1 Entering Elementary SBRC Term Grades in Aspen

2 Log in to Aspen Set Preferences hyperlink
Skip to Slide 5 if you have already set preferences & enabled your gradebook. Set Preferences hyperlink Click “Set Preferences” in the upper right corner of the screen.

3 Make sure that the Default View is “Staff”
Click the button to Select the view. After selecting the Default View, click the Gradebook tab.

4 Enable the gradebook Check the box by “Enable gradebook features”
Then click OK

5 Access the scores sheet for a class by clicking on the icon in the Grades column beside the subject name. This is a shortcut to the Gradebook top tab and Scores sidetab.

6 The alternative to using the gradebook shortcuts on the home page is to click the top tab of Gradebook. Then put a checkmark in the box in front of the class and click the Scores side tab. The gradebook for the selected subject will appear. Or click on the name of the course and then click the Scores side tab.

7 Enter Report Card Grades
Make sure that Grade Columns is set to “Post Columns-Term” Make sure the correct term is selected Click the first student’s name in the list to begin entering grades OR enter your grades in this view – whichever you prefer 1. 2. 3.

8 In the single student view, if the categories are collapsed, click the depth control arrow greater than sign to expand one category at a time. Clicking the double arrows on the right will expand all.

9 Click in a cell in the scores column to enter a grade, then click the Tab key.
The Score Description will automatically populate. To see the appropriate grade scale for a particular cell, position your cursor in the cell and use Control-L to view the list.

10 Report Card Comments are entered ONLY on the Personal Growth & Development course
To enter a comment, click the icon in the score column beside the comment name.

11 Type your comment in the popup and click “OK”.
After saving the comment, the comment icon will display blue lines to represent text entry.

12 When ready to proceed to the next student in the list, click the forward arrow,
click the button with the magnifying glass to select a student at random.

13 When you have finished entering grades for the last student in the class, click the “View all students” link or the Scores side tab to return to the entire list of students for this subject. (Circled in Red)

14 VERIFY Your Grades Before Posting
Run the Gradebook Sheet report to double check grades prior to posting. Click the “Reports” menu and Select “Gradebook Sheet” (In the pop-up, just hit RUN.) Save the PDF to a computer folder or your Desktop to view – try not to print 

15 When you have verified your grades, you are ready to post.
Click the “Post Grades” button (This starts the process to send your grades to the report card.)

16 The popup for posting grades will appear.
Make sure the term is correct Then click OK (This sends your grades for that class to the report card.)

17 Repeat steps in slides 7-17 until all your classes have been posted
To go to the next class in your list: Click the right arrow button, or Click the magnifying glass to select another subject from the list, or Select the class from the drop down, or Click on “Class List” to see the list of your courses (You can also go to your PAGES tab to see the “dashboard view”) Repeat steps in slides 7-17 until all your classes have been posted

18 When a class is posted, a green checkmark will appear in the Grades column of your “dashboard”

19 Run your Report Cards Grade Changes
Go to your STUDENT top tab Change the filter (martini glass) to “Students in My Homerooms” Select REPORTS and choose the appropriate report card format In the report pop-up box, make sure the term is correct and hit RUN Save the PDF to a computer folder or your Desktop – to your principal. When they are approved – print.  Grade Changes You can make a grade change at any time and repost right up until the deadline. Once you are satisfied with your changes, rerun your report card(s). To run one report card, click student’s name, then Transcript side tab, then Reports.
