September 15, 2016 Thank you all for taking time to come and learn more about the Academic Senate! I’m Emily Bonney, and I have the pleasure of chairing the Senate this year and also facilitating the first part of the Orientation this morning.

(Review plan). Of course, it is a challenge to stay on schedule when the agenda is tight, but this is our plan (Review). So, let’s begin by finding out who you are and your motivation for coming to our Orientation session. Please tell us your name, dept or unit affiiliation, and perhaps a sentence about what motivated you to be here today or what you hope to learn.

UPS documents available in Senate Office or download from Academic Senate website. Much of the work of the Senate relates to developing and revising university policies regarding a broad range of issues on campus (read list). The Senate recommends the policies that become policy once they are signed by the President. The index included in your packet shows you the policy titles; the full document can be downloaded from the web or picked up at the Senate Office.

Constitution) See Roster of Senate Members Total = 48 or 49. Ex-officio by virtue of their office. Members at large are elected by constituents from across campus. As you can see in your packet, the Constituency members are elected by the members of each separate constituency = college, student affairs, library/ath/admin, etc.

EC is elected at a special meeting in May by the members of the Senate. The Executive Committee develops the Senate agenda and coordinates the work of the senate’s committees. Over the summer, it acts on behalf of the full senate. Currently, there are 10 members.

Senate has 21 standing committees that review and recommend policies that are memorialized in the UPS statements we just discussed. As issues surface, they are brought to Executive Committee by campus community; when policy needs review or revision, Exec Comm refers to appropriate committee or committees. For the past two years, the Senate has been undertaking an extensive review of virtually all of its policies. How do the committees get their members? Each spring, faculty members indicate their interests in response to a call from the Senate Office; the Executive Committee nominates faculty, and the Academic Senate approves them. Most terms are 2 years. The composition and function of the committees in the Bylaws. Each standing committee has at least one senator; Executive committee also has a liaison to each standing committee. There are also a number of student-faculty boards, search committees, ad hoc committees to which the Senate appoints members. With over 200 committee slots, you can imagine it is a challenging job to keep the committees staffed and running effectively. Exec Comm has identified improving committee functioning as a focus for this year. One of our goals is to use technology to support the process. For example, we are working on getting the solicitation of Faculty Interests online for spring as the first phase. In the second phase, we hope to be able to use technology in the nomination process to identify who is interested and eligible to serve on the various committees and boards (rank, tenure status, service on other committees, constituency must be checked). In the final phase, we want to automatize the scheduling of committee meetings, notification of members, collection of minutes, and filing of annual reports so that the information is in real time.

Academic governance is a complex process Collegiality consists of a shared decision-making process between faculty, staff, students, and administrators It is based on mutual respect for similarities and differences and involves mutual trust Continual consultation occurs prior to decisions being made 14

20 Nuts and Bolts of Meetings
Constitution and Bylaws govern many of our actions (e.g. elections, constitutional amendments etc.) If not specifically covered in the Constitution and Bylaws we use the most recent edition of Robert’s Rules of Order Meetings are generally run using Robert’s Rules
