1 Creating Enrollment Goals in Recruiter 2.0

2 Enrollment goals are set for specific Recruiting Periods.
The purpose of enrollment goals is to allow an institution to track their budgeted or targeted goals to actual institutional data. Enrollment goals are set for specific Recruiting Periods. This means an institution will need to update these goals for each new Recruiting Period they create. Enrollment goals can be set by Territory and by segments of prospective students. The set Enrollment goals filter to the Recruiting Home screen where they can be seen under the Funnel in the table listing “Actual/Goal”

3 Calculating Enrollment Goals

4 To create Enrollment Goals there are several numbers needed:
Goal # of Enrolled students Goal # Admitted (Accepted) Students Goal # of Applications Completed Goal # of Applications Submitted Goal # of Applications Started Goal # of Prospects The next slides will cover several ways to calculate these numbers based on standard admissions reporting.

5 On the next slide we will do some sample calculations.
There is a set of statistics commonly used by Rankings & Profile bodies (U.S. News & World Report for example). Using those statistics you can work backward to calculate Enrollment Goals: Yield # or % - the number of applicants who convert from admitted to enrolled Selectivity Ratio – the number of applicants who are admitted vs. applied Applicants: How many applications are started in a typical year? How many applications are submitted in a typical year? Application Conversion # or % - how many of the submitted or started applications are completed for a typical recruiting period? Prospects: Prospect Conversion # or % - the number of prospects that become applicants On the next slide we will do some sample calculations.

Using the following statistics we will calculate enrollment goals: Yield percentage (how many admitted applicants will enroll) = 75% Selectivity Ratio (how many applicants will be admitted) = 1/5 or 20% Application Completion Conversion percentage (how many who submit an app will complete it) = 60% Application Submitted Conversion percentage (how many who start an app will submit) = 95%** Prospect Conversion percentage (how many prospects will apply) = 75% Targeted Enrollment = students. **Many institutions do not differentiate between applications started and applications submitted and will not have an Application Submitted Conversion %. In that case the Application Completion Conversion percentage is based on how many who start an application will complete it. The Goal # of Applications Started started can be calculated using the answer to the Goal # of Applications Completed. Equation Answer Definition .75 X (?) = 1200 1600 Goal # Admitted students .20 X (?) = 1600 8000 Goal # Applications Completed .95 X (?) = 8000** 8421 Goal # of Applications Submitted .60 X (?) = 8421 14,040 Goal # of Applications Started .75 X (?) = 14,040 18,720 Goal # of Prospects

7 Creating a Recruiting Period

8 You may have already created Recruiting Periods in building Territories. Please note it is a Best Practice to have one active Recruiting Period at a time. From within the Recruiter Console Click on Recruiting Click on Recruiting Periods To Create a New Recruiting Period Click New

9 Enter a Short Description Click Save
Enter the Code typically mimics terms in the ERP such as 2013FA or Fall 2013 Enter the Start Date When does this Recruiting Period start? July 1, 2012 for example. Enter the End Date When does this Recruiting Period end? June 30, 2013 for example. Enter a Short Description Click Save

10 Once you have clicked Save the options along the left navigation will be enabled.
Click Academic Terms

11 Click Add Existing Academic Terms
The Look-Up dialog box will open Choose the terms to associate with this Recruiting Period. Select OK Along the top, click on the “Recruiting Period” Tab Hit Save & Close

12 You now want to go into your Recruiting Teams and make sure that they are associated with the appropriate Recruiting Period.

14 Once you have clicked Save the options along the left navigation will be enabled.
Click Enrollment Goals By Building these Enrollment Goals within the Recruiting Period you just created they will automatically be associated.

15 The following window will open.
Click “Add New Enrollment Goal”

16 Enter a Code Enter a short Description Note – the Recruiting Period is already associated.

17 Choose a Goal Type of Reporting to build this first overarching set of Enrollment Goals. Choose an Advanced Find view with the criteria you want to include or “All Active Prospects” for everyone.

18 Enter the Enrollment Goals that have been calculated:
Note – As a Best Practice Application Moved to ERP Target should be the same as Application Complete Target. Click Save and Close

19 To take advantage of Recruiter functionality an Enrollment Goal should be created for each Territory: Click on Recruiting Click on Territories Select the Territory and double click to open Click on Enrollment Goals on the left nav You will see a Code that will have come over based on your Territory name – double click that Code to open. The Territory will already be associated with that set of Enrollment Goals Enter the targeted numbers. Click Save & Close then choose Save & Close from the menu. Repeat for all other Territories

20 Congratulations! You have now set your Enrollment Goals
