4 Your Student Account Your student account is available ONLY on Quest.
Student Centre>Finances>Account Inquiry Check your account weekly to be sure you don’t miss updates. Check your UWaterloo inbox for news about your account. The University does not send out invoices, receipts or statements of your student account. Please don’t make payments to your student account for anything else Fees are recalculated nightly so it will reflect any changes you made eg dropping a course Check your student financial account on Quest frequently for updates; We send all our communication about your student account to your uwaterloo – so check it Parents – we cannot communicate with you about your child’s account, even if you pay the fees, need explicit permission to do so

5 Find your bill on Quest Everything is available online - Log in to Quest – Finances section; There, you will find charges for tuition, incidentals, residence & meal plan only

7 Account Details To obtain a statement of your student account displaying the University of Waterloo logo, Here you see total charges payments received anticipated aid – OSAP and U Waterloo scholarships, bursaries & tuition benefit Click the yellow rectangular my Bill button at the bottom of your financial account details page.  This is handy if you need to share with others

9 Proof of enrolment RESPs
If you need proof of enrolment or forms signed for RESP purposes, please contact the Registrar’s Office. If you need proof of enrolment say for RESPs that service is provided by the Registrar’s office, not SFS, even though it sounds financial in nature RESPs

10 Your Tax Receipts Tax receipts are available on Quest in February each year. Another self-serve feature is your tax receipts Tax receipts – available in February each year for academic terms in the previous year;

11 Your Privacy Privacy legislation says that we can’t discuss your account details with ANYONE without your authorization. Privacy legislation restricts us from communicating with anyone unless they are approved University personnel and the student themself Permission to share financial information about your student account can be sent by the student to

12 YOU are responsible for your student account!
IMPORTANT Students YOU are responsible for communicating student account information and fee payment instructions to anyone who requires that information in order to assist with payment of fees.

13 Pay your Term Balance in full
“Fees Arranged” Pay your Term Balance in full Use the Promissory Note to defer payment of amount equal to Anticipated Aid OR There is a difference between being enrolled and registered Enrolled means you’ve chosen your courses Registered means you are fees arranged for those courses Fees arranged – very important to understand this Means you have shown us how you intend to pay your bill for the term The entire balance on your student account must be covered by 1. payment in full or 2. a Promissory Note with proof of approved financial aid and payment of any balance remaining

14 How to Make Your Payments
Bank payments Online banking, ATM, teller (use student ID # as account #) Certified cheque, money order or bank draft from a Canadian or US bank Western Union GlobalPay transfer, CIBC International Student Payment NO credit cards, cash, debit, Interac transfers NO instalment payment plans So how to make your payments The preferred method is a bank payment – it is fast, secure, verifiable, cost-effective; from a Canadian bank; You can use online banking, An ATM, Or a teller The payee is the University of Waterloo and the account is your student ID The other option is a certified cheque, money order, bank draft – the student’s name and ID must be printed on the back Another option is Western Union GlobalPay transfer – international; or CIBC International which is convenient as you transaction is your domestic currency. No international bank drafts please No personal cheques, credit cards, cash, debit or Interac transfers No instalment payment plans

15 What is a Promissory Note?
Commitment that indicates that you have funding coming during the term to pay your fees Allows you to defer part of your payment until your financial aid is available Promissory note is always required if you are not paying your term balance in full, even if you are fully funded, you have to do one. It indicates that you have funding coming to pay the your fees. It allows you to defer the payment until the OSAP, bursary, scholarship etc is available.

16 Your Bill Going back to the Bill There is a term balance
And there is Anticipated Aid Key word – ANTICIPATED, NOT APPLIED In this example, the student can pay $1, on their account and the promissory note process online

18 What kinds of funding may be used on a Promissory Note?
Waterloo scholarships External scholarships payable to Waterloo Waterloo tuition benefits Third-party sponsorships (approved) GRS, RAs, or TAs (grads only) Canadian government student loans (eg OSAP) Seniors’ bursaries Be sure to familiarize yourself with what can be used on a promissory note Briefly If you have Anticipated Aid through SAFA office– no need to upload proof of funding showing; scholarships, bursaries, tuition benefit, OSAP If you have additional aid that the university is not aware of then Additional proof is required – External scholarships; Approved third-party sponsor letter; Provincial govt student loans Bank pmt for remaining balance owing; Our website has detailed information about what kind of documentation is required as proof of each type of funding

19 You CANNOT use a Promissory Note for these types of funding:
RESP funding External scholarships payable to you Employment income Third-party sponsorships (not approved) Employer reimbursement Foreign government student loans International scholarships Again our website has useful information about what is not acceptable For most people new to this process, the most surprising is RESP funding If you do not have acceptable proof of the financial aid by the due date, you have to pay your fees in full by the due date to avoid Late Fees; We will talk about late fees later on

20 Find the Promissory Note on Quest
Now we will look at what’s involved in submitting a promissory note It’s quite simple, again It is online And there is the link in Quest Be sure to review the instructions on our website to complete the Promissory Note before getting started! On Quest

If you are doing it from your phone, this is what the screen will look like Bottom left is the check mark – promissory note

22 Step 1 – welcome page and first questions
If you are making a payment that covers the full balance – you do not need to submit the Pnote - Cancel If you are expecting financial aid - Click Next

23 Step 2 Shows the balance owing for the term Click Next

24 Step 3 – shows what type of aid we know of eg scholarships or OSAP
It shows the term And the amount Click Next

25 In Step 4, if you have additional financial aid you expect to receive, you can provide that proof as well

27 Payment receipt: If you have a made a bank payment for the balance then you provide that proof of payment here This is an example of a payment receipt

28 In this case , we have proof of an out-of-province student loan

30 You will receive confirmation that the document has been successfully attached
Click ok

31 If your remaining balance is not $0
If your remaining balance is not $0.00 you will not be able to continue without adding another source of funding There is a green button to add another source of funding Click Next

32 The final step is the financial commitment to which you agree
You should read through the terms and conditions and make sure you understand them Then click submit You will get a confirmation page that is date-time-stamped. If you don’t see this, then you are not finished and have not successfully completed the promissory note process. We recommend you keep a record of this confirmation.

33 What if you aren’t Fees Arranged?

34 If you’re not Fees Arranged…
You will not receive your scholarships/bursaries Your access to course material on LEARN will be delayed You will not receive government student loan funding (OSAP) You are not “registered” for the term until your Registered Status indicates “Fees Arranged”. What does this mean … you cannot receive financial aid like OSAP, scholarships or bursaries, or have tuition benefit applied. Students who are not "Fees Arranged" by the Fee Arrangement deadline also risk the following: Your courses will be dropped from your schedule You will not have access to LEARN You will not receive credit for your courses

35 Check your status on Quest
Now that you have submitted your promissory note, you will become fees arranged however, it takes approx. 48 hours You can check your Account Summary on Quest; under Registration Status You will notice your registration status change from Enrol Request to Fees Arranged

36 FEDS Health/Dental Plan
“FedofStdnts-Administered Fees” Details at We often get questions about the FEDS health and dental plan It is a bundled in the Fed of Students Administered Fee If you have coverage under another plan, you may opt out This can happen during Change of Coverage period in September – check our website - there is a 3 week window in which you can make changes Refunds are processed by Studentcare – not SFS, but we are mentioning it here because it is a common question For those of you in Co-op, your account is charged every academic term

37 Avoid a Late Fee Fall 2018 due date is August 22, 2018
Bookmark the due dates schedule: services/about-your-student-account/due-dates-and-late-fees You want to avoid the late fee? …. then make you arrangements Fall 2018 due date is August 22 ie we need full payment or a promissory note submitted There are no extensions to this date Late fees are not waived No exceptions The late fee schedule is available online so familiarize yourself with it and other due dates and deadlines

41 Undergraduate Scholarships/Awards
Internal Scholarships/Awards External Scholarships/Awards SAFA manages hundreds of undergraduate scholarships and awards for students. This includes the entrance and upper year scholarships. Scholarships are generally merit based and awards may blend merit with other criteria Many of you have already been awarded with an entrance scholarship and this will show on your Quest account under “Anticipated Aid” which you can use to pay your fall fees with the Promissory Note process as Loron explained Once you are on campus, there are many other scholarships/awards that students can apply for. You can search for these opportunities on our website. The full details about each award (criteria, application process, deadline) are also listed on our website uwaterloo.ca/student-awards-financial-aid/undergraduate-awards

42 OSAP and other Provincial Student Aid
If you haven’t already applied for OSAP or your province’s student aid program, please do so right away! osap.gov.on.ca uwaterloo.ca/student-awards-financial-aid/oop-loans IMPORTANT The Ontario Student Assistance Program provides eligible students with assistance based on financial need. With one application you are applying for multiple loans and grants If you are applying for/receiving OSAP our office is the main point of contact for you. If you have not yet applied for OSAP please do so as soon as possible to avoid any funding delays.

43 OSAP Estimate Visit ontario.ca/osap to find out how much you could get in OSAP loans and grants. There is an online tool to estimate how much funding you could be eligible for on the Ministry website listed above. <> This is a good starting point right now for those that want to start creating a budget and see quickly how much you might expect in OSAP funding.

44 OSAP Supporting Documents
Upload or mail any required signature pages and supporting documents to us If you have applied but have not yet submitted paperwork you can drop off, mail or upload the required documentation as soon as possible. If you come into our office to inquire about your OSAP account, make sure you have government photo ID and a copy of your SIN card If your parent would like to contact our office to discuss your application, we can talk specifics if you have given your parent “Freedom of Information” permission on your application. If you have not done so, we can only speak in generalities with your parent and will only release full details and specifics to you, the student.

45 OSAP Reviews & Appeals Review the application information you submitted through the OSAP website – is it accurate? Check out our website for common review/appeal forms. Make an appointment with a Financial Aid Counsellor. Your OSAP assessment is based on the information you originally provided when you completed your application - sometimes this information may not be accurate. If you are concerned your OSAP assessment is not be accurate, please contact our office to discuss. There are many OSAP appeals/reviews and the most common ones are listed on our website with information about the documentation that is required. Lower Estimated Income for parents, Living Away from home for those of you who live within 30km of Waterloo and are choosing to live in residence If you contact our office, our staff are available to assist you with understanding your assessment and if needed, they can arrange an appt with a Financial Aid Counsellor If changes happen throughout the year (e.g. start a part-time job, drop a course) you are required to update your OSAP application with these changes. There is an update form available on our website or in our office to let us know about these changes

46 How OSAP funding is released
Submit any required documentation early Complete a promissory note by the deadline Aug. 22, 2018 Check that your course load and/or program on Quest matches your OSAP account Our office uses an electronic process to confirm your enrolment starting at the beginning of each term. 47 Using OSAP to pay your Fees
OSAP funds will be sent directly to the University to pay fees owing Any remaining funding will be deposited to your bank account. Once we have confirmed your enrolment, OSAP funds are sent directly to the University to pay your outstanding fees each term. Any remaining OSAP funding will be directly deposited to the student’s bank account.

48 Criteria for Undergraduate Bursaries
You must apply for OSAP or other provincial government assistance. Bursaries are based on financial need, not academic merit. Bursaries are based primarily on financial need and are meant to supplement, not replace, students’ primary sources of funding such as OSAP, employment income, and parental contributions. You must have applied for OSAP or government assistance from another province to be eligible. Some of you have already received Entrance Bursaries. These funds will show on your student account as anticipated aid - these funds may be applied toward your student fees which Loron addressed during her presentation. If you did not receive an Entrance Bursary, or if after preparing an updated school budget you still have a short fall, you may still be eligible to receive additional bursary funding. Bursaries are provided by donors as well as the University and are based on how we define a student’s unmet financial need in accordance with Ontario’s Student Access Guarantee Guidelines. Bursaries are intended to supplement, not replace, government and family resources

50 Work Study Program Recipients of OSAP and out-of-province financial assistance programs Work part-time on campus while you study full-time View jobs and apply via our website starting the end of August The work study program provides part-time jobs on campus for full-time students who require assistance to cover their educational related costs The Work study program can help you supplement your income during your study/school term A variety of on-campus part time jobs are offered to students You may earn a maximum of $ per term, earnings must be declared to OSAP/ OOP You can view all these jobs and apply on line – check it out near the end of August when positions for the Fall term will be posted

51 More On-Campus Job Opportunities
Co-op and Career Services, Tatham Centre Student Federation, Student Life Centre Libraries Athletics, Physical Activities Complex Office of Development and Alumni Affairs many departments on campus offer part-time casual positions to students No special eligibility requirements for these jobs, just fill in applications Some have paper applications, some you may apply on the web This is not an exhaustive list, ask around and check student publications for other opportunities
