1 3A – Advanced Quoting Techniques
with Quote Manager

2 Overview This presentation will cover advanced quoting techniques including the various wizard buttons in the Quote Scope viewer, expanding the Scope of Services printed, and useful registry settings.

3 Quote Scope Viewer To the right, and below the Scope of Services are the wizard functions we will go through.

4 Import Flat Rate Import Flat Rate will allow you to import pre-determined labor, material, and other miscellaneous charges into a quote based on the Flat Rate Categories you maintain in SAMPro. In this case we have a Compressor Replacement Flat Rate we will bring in as Option 1 of our quote.

5 Import Flat Rate Review each wizard screen by using the Next and Back buttons, and make any adjustments necessary before hitting Finish. At this point you may assign Vendors and Unit Costs specific to this quote. Adjustments may also be made from the Scope Viewer once the lines are imported. A Scope of Services will also be imported from the Flat Rate Category.

6 Import Flat Rate Scope of Services, and various line of labor and inventory have imported into Scope Option 1. Manual adjustments may be made if needed.

7 Create C.O Use the Create C.O button on a saved Quote Scope to create a Job Change Order Billing Item for a Construction Job. The Change Order Id will derive from the Scope’s Option Code, and the CO amount from the Scope’s Quote Amount, or Fixed Price. The cost and revenue from the Scope Option are written to Job History (shown on the JC Summary tab of the Job) as a Job Budget Journal. Start by creating the Quote Header to a construction job. Note there is no work order assigned.

8 Create C.O Create your Quote Scope and Add. Your Option Code will become the Change Order Id.

9 Create C.O Once the Quote Scope is added/saved, hit the Create C.O button. Read the prompt and hit Yes to continue creating the Change Order Billing Item. The Change Order Billing Id will fill on to the right of the Create C.O button.

10 Create Job Budget for New Change Order
Run the Approval Wizard from the Parent Quote screen, and be sure to select ‘Create Job Budg’ so the budgeted costs and revenues are written to JCH.

Here we see the detail from the Quote Scopes are now Billing Items Change Orders on the Job. In this example CO1 was approved, and CO2 was declined, adding only CO1 to the Contract Total. We can drill into the Billing Item to see the C.O Amount derived from the Quote Scope. The C.O Date Approved is also filled in when the Approval Wizard is run.

12 Import Diagnostics Customers may wish to see the costs already incurred after diagnosing the unit, as well as the pending repair costs on one quote. Import Diagnostics allows you to import any incurred costs from the original work order as an additional Scope Option. A wizard will take you through each relevant tab of the work order to import into the quote.

13 Import Diagnostics The scope is taken from the Work Performed written on the piece of equipment. *Whether the repair quote is approved or not, the option for the diagnostic charges would be declined, so that they are not billed twice on the lead work order.

14 Import Sub Quote The Import Sub Quote button is used to import costs from a SubAnywhere quote on the work order into a scope option on a Quote Manager quote.

15 Import Sub Quote When clicked a wizard will be launched to import costing information from the SubQuote tab of the WO referenced in the Quote Manager header. When the costs are imported, the markup rules defined in the Scope (Rate Schedule, Markup % or Gross Margin %) are applied to the imported costs to determine the Scope's revenues. This will be done even if Revenue has been entered on the Work Order's SubQuote tab.

16 Import Sub Quote The Unit Price and Ext. Price will adjust according to your markup style. Here we see the price increase when going from 50 to 75% markup.

17 Import Sub Quote The Sub Quote tab is informational. The cost and revenues will be imported from the quote into the Other tab of the work order when the Quote Approval Wizard is run.

18 Copy From Any Scope Suppose you want to copy an existing quote for a different job/customer. First create the quote header to the correct job and site.

19 Copy From Any Scope Add a scope, set the option code and equipment and save. Then click on the Copy From Any Scope button to clone a scope from the current quote or another existing quote. Use the spy glass below to search for existing quotes by site. In this example we have a template quote ready to be cloned from an Overhead site.

20 Copy From Any Scope Select the option code you want to clone from on the first wizard screen. In this case, the quote being cloned has one option. The Quote Amount derives from the child lines of the quote being cloned, and will import into the new quote. Be sure to save your Scope before exiting.

21 Recompute Scope Recompute Scope allows you to adjust your Quote Amount based on the markup style of your choice. Note the change in Quote Amount and Net Price after blanking out the Rate Schedule (of the job), and filling in a 30% Markup. The Recompute Scope Wizard button will adjust your overall Quote Amount, and individual child lines if there has been an update to the Rate Schedule referenced in the Quote Scope.

22 Expanding the Scope of Services
Scope of Services can have 3,000 characters. We can expand on this with notes on the Quote Manager viewer. Adding a note to the left hand tool bar on the Quote Manager record (Parent Quote) will expand the scope of services printed on the quote. The title of the note, or “Summary” field shown below must match the Option Code of the scope for the additional text to appear.

TIP: Cloning Your Quote Registry Settings The easiest way of transferring your existing QuoteMaster entries to the new viewers is to clone them. Note that the existing registry sys-viewer-vqte should NOT be changed as it supports the older QuoteMaster viewer. 1. Access the sys-viewer-vqte registry. 2. Change the Id to sys-viewer-vqtemngr and tab out of the Id field. 3. Delete or disable any lines not supported by Quote Manager; they will be ignored by the system but may confuse users editing this registry in the future. 4. Reconfigure any disabled or required fields entries. 5. Save the new registry. 6. Repeat steps 1-5 for the Quote Scope registry (sys-viewer-vqtescpe).
