6 Set PowerPoint Options
Click Options PowerPoint Options provide a broad range of settings with which to customize the Ribbon to meet your needs. Many of the features in PowerPoint can be configured using these options. To access the options: Click File to display Backstage view. Select Options to open the PowerPoint Options dialog box. We will be examining some of the options in the next few slides. 7 Set PowerPoint Options
General User Interface Personalize The General options category includes the options that impact PowerPoint when you open it, such as setting interface options, personalization, and start-up options. The General options consists of these sections: User Interface options enable you to customize the screen display through which you communicate with the software. Personalize your copy of Microsoft Office enables you to specify your name in User name and Initials. Start up options enable you to choose whether you are notified if PowerPoint is not your default program for viewing and editing presentations, and whether the Start screen displays when PowerPoint starts. 8 Create Set PowerPoint Options
Proofing 1/2 to ½ 1st to 1st Proofing options enable you to change how PowerPoint corrects and formats your text. The AutoCorrect Options enable you to select or deselect check boxes to apply settings that make automatic changes, such as formatting text. The slide shows the Proofing options and the AutoCorrect dialog box with the AutoFormat As You Type tab displayed. As an example, note the settings to change 1/2 to ½ and 1st to 1st. 9 Set PowerPoint Options
Save Set AutoRecover interval PowerPoint Save options enable you to customize when and where your documents are saved. By default, PowerPoint saves your presentation every 10 minutes so that if PowerPoint closes unexpectedly and you did not have a chance to save, you can recover the presentation. All but the changes you made since the last time the AutoRecovery saved will be available to you the next time you open PowerPoint. Customize the Ribbon Ribbon customization Rearrange features Add a tab Change tab order Change group order Create a new group The Customize Ribbon tab in the PowerPoint Options dialog box enables you to create a personalized tab on the Ribbon as well as modify existing tab settings. Ribbon customization enables you to: Rearrange features on the standard Ribbon. Add a tab to include features that are not available on the standard Ribbon. Change the order of the tabs. This slide shows the possible Customize Ribbon options on the left, with the current arrangement of the Ribbon in the right pane. You can expand and collapse the views of tabs and groups by clicking the plus (+) or minus (–) sign displayed in front of a tab or group. To change the order of the existing tabs or groups, drag and drop a selected tab or group to a new position or use Move Up and Move Down. Handout master—design information about audience handouts Handout master controls Orientation Number of slides per page Layout of fields Header Footer To maintain a consistent, professional look throughout a presentation, you can modify the masters, which control the layouts, background designs, and color combinations for handouts, notes pages, and slides. By modifying the masters, you make changes that affect the entire slide show and supporting materials, which is more efficient than individually changing each slide in a presentation. The handout and notes masters control the printed output of slides, while the slide master controls the formatting and layout of the slides. The handout master contains the design information about the layout and formatting of audience handout pages. Make the changes to the handout master using the features on the Handout Master tab. Click Close Master View to return to Normal view. For example, you could select the left footer and press Delete to remove it or select the page number footer field on the right and drag it to the center of the footer. Close Master View Notes Master Placeholders Image inserted The notes master contains design information for notes pages. The presenter can use notes pages to prepare for and deliver the presentation and can distribute detailed notes pages to the audience. You can specify the fields, the format, and the layout of the notes master, similar to the handout master. To modify the notes master: Click Notes Master to display the Notes Master tab on the View tab in the Master Views group. Make the changes you want to the notes master using the features on the Notes Master tab. Click Close Master View to return to Normal view. Office Theme Slide Master The slide master is the top slide in a hierarchy of associated layouts based on the slide master. The associated slide layouts include layouts such as a title slide layout, various content slide layouts, and a blank slide layout. When modifying the slide master, you can access the tabs and add objects such as images, SmartArt, shapes, and sounds. Transitions can be added to the slide master and animations can be applied to the objects on the slide master. To modify a slide master or slide layout based on a slide master: Click Slide Master on the View tab in the Master Views group. Click the slide master at the top of the list or click one of the associated layouts. Make desired modifications. Click Close Master View in the Close group on the Slide Master tab. Added layout Usually, you will only use a few of the available layouts, and you can delete the unused ones. The title slide layout cannot be deleted, but all other layouts can be removed. Click the slide layout thumbnail you wish to delete and press Delete. To add and rename a slide layout: Click Slide Master on the View tab in the Master Views group. Click Insert Layout in the Edit Master group. Click the added slide layout thumbnail to select it. Click Rename in the Edit Master group. Select the default Custom Layout name and type a new name. 23 Modify a Slide Master Click Insert Placeholder Select placeholder
To customize a slide Layout, you can add, remove, and size placeholders anywhere on a slide. You can add specific types of placeholders, including the standard Content placeholder. The Content placeholder contains content buttons in a palette within the placeholder. These buttons enable you to add a table, chart, SmartArt, and other media. If you are creating a template for others to use, you can add prompts with instructions for users by inserting a text placeholder. To add a placeholder to a selected layout: Click Slide Master on the View tab in the Master Views group, and select the layout to which you want to add a placeholder. Click Insert Placeholder. Modify a Slide Master Shade slider Select color Mix color Color themes are combinations of colors used for the text, lines, background, and graphics. Color themes contain text and background, accent, and hyperlink colors. Because standard Office color themes may not include the desired color combinations, color themes can be customized. To customize the color theme for a slide master: Click Slide Master on the View tab in the Master Views group. Click the slide master thumbnail in the Slides pane. Click Colors in the Background group. Select a Built-In color theme or select Customize Colors. Clicking Customize Colors displays a dialog box, and by clicking an arrow next to a color, you have the option to choose additional colors. If you cannot find the desired color, click More colors. You can select a color from the rainbow of colors and adjust its shade or mix your own color by specifying the amounts of red, green, blue. Click arrow Copyright © 2017 Pearson Education, Inc.

First theme You might want a presentation to contain two or more themes. To do this, you use multiple masters and insert a slide master for each theme. To create multiple masters: Click Slide Master on the View tab in the Master Views group. Click Themes in the Edit Theme group. Select a built-in theme or browse for a custom theme. Click below the last slide layout in the Slide Master pane. Select a built-in theme or browse for a custom theme to apply the theme to the new slide master and its associated layouts. 27 Save a Slide Master as a Template
Template—incorporates formatting elements like theme and layouts PowerPoint templates: Have a .potx extension Should be stored in C:\Program Files\Microsoft Office\Templates Should be created from a Blank presentation To reuse the modified slide master with any presentation, you save the file as a template, which is a file that incorporates formatting elements such as theme and layouts. PowerPoint templates: Are saved with an extension of .potx. Should be stored in C:\Program Files\Microsoft Office\Templates so they appear in the Start screen in the personal templates section. Should be created from a Blank presentation to prevent content from being part of the template. To save a file as a presentation template: Click the File tab and click Save As. Navigate to the location where you want to save the template. Click the Save as type arrow. Click PowerPoint Template. Type a file name in the File name box and click Save. To use your custom presentation template: Click the File tab and click New. Select Personal, next to Featured in the Start screen, select the template, and click Open. 29 Create a Custom Show Click Custom Slide Show Click Add Click New
A custom show is composed of a subset of slides assembled for a presentation. Often, a main show is developed and a number of different presentations based on the main show are created. In a basic custom show, you select slides from one main presentation and group them to create other presentations, enabling you to adapt a single presentation to a variety of audiences. As an example, a main presentation contains ten slides, and the first, third, eighth, and tenth slides will be used for one custom show and the first, fifth, and sixth slides for another. To create a custom show: Click Custom Slide Show on the Slide Show tab in the Start Slide Show group. Select Custom Shows and click New. Type a name in the Slide show name box. 30 Create a Custom Show Click Hyperlink Select supporting slide show
Hyperlinked custom shows connect a main custom show to other custom shows using hyperlinks. When creating a hyperlinked custom show, all of the slides must be in the same presentation. To create a custom slide show with a hyperlink: Select the text or other object that you plan to click to view the slide. On the Insert tab in the Links group, click Hyperlink to display the Insert Hyperlink dialog box. Click Place in This Document, scroll to the bottom of the slide list, and click the name of the supporting slide show. Click the Show and return check box.
