to know as soon as possible. All admission decisions (accepted or not accepted) will be sent via . As we receive record numbers of applications, we are unfortunately unable to reply to individual s regarding the status of an application. Please allow a minimum of 10 business days AFTER THE APPLICATION DEADLINE for the Co-op office to process your application. -Application is now completed online. No hard copies will be accepted at the Co-op office or via . There is no need to send any documentation whatsoever via ex. transcript or résumé. These s will be deleted. Focus on answering the questions on the application form carefully. -Make sure to review your responses very carefully prior to hitting the final submit button. You cannot re-apply or ask for your application to be deleted.

24 Application Forms -There is a separate application for undergraduate and graduate students. -Application forms will be posted on the INEX webpage as of Wednesday, September 5. Do not send an about this. -Undergraduate application has 16 questions about background information, academic qualifications, language skills and willingness to relocate, which semester you are choosing to do your work term in, academic, professional and volunteer experience. -Graduate application has 14 questions about background information, academic qualifications, language skills and willingness to relocate, which semester you are choosing to do your work term in, academic and professional experience.

-If you are not proficient in French, you must be willing to relocate. This is one of the criteria that the admissions committee will be looking at very carefully. If you indicate that you are willing to relocate, this means that you must accept an offer ex. in Laval, Mirabel, South Shore or out of province. This is where many engineering and computer science industries are located. If you indicate that you are willing to relocate but then are opposed to this later on in the Co-op process, you will meet with the Director.

34 Your INEX Journey Participate in Career Fundamentals webinars via Adobe Connect and in-person Work Term Prep Seminar Fall Apply to postings via COMPASS and through your own search, go on interviews and secure work term by deadline Winter Work full-time, complete Work Term and Reflective Learning or ENCS course requirements Summer -If you are accepted into INEX, here is a high level overview of what the next few semesters will look like. After being accepted, you will receive detailed information about all the mandatory requirements. -We anticipate that the majority of students will likely select Summer 2019 for their work term on the application form. If you select Fall 2019 or Winter 2020 for your work term, your journey will be slightly different which we will map out once you have been accepted. -Career Fundamentals is a series of mandatory webinars managed by the Student Learning and Professional Development team (Job Search, Résumé, Cover Letter and Interview Skills). Work Term Prep is managed by the ENCS Program Coordinators and is an in-person session. -COMPASS is the internal database that students, staff, faculty members and employers use. The job bank contains postings from all the top employers in Montreal and is exclusive to Co-op and Industrial Experience students. -You must be physically situated in Montreal in the semester prior to your work term in order to attend interviews at the Co-op office and on-site with employers (i.e. cannot be on exchange or travel). -The Work Term and Reflective Learning courses for undergraduate students are Pass/Fail courses that are not for credit and do not count towards your GPA. Work Term course requirements include submitting a work term report which is assessed by your respective program Academic Director (an ENCS faculty member) as well as an employer evaluation form. Reflective Learning course requirements include contributing to discussion forums on Moodle about workplace topics. The requirements will be explained in detail once you have been accepted into the option. -ENCS 6931 is a Pass/Fail course for graduate students administered by ENCS and managed by Co-op. It is worth 9 academic credits and does not count towards your GPA. There are several assignments throughout the work term including an objectives proposal, monthly progress reports, a final paper (approximately 50 pages) and presentation. The requirements will be explained in detail once you have been accepted into the option. Fall

May have the opportunity to be retroactively admitted if you secure a work term through your own job search which meets our work term criteria and satisfy eligibility requirements. 36 International Student Policies
You must obtain a valid Co-op work permit through Citizenship & Immigration Canada. For more information, visit the Government of Canada website. You should consult the International Students Office with any questions -The Co-op work permit will be explained in detail once you have been accepted.

37 Fees Obliged to pay Co-op fees in addition to regular tuition and fees
Non-refundable Fees will begin upon admission and the last fee will be charged during the work term Undergraduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $740 plus Reflective Learning course) Graduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $740 plus ENCS 6931 course) -New fee structure for students admitted as of Fall The fee structure is subject to change without notice. -This is to cover in part the administrative costs particular to Co-op.
