We are responsible for educating our employees so that they can recognize and react responsibly to potentially hazardous conditions which exist in the workplace. 5 Maintenance Department Safety Standards
Maintenance department must schedule and conduct regular safety meetings. There should never be more than 31 days between safety meetings. We recommend reminders on sequence of specific jobs, using the safety warnings and cautions from the manufacturer’s repair manual: Photo caption You may also opt for daily or weekly “shift” safety meetings. Safety Meetings (Continued) Sign in sheets are to be pre printed, everyone attending must sign in. Certifications of training should be issued by Instructor, signed by employee and filed in employee training files (yes, there must be training files for every employee). The instructor must have training verification too! 100% attendance is the goal for every meeting, and attendance is not “optional”. Make up meetings are required for any who miss meetings. A safety meeting binder should be kept with the contents of all meetings (agendas, training curriculum, quizzes) . Safety Meetings (Continued) Training should be conducted whenever new (unfamiliar) equipment or processes are introduced to the work area. Check employees regularly to determine if they remember the safest way to perform regular functions. Documented Training Program for New Hire Employees Before a new employee does his/her first day of work, there is to be documented basic safety training to include: Welcome to Keolis, Policies and Procedures Hazards Communication /Right to Know (OEP) Drug and Alcohol Awareness (Training Department) Sexual Harassment (Orientation, usually HR) Accident / Emergency Procedures Bloodborne Pathogens (OEP) The Basics of Safety (OEP) LLLC (Keolis OEP) LLLC - DEFENSIVE DRIVING (OEP) Lock Out Tag Out Program (Maintenance Department) Basics of Safety (OEP) Emergency /Evacuation Plans and Routes These subjects should accompany a hands on tour and indoctrination of shop safety by the maintenance department. 4. Clear Pit and Work Area of “Pinning Hazards” Remove horizontal railing from sides of pit and work areas, replacing railing with chains, rope or other materials which control access to the area, but won’t cause a hazard. (Tell the story) 5. Minimum Distance Between Vehicles in Shop You need a minimum of 6 feet between vehicles being worked on in the shop area. This helps to prevent pinning and other hazards between vehicles. 6. Written Wheel Chock Policy Vehicles are to be chocked at all times while being serviced. 7. Extended or Protruding Parts are to be Marked When an engine door or other vehicle part protrudes from a vehicle being serviced in such a way as to present a hazard to those working around it, a red, yellow or otherwise brightly colored warning material should be placed on the protrusion to warn of the danger. Also, when parts are laying outside the vehicle, place a cone or warning so that others do not trip. 8. Backing Policy You cannot effectively train your employees or hold them accountable if you don’t have a written policy on backing (or anything for that matter). Write the procedures including a requirement to have a spotter, include backing into or out of the shop, in the yard or anyplace technicians have to move the vehicle in reverse. 9. Employees MUST use PPE in every instance warranted. No exceptions, no excuses. Management must keep track of wear damage or missing PPE, and repair of replace as needed. If employees are bringing and using their own PPE to the job, you MUST inspect their equipment to ensure it is serviceable. Same goes for personal tools. Replace or require repair according to your location’s employment agreement. Please understand that should the PPE (or tools) fail and an injury be the result, we are responsible. The safety of our employees is your first priority. 10. Door Interlock NOT To Be Used As Brake! This is a dangerous practice when working on a vehicle under even the most “controlled” conditions. Written Programs As department managers, you are required to have copies of the following written safety programs updated and available at all times. These programs are used for training maintenance employees, ensuring they know their roles, responsibilities and contacts. Your Safety Manager can assist you. At a minimum, each active employee should have a signed training certification in their file from new hire and/or refresher training from the following: Lock Out Tag Out Plan Bloodborne Pathogens (Universal Precautions) Personal Protective Equipment Plan Emergency Action Plan (Evacuation, Earthquake, Hurricane, Fire, etc.) Maintenance Safety Directives Hazard Communication Plan (RTK) Heat Injury and Illness Prevention Plan Fire Prevention Plan Spill Prevention and Control Plan Photo caption Maintenance Manager Safety Responsibilities

Closing Comments If its not DOCUMENTED, it did NOT HAPPEN! Complacency is the cause of most preventable workplace accidents and injuries. Meaningful regular safety training and reminders help eliminate complacency. Safety training must be “accident prevention” related in order to be counted as safety training. Conduct daily “walk thru” inspections looking for potential hazards. Before operating tools or equipment, each employee must be trained to proficiency in the safe use of the equipment. The Maintenance Manager is responsible for ensuring that no employee is expected or allowed to operate any equipment that he/she is not properly trained on. Your Corporate Safety and Risk Management department will assist you in compliance, but you have to let us know what you need! Questions on anything we have covered?
