3 Email Domain Matching for Contracts
Enabling and managing domain matching rules is performed from the SAMT Lock/Unlock screen. To enable domain matching for contracts, click on the “Using Contract Number” sub-tab. The list of all contracts you manage, and their current Domain Matching status, is displayed in the table. By default, Domain Matching is not enabled, and will remain so until you add rules for the contract. To establish Domain Matching rules for a contract click “Add.” Even though the Domain Matching capability is accessed from the Lock/Unlock tab, it is separate from the Lock/Unlock setting. Locking a Contract number will override any Domain Matching settings; If a Contract is locked, requests will be routed to the SAMT Admin for review regardless of the domain settings. The top of the Contract Domain Settings page displays key contract attributes that affect how the function is used. If the contract is locked, all requests would still be routed to the SAMT Admin for review, regardless of the domain settings. To enter or edit the domain settings for the contract, select “Enable.” After making your changes, you can leave the settings enabled or change the value to “Disable”. If you change the value to “Disable,” the changes will still be saved, but they will not be applied to new requests. Click to continue

There are two versions of the Contract Domain Settings screen: For Cisco-branded contracts, whether purchased directly from Cisco or through a Partner, the screen displays one set of domain matching rules used to grant “Full Support” access. For partner-branded contracts enabled for Partner Software Delivery (PSD), the screen displays two sets of domain matching rules. One set applies to partner users who have “Full Support” access, and a separate set for end customer users who are granted “Software Download Only” access. If you want to automatically approve contract association requests for users who work for the company, check the box and enter the company’s domain(s). You should only do this if you do not need to provide differentiated access, and want to allow all of the company’s people to have access to the services on the contract. @Mycompany.co.uk Click to continue

There could be additional company domains that you may want to enable for automatic approval, such as those belonging to a recent acquisition. You can use the ‘Suggested domains for this Contract’ to display a list of domains of users already associated to the contract. SAMT displays a summarized list of the domains of all existing users currently associated with the contract. Note that public domains are displayed, but are not selectable. If you see any domains that you do not recognize, this may be an indication of a user who has changed companies, and who therefore should no longer be associated to your company’s contract. You may have a contract where the company name on the Bill-to or Install-at site may not necessarily reflect the actual entitled company name. In those situations, a comparison of the contract’s entitled company name to a requestor’s own company name would always result in a mismatch, requiring your manual review. If you know that legitimate users’ company name will not match the entitled company name on the contract, you can use domain matching to override a company name mismatch and automate request approvals to avoid further review. @Mycompany.com, Note: If you do not select the override, and the user’s company name does not match an entitled company name on the contract, the request will still require your manual review even if the domains match. If you want to require requestors to have a known address, but you still want to review each request because only certain people at the company should have access to the contract, check this box and enter the domain(s). If this box is checked – even if no domains are entered – any request from a user with any other domain will be denied, saving you the effort of having to manually review and deny them. Take care to ensure you enter all domains associated to the companies on the contract, as anything that is not entered in either the AUTO APPROVE list or the REVIEW list will automatically be denied, which could delay delivery of service and create customer satisfaction issues. @Mycompany.com, Click to continue

Most partners and customers have their own corporate or organizational domains, and Cisco recommends their use in all user profiles. However, some individuals may not have, or may be unable to use, a corporate address. Therefore, Cisco cannot prevent users from having a public domain in their Cisco account profile, but you can prevent those users from requesting access to your contract. Select this checkbox if you want to automatically deny requests from users with a public domain. If you enable this option, any request from a user with a public domain will be automatically denied. The user will be immediately informed of the denial, and instructed that they must update their Cisco account profile with a valid corporate address before resubmitting the request. When you have completed your entries, you have two options before saving your changes: Enable validations: If you leave the drop-down value as “Enable,” the settings take effect immediately upon saving. Disable validations: If you change the drop-down value to “Disable,” the settings you have entered will be saved, but will not be enforced upon saving. (You may want to do this in order to stop unnecessary and disruptive denials while you review the settings with your peer administrators, then come back later to Enable them.) As stated earlier, partner-branded contracts that enable Partner Software Delivery (PSD) have separate domain matching rules for partner users and customer users. Click to continue

As stated earlier, partner-branded contracts that enable Partner Software Delivery (PSD) have separate sets of domain matching rules for partner users and for customer users. The first set of domain matching rules applies to Partner users, who would receive “Full Support” access to the PSD-enabled contract. Customer domain settings Partner domain settings The second set of domain matching rules applies to Customer users, who would receive “Software Download Only” access to the PSD-enabled contract. All other domain matching functionality for partner-branded PSD-enabled contracts is the same as for Cisco-branded contracts. Click to continue

Regardless of contract type, after saving your changes, you will be returned to the Lock/Unlock contract list, where you will see any enablement changes displayed. If you had chosen to Enable the settings, the “ Domain Matching Enabled” column will display “Yes,” with an “Edit” link for making later changes. If you had chosen to Disable the settings, the “ Domain Matching Enabled” column will display “No,” with an “Edit” link for making later changes. Click to continue

If you later want to simply enable or disable existing Domain Matching settings, without making other edits, you can so directly from the list screen. To Enable or Disable the settings for a single Contract, you can enter the Contract into the text box and then Select an Action from the drop down menu at the top of the page. To Enable or Disable the settings for multiple Contracts at once, you can check the boxes to select the Contracts, then Select an Action from the drop down menu at the bottom of the page. As a SAMT Admin you can also perform bulk downloads and uploads of domain matching rules. This can be especially useful if you administer large numbers of BIDs and contracts as you may find it easier to create, edit and enable domain matching rules in a spreadsheet, outside of SAMT. You can either download a blank template file, or download a file containing existing settings. You can then edit the file before uploading any changes. Click to continue

If you choose to Download Existing Settings file, you will select specific contracts to be included in the file. You also have the option to include the domain recommendations in the file. You can then edit/copy those values from the “recommendations” column into the appropriate “domains” column. After making changes, the file can then be used for Batch Upload. Click to continue

After making changes to the download file, you can upload the file for processing. If the upload file contains multiple rows for the same contract, only the values from the first row will be saved. The file will be processed offline, and you will be notified when the job completes. A batch upload report is also automatically generated, containing the appropriate success/failure messages.
