Computerized Maintenance Management System / Enterprise Asset Management

3. Business Goals
To efficiently manage DPW services - Replace several applications (about 25) 
To efficiently manage and maintain DPW responsibility City Assets – Streets, Sidewalk, Curb Ramp, Roadway structures, Trees, Trash Cans, etc
To efficiently manage and maintain Client department Assets – City Buildings (DRE), Sewer infrastructure (PUC), etc.

4. Business Needs The CMMS/EAM Key Functions:
Work Order Tracking Management,
Facility Maintenance,
Capital Planning and Budgeting,
Performance Measures, and
Emergency Management, and other functions.

5. Project Budget FY 07/08 $200K FY 08/09 $900K FY 09/10 $500K

6. Information Technology Goals
Implement CMMS/EAM that will improve service – track work order, provide timely status of projects – cost, timetable, etc.
Integrated asset management - includes real property, buildings, plazas, streets, parks, waterfront, terminals, runways, sewers, both visible and concealed infrastructure, and many other improvements like and curbs/, ramps.

7. Project Deliverables
The DPW plans to have two major phases for the CMMS/EAM Analysis/Implementation project:
Phase 1: FY (Requirements Analysis and Selection of a Software Solution)
Phase 2: FY 08-09, FY & FY (Implementation and Integration)

8. High-Level Milestones
Phase 1
RFP distributed to Vendors for Quote: December 2008
Proposal evaluated and Vendor selected: January 2009
Vendor Negotiation began February 2009
Begin Project: March 2009
Phase 2
RFP distributed to Vendors for Quote: April 2009
Vendor Selection: May 2009
Begin Project: June/July 2009

Conducted demos by various vendors and departments with CMMS/EAM systems

IBM Maximo by PUC staff and new Web version by IBM staff
