3 Concept Fiera Fiesta is an amalgamation of Annual Alumni Meet, Industrial Fair & Inter-College Cultural Fest, Organized every year by MBA-PS Department of IISWBM.

4 Objective Setting up a clear event goal – Designing a checklist of things to do along with a timeline of when each items needs to be done. Making the event meaningful for Alumni - By organizing discussion on pertinent topic and activities for alumni to participate. Design for higher attendance – Designing the program to overcome any excuses for refusing our invitation. Target diverse age groups - Engaging the event for everyone by considering the perspective of each age group and making all group comfortable. Stress free networking opportunity - By promoting activities to open social mingling and foster mutual connections.

8 Alumni Interaction & Call Support
Team Leader - Avishek Bhattacherjee Members – Deepanjan Dhar, Gourab Bhattacharya, Mahabish Rabiya, Arunima Hazra, Koyel Das, Sulagna Sen, Deepayan Nayak, Arindam Mondal, Tania Mitra Thakur. Responsibility To Invite them politely over phone. Briefly illustrating the events via / e-brochure. Periodically reminding them through an template.

9 Tentative Interaction Chronology
3 months prior, calling them with respective departments stating the event date, time, program objectives, information about the event. 2 months prior, formal mailing & sending newsletter with event details, information about chief guests and Industrial people, any changes from first and list of alumni registered. 4 weeks prior, telephone campaign and reminder with exact date & time, follow up with key alumni for final push for attendance. 1 week prior, collaborating with transport team for receiving them if necessary and confirming them incase of any changes.

10 How we are planning to call them?
We will divide the alumnus department wise into 4 groups. Respective departmental students will call them initially with a proper script. Each conversation will be noted down to avoid any miscommunication between callers. 2 sim cards will be provided to each department for simultaneous calling. Callers will be the immediate contact persons for alumnus and in case of further details they might contact any conveners.

Responsibility Approaching companies by presenting the business aspects. Collecting items and food sponsorships for the events. Dealing with the sponsors without incurring any losses.

Inviting alumni and other colleges early so as to avoid overestimation. Maintaining vouchers for every team & monitoring every spending. Safe formulae is to underestimate attendance by 15-20% and overestimate expense by %.

14 Event Management Team Leader - Aishi Dasgupta
Members - Subhankar Koley, Achyut Chakraborty, Rajiv Ghosh, Sreetama Das, Snehasis Tapadar, Gourab Bhattacharya. Responsibility To organize the event according to planning & budget. Maintaining synchronization with other teams Organizing the events with innovation & relevance.

15 Tentative Events Day 1 Inaugural ceremony with a welcome song / speech by chief guest (from 11am to 11:30am + 15 mins). Panel Discussion with people from various industrial sectors (11:45am to 12:45pm + 15 mins). – “Snacks” Extempore competition / Tech talks. (1:30pm to 2:30pm) – “Lunch” + Treasure hunt game simultaneously. Intercambiar talks, between current students & Alumni regarding industrial scenario & placements (3pm to 4pm + 15 mins). Debate on Governmental policies / Industrial quiz (4:15pm to 5:15pm mins) – “Snacks”. Memory Lane, pictorial slideshow of each batch with background music and some rapid fire questions on their time in IISWBM (5:30pm to 6pm). Short Film, (6pm to 6:30pm) – The End

16 Continue.. Day 2 (Alumnus will present the prizes)
Sand Animation (11am to 11:30am + 15 mins). Ideacraft, Students from different colleges sharing their startup ideas in form of a seminar (11:45am to 12:30pm + 15 mins) – “Snacks” + Game 1 (Total 30 mins). Classical & Western Inter-college Dance competition (group & solo) (1:15pm to 2pm) – “Lunch (30 mins)” + Game 2 (Total 30 mins). Fashion carpet, ethnic fashion show and ramp walks (3pm to 3:45pm + 15 mins). Motivation Mantra, small speech from a young & successful entrepreneur of India (4pm to 4:30pm) + Game 3 (30 mins). Singing & Musical instrument competition (5pm to 5:45pm) – “Snacks” + 15 mins) Short Drama Competition (6pm to 6:30pm) DJ nights/ musical bands (6:45pm to 7:45pm) + 15 mins – “The End”

17 Printing & Press Team Leader - Sayam Chatterjee
Members – Debadrita Chatterjee, Abhishek Kar, Sohel Ahmed, Saheb Dasgupta, Partha Pratim Jana, Srishti Kumari, Saptarshi Samanta. Responsibility Collaborating with media management and Website team. Printing welcome and invitation brochures for the event. Printing advertisement banners and leaflets.

Responsibility Inviting colleges for attending our fest & participating in various events. Notifying them early and reminding them periodically. Sending pamphlets and event brochures with concrete details regarding the rules & registration fees if any.

Members - Dipankar Manna, Pratyusha Majumdar Rittik Das, Jagori Mani. Responsibility Developing a responsive website containing event details in brief. Collaborating with printing & press team & promotion team. Website must contain registration feature and payment gateway.

27 Media Management Team Leader – Arunima Hazra
Members – Pooja Dey, Abhishek Bhattacharya, Ipsita Ghosal, Soumava Banerjee, Subhadip Swarnakar, Chandramouli Dutta, Soumyajit Chatterjee. Responsibility Managing content of the event to be published. Creating regular publishing schedule. Creating various media links and working with promotion team to promote the events in relevant platforms.

Responsibility Promoting the event in social network platforms like Facebook, Onspon, Whatsapp, Twitter, Event blogs. Video promotion for Youtube viewers. Responsibility Working with sponsor team to interact with food sponsors. Deciding the luncheon, snacks and drinks that will be served during the event. Allocating foods on time without any mismanagement.

Members - Jagori Mani, Ayan Bandhopadhyay, Kishalay Bhattacharya, Soumyajit Chatterjee, Amrik Chatterjee, Trisen Mondal. Responsibility To photograph the entire event and guest of honors. To create a slideshow of the college and current infrastructure to be presented in front of the alumni.

Members – Subhadip Swarnakar, Ayan Bandopadhyay, Sourav Laha, Sourav Chanda, Sayan Gope, Bimal Saha, Souvik Ghosh, Subhankar Koley. Responsibility To arrange gift sponsorships for various competitive events. To choose relevant gifts for different competition and memento for chief guests, panelist & alumnus.

33 Games Management Team Leader - Arani Dutta
Members - Deepanjan Dhar, Rajiv Ghosh, Sourabh Choubey, Supratik Bhattacharya, Amrik Chatterjee, Snehasis Tapadar. Responsibility To organize interactive games with alumni and students. Working with Event team for proper scheduling of games in between cultural and talk events.

34 Lets Play Corporate Hangman – Word Guessing game
Mind Over Body – Participants have to throw a dart while answering questions. Corporate Roadies – 3 round game , 1st building an object with given materials, selling that object, completing the given task. Treasure Hunt – While one group member will give extempore the other members will have to find the object with clue.

35 Cultural Team Team Leader - Koustav Paul
Members - Ipsita Ghosal, Ananya Ray, Subhankar Koley, Arunima Hazra, Sristi Kumari, Saurav Chaubey, Dipan Paul, Jagori Mani, Amrita Kundu, Chandramouli Datta, Soumyajit Chatterjee Responsibility To work with Sponsor team & Event Management team to decide program slots and budgets for various cultural events To organize the events with a motive of increasing attendance of the fest.

38 Medical Team Team Leader - Amrita Kundu
Members – Rajiv Ghosh, Sreetama Das, Chandrima Nath, Ditiya Mukherjee, Tritiya Dey, Tania Mitra Thakur. Responsibility To create an emergency team in case of any stage accident. Keeping essential medicines and fast aid ready for guests, alumni and participants.

39 Floor Management Team Leader - Rishav Mondal
Members - Bimal Kumar Saha, Soumava Banerjee, Saheb Dasgupta, Abhiroop Sinha, Amrik Chatterjee, Ayan Bandopadhyay, Saptarshi Samanta, Subhadip Swarnakar, Kaushik Saha. Responsibility Managing floors for the purpose of keeping foods, rehearsals, Make up before events, keeping essential items, keeping guests. Booking Auditorium hall & Assembly hall, Student activity center for lunch & snacks and keeping continuous contact with AAO department.

40 On-stage Management Team Leader - Rittik Das
Members – Subhadip Swarnakar, Abhiroop Sinha, Avrajit Dey, Deepayan Nayak, Ankana Choudhury, Pulasthya Ray. Responsibility Coordinating the work of the stage crew & overseeing the entire show each time it is performed. Make sure props & furnishing are available for the events.

41 Guest Management Team Leader - Tritiya Dey
Members – Rajiv Ghosh, Tania Mitra Thakur, Koyel Das, Arunima Hazra, Ditiya Mukherjee, Pooja Dey, Koustav Paul, Supratik Bhattacharya, Kaushik Saha. Responsibility Taking care of participants from different colleges, Industrial people and judges. Conveying any requirement of guests to the respective team leaders or conveners. Collaborating strongly with Food management & Transport team.

42 Transport Team Team Leader - Ritam Dutta
Members - Subhadip Swarnakar, Abhiroop Sinha, Sulagna Sen, Inderjit Lal, Saptarshi Mukherjee. Responsibility To receive chief guests, Judges and Alumnus coming from outside kolkata. Also dropping them if necessary.

43 Security & Reception Team Leader - Soumyadeep Singha.
Members – Chandramouli Dutta, Deepanjan Dhar, Sayan Gope, Pooja Dey, Sreetama Das, Mehwish Rabiya, Tushar Kashyap, Sourav Tiwari, Gargi A Prasad, Ankana Choudhury. Responsibility To maintain order and harmony inside the campus during events. Welcome our guests with cards or flowers.

44 Volunteer Team Team Leader - Gargi A Prasad.
Members - Ankana Choudhury, Arpan Chakraborty, Kabikankan Biswas, Rahul Kumar Singh, Sayan Gope, Sourav Tiwari, Surabhi Gupta, Tushar Kashyap, Debadrita Chatterjee. Responsibility Venue Management, Decoration, Equipment testing. Moving items and foods between different location. Coordination with every groups on the festive day.

46 Conclusion In the above committees no one is an authority when it Comes to giving opinions or decision making. Everyone Has an equal right and responsibility to share their Ideas with every committee members in any meetings. The relation between the members should be highly Transparent so that members can reach out to each Other on any circumstances.
