1 A Walk Through the Xora Experience
Thank you for taking the time to meet with me today. Our goal here is to share how Xora works from two perspectives: one from the field employee’s perspective and second, from a manager/owner’s perspective.

3 Workers “Where’s my team?” is a common question asked by mobile organizations every day. Xora goes beyond simply locating your field employees to providing simple and powerful tools the help you maximize their productivity. 3

4 So let’s go ahead and get started
So let’s go ahead and get started. You’re looking at the Xora login page where a manager would enter the application. You’ll notice that I’m using a web browser to login, so this is a web-based application. There’s no expensive software for you to install on your computers, no replacement versions that need to be re-ordered next year, and no additional license fee to light up a different work station. Also, since it’s web based, a manager can login from any internet connected device, whether it’s a pda, tablet laptop, or desktop computer. So you can manage your employees from anywhere with no time consuming trips back and forth from the office to access the system. So now I’ll go ahead and login…

5 …and logging in takes you to the Workers List dashboard page, which is a great ‘home base’ for understanding the current status of your entire mobile team, and it updates automatically throughout the day. At a glance, it tells you: Who is on shift, on break, or clocked out right now? Are they currently traveling or stopped? What’s their current location, by address? What is each employee’s total work hours so far this week, shown in the last column.

6 …and it just takes two clicks to clock in: click on the ‘Timesheets’ icon at top left corner…

7 …and then tap the “Start Shift” button
…and then tap the “Start Shift” button. It’s that simple, nothing complicated for your team to learn. This will clock your employee in, and you’ve got the location to prove he’s where he should be. And the simple awareness that you know where he/she is when they are logging in tends to have a dramatic positive impact on their punctuality from the very start.

8 After the employee has clocked in and gone to work, The phone will keep them posted on how long their shift has been (circle hrs/mins under ‘on shift) and they’ll have two subsequent options: Either end their shift by tapping the red ‘end shift’ button (highlight ‘end shift’ button), or begin their break period by clicking ‘start break’ (highlight start break)

9 So when the shift is over, just tap ‘end shift’…

10 …and the handset is ready to let me start my next shift.
So as you can see using the Xora device application in the field is extremely simple and requires little training for your staff. This means you’ll be up and running quickly and start saving money right away.

11 Another great way to get that quick overview of your team is by clicking on Workers Map on the left toolbar.

12 The Workers Map takes all the folks you just saw in the Workers List and plots them on a map so you can see where they are in relation to each other. Xora has integrated Google maps into our application to give you the best visual understanding of where everyone is and what their current status is. You can click on any of the icons here to get the same information as the Workers List page, just by clicking on any of my employees’ icons.

13 And clicking on an employee provides their full status information, just like on the “Workers List” page.

14 And to get more visual look at where John has been and what he’s been up to, click on Animate Route…

15 And you can see a full ‘breadcrumb’ trail detailing where this person has been today, where he made stops.

16 And then click a stop icon…

17 …to get details about those stops…duration, location, etc…

18 …as well as speed traveled at any point on the route.

19 Or click on Street View…

20 …for even more detail. Street View let’s you confirm with certainty the nature and location of a visit or job site. It’s the next best thing to actually being there.

21 Jobs Xora is also a powerful tool for assigning and monitoring your employees’ tasks throughout the day. The Jobs feature helps you to easily manage the entire job process, from creating a job, to easily assigning and dispatching it out to the field, to having full visibility into its progress from start to completion. You can create jobs directly or upload them from your existing dispatch system. 21

22 Clicking on the Jobs tab and choosing Jobs List gives you a full window into all the jobs you have out, who they are assigned to, how each job is progressing, and where each job is located. You can easily sort your jobs by any of the categories.

23 To create a job, click on ‘Create Job’ in the Toolbar area…

24 …. and follow the steps to create and dispatch the job

25 ….And dispatch the job out to an employee.
Select “Recommend Worker” and Xora will tell you who’s closest to the job location

26 So let’s take a look at the field employee’s experience of Jobs.
The dispatched job will appear as a new update on the worker’s phone. Clicking on ‘OK’… 26

27 …and clicking on the Jobs icon…

28 Gives your employee a snapshot look at the jobs issued to him, helping him stay on focused and on task.

29 Your employee can sort this list by name, by proximity, by schedule, or by what stage it is in the completion process (status).

30 And a simple tap to one of the jobs provides summary information about the job, actions that will need to be taken, turn by turn directions to the job site, and a button to call the job contact.

31 Associate specific mobile forms with applicable job types so that field employees are collecting all the information they should during their jobs.

32 And with Xora’s unique Mobile Job Create feature, employees in the field can create new jobs on the fly from their phone, making your team more agile as new opportunities arise.

33 Managers in the office can also send messages out to their team, as needed. For example, if there additional specific instructions on a job, field employees can get these details and follow the additional instructions.

34 Locations The locations tab is your address book for Xora. The locations can be job sites, vendors, office locations, or other places your employees visit. 34

35 Entering locations into the Xora system gives you a deeper understanding of where your employees are spending their time, and helps your more easily route them to their job sites. You can add locations to your list and the web portal will recognize when your employees visit them. When the employee is stopped at a recognized location the name and the address will display. There are two ways to enter in locations, you can create a location manually or up load up to 1000 at one time.

36 Once you’ve entered locations into the system, clicking on the Workers tab and going back to the Workers Map will display your team in relation to the locations important to you, allowing you to quickly assess who is and is not on track, and how best to juggle your resources.

37 Clicking on a location icon in the map reveals what that location is, in this case a Walgreens pharmacy, along with it’s street address. And clicking on Configure WorkZone in that pop up…

38 …Will allow you to create or edit what Xora calls a WorkZone, which is an area that you designate for automated job tracking based on employee activity inside a specific area. WorkZones can be circular or a polygon shape of your choice. They surround a location or job and can activate features when mobile devices cross their boundaries. For example, if some of your drivers neglect to clock in and out when they should, you could create a workzone that automatically clocks your workers in when they enter it or clocks them out when they exit it. Or, you could run reports to assess worker behavior patterns while inside or outside the WorkZone.

39 Field Data Collection and Forms

40 Clicking on the Administration tab and selecting ‘Forms’ list page, you can edit existing forms or create new ones that can be pushed out to your workers in the field. 40

41 Your mobile employees can be equipped with electronic forms on their handsets that can accomplish any number of different tasks – eliminating the paperwork that is typical for most mobile business processes – ranging from inspections to invoicing to delivery forms. The forms themselves are extremely flexible and can include free-text entry fields, drop down menus for selections. Photos, signatures or barcodes can be attached to any form as well. Photos and signatures captured with forms are time and location stamped, so they can serve as proof of delivery or customer authorization for charges. 41

42 Reports and Alerts Xora reports and alerts take the wealth of information provided by Xora and turn it into actionable intelligence that can be acted on and shared with the rest of your organization. 42

43 Clicking on the reports tab takes you to the Reports List, your home base for creating reports. On the right is a list of reports, and on the left Toolbar you can see options for creating, deleting, and exporting reports.

No problem. Create alerts triggered by any events that are important to you – enter/leave a location or area, timecard activity, job status change, stops that run too long, form submission, etc. Essentially, anything Xora StreetSmart measures can have an alert set up around it. 45
