1 Manager Self Service Terminations
Your guide to processing terminations online

2 Initiate and Submit a Termination
From your home screen in PeopleSoft, click on the Terminate Employee link.

3 Or navigate to: Main Menu > Manager Self Service > Job and Personal Information > Terminate Employee Click on the Terminate Employee link.

4 Click the Select button next to the name of the employee you wish to terminate.

5 Enter the employee’s Last Day at Work” date.
Click on the calendar link and choose appropriate date. Fill in the date field using mm/dd/yyyy format.

6 Click the drop down arrow on Termination Reason to open a box of Termination Reasons.
Select an appropriate Termination Reason from drop down list.

7 Adding Comments/Attachments
Click in the Request Comments box and add any required/necessary comments. Click the “Add Attachment” link to add any required or necessary attachments. Click the Submit button to route the termination request through workflow. Add comments here. Similar to Additional Information box on Job Data Change and Separation Form Add Attachment: Click Browse to navigate to where you have the document saved. Select that file and click on “Upload”. File name will be displayed in Attachments Box. Attachments are REQUIRED for Regular (Benefitted) Faculty and Staff. Examples: Written Letter of Resignation, Discharge letters, Reduction in Force notifications, etc. Click Submit: Termination request has been routed to HR to final approval. Supervisor’s portion of the termination is not complete UNLESS you need to Ad-hoc and additional Approver or Ren

8 Adding Reviewers/Approvers
You may add additional Reviewers and/or Approvers after the termination has been submitted. Adding a Reviewer A Reviewer is someone who has the need to know about the termination. Adding a Reviewer does not hold up the processing of the transaction. Reviewers can view comments only. They do not have the access to view any attachments. Adding an Approver An Approver is an individual with the authority to stop the actual termination. Will only be used in rare circumstances. Will delay the processing of the transaction until the person added approves it. Approvers have the access to view comments and attachments that have been attached to the termination.

9 IMPORTANT: If you wish to add an Ad hoc Reviewer and/or Approver, it must be done immediately AFTER you have submitted the termination. DO NOT leave the page until you have added everyone that you need to. Will not be able to add once you leave the page. To add an Ad hoc Reviewer or Approver, click the “Plus” sign near the bottom of the page.

If known, enter the User ID (generally firstname.lastname) of the person you want to add as a Reviewer or Approver. OR Click the magnifying glass to search for user by name.

11 Scroll through list of available names to make your selection.
OR Narrow the search by selecting “contains” from the drop down behind the Name field and typing in last name of person you are trying to Ad hoc . Click Search

12 Once you have selected the name it populates into the User ID field.
Select if that person needs to review or approve the transaction by checking the appropriate radio button. Click insert. cynthia.fetsch

13 You will be taken back to the Approve Employee Termination screen
You will be taken back to the Approve Employee Termination screen. You should now see the person you added. In this example the immediate supervisor initiated and approved the termination. HR will have to approve and ad hoc them back in Then it will be routed to the Approver that the supervisor added as an Ad-hoc. Then back to HR for the FINAL approval.

14 Ad hoc Approvers and Reviewers are provided with a link on the home page in HRMS to approve or review a transaction.

15 Termination Approve/Review
Once the termination has been initiated and submitted it goes through workflow (needs to be approved by the next level (s)). Supervisors can view where the termination is at in the approval (workflow) process; whether pending, approved or denied. Click in Termination Approve/Review link on your home page. You can also navigate: Main Menu > Manager Self Service > Job and Personal Information and then click on Termination Approve/Review.

16 Click on transaction to see where it is at in the workflow.
Pending: Pending workflow approvals. Approved: Approved by HR and is in PeopleSoft Denied: Denied by HR. Dept will have to re-submit Click the Workflow Status drop down box and select: Pending, Approved or Denied. Click on transaction to see where it is at in the workflow. If transaction was denied, it will have to be re-submitted.

17 To return to your search results, select the magnifying glass at the top and your Recent Search Results will appear in a box.

18 Manage Delegation Navigate to: Main Menu > Self Service > Manage Delegation

19 Click the Create Delegation Request.

20 Fill in the Delegation From Date and To Date by either clicking on the calendar link and choosing the date or fill in the fields using mm/dd/yyyy format. Open-ended delegations – leave To Date field blank. Click Next.

21 You may only see Employee Absence Balance. Disregard
You may only see Employee Absence Balance. Disregard. Other options are not being implemented at this time. You may delegate Initiate or Approve to one or two individuals. OR you may delegate Initiate and Approve to one individual. Once Proxy accepts delegation. They cannot delegate to anyone else. A Supervisor continues to have the ability to initiate and approve if they have delegated. Click Termination Initiate option if the proxy should have access to initiate a termination. Click Termination Approve option if the proxy should have access to approve terminations of employees who report to you.

22 You can also search proxy by name.
Employees that directly report to you will populate. Click on the radio button next to the individual that you will be selecting as a proxy and click next. You can also search proxy by name.

23 Search by last name, and/or first name. Click search.

24 Find and click the radio button next to the name of person you wish to give proxy rights.

25 Verify the delegation rights that you are giving are accurate. Submit

26 Review My Proxies Navigate to: Main Menu > Self Service > Manage Delegation

27 Click Show Requests by Status drop down arrow, make a selection and click Refresh.

28 List of delegations that you have authorized.
Supervisor may review, revoke to change proxy rights from this screen. To revoke, select the check box and click on Revoke. These are delegations that you have given to another employee to act on your be-half.

29 Review My Delegated Authorities
Navigate to: Main Menu > Self Service > Manage Delegation These are delegations that you have accepted to be a proxy. Click Review My Delegated Authorities link.

30 Click Show Requests by Status drop down arrow, make a selection and click Refresh.

31 Click Multiple Transactions and it will show you what your rights are/were.
