1 REGISTRATION Good morning and Thank you for joining us for SuperWalk Registration Training. If you are able to mute your phone please do so – we have a number of people on the call and background noise can be an issue. I will go through the materials and there will be time at the end for questions. We are very happy to have you all on the call and on behalf of Parkinson Society British Columbia, I would like to thank you for your volunteer service and support of Parkinson SuperWalk in BC. This year SuperWalk is being held in over 20 communities throughout the Province. These events combined represent the largest source of fundraising and awareness for Parkinson’s in BC. There are 12,500 people in the province with PD and I know that each of you has your own reason for being involved. Fundraising from SuperWalk each year goes to support the National Research Program as well as local advocacy campaigns, education events like the regional conferences and voice and swallow clinics that PSBC hosts plus programs and services such the Society’s information and referral service, Support Groups and counselling. This fall we’re pleased to be offering PWR Training to physical therapists and exercise instructors as well as some community talks about the benefits of PWR exercise for people with PD – more information about all this is available on parkinson.bc.ca Let’s get started.

2 RESPONSIBILITIES Be warm and friendly to all Walkers!
Register all individuals and team participants on the Location Report. All participants handing in cash/cheques must have a completed and signed pledge form. Anyone walking and has not raised funds must sign the waiver. Ensure that all Walker & Donor contact information is complete and clearly recorded. Staple and complete the Data Ticket to balance each pledge form to funds submitted. Thank all Walkers, especially those who are SuperStar($1000 +) and SuperStar Supreme Walkers($2500 +). Give them Hat & Pin For Walkers raising over $1000 but have not registered online, confirm that their Roots incentive preference is indicated in the appropriate check box to the left of the pledge form. Inform Walkers that BC contest ballots are now processed online Registration Volunteers are often the first to interact with Walkers so please be warm and friendly. Your job is to register all individuals and teams – your central record keeping tool is the Location Report. More about this in a moment All Walk participants must sign a waiver – even if they haven’t raised funds. We will review the ways in which waivers are completed. To be able to recognize and acknowledge everyone connected to SuperWalk – especially donors who will be expecting tax receipts – Please ensure that all contact information is legible and complete. Next you’ll need to ensure that the funds submitted on Walk Day are accounted for on the walker’s forms and balance. As the first line of contact with Walkers you are also the first to say Thanks – be sure to do this with all Walkers and especially those who have reached SuperStar or SuperStar Supreme levels! Individual walkers over $1000 are eligible for Roots incentives and need to indicate their preference for this on their paper pledge form (for those who have paper) You may be asked about National Ballots – these are calculated automatically. Before the Walker leaves Registration they should have been given their T-Shirt or a ticket to claim their T-shirt. And SuperStar plus Walkers should be given their hat and pin.

3 TYPES OF WALKERS Individuals with only Online donations
Individuals with pledge forms and cash/cheque/credit card(No Online) Individual with a Combination of online donations, cash/cheque/credit card Individual with No Fundraising and no self donation Before we talk about the Location Report I wanted to review the types of Walkers. I will review the registration steps for each type of Walker. Individuals with only Online donations – no paper pledge form. These Walkers have signed the waiver online and indicated their preference for incentives already. Individuals with pledge forms and cash/cheque/credit card(No Online) Please be sure their contact details are complete, they have signed the waiver and all donor information is complete Individual with a Combination of online donations, cash/cheque/credit card Individual with No Fundraising and no self donation – these could be friends and family who are they to support a Fundraising Walker and they still need to sign a waiver. If they are a minor, child their name can be added to the Fundraising Walker’s pledge form and the parent or guardian signs on their behalf.

4 LOCATION REPORT You will be provided a Location Report on Walk Day which lists the names of the Walkers who have raised money online and the amount which they have raised online. Please use this report as a record of ALL Walker and Team names and total individual fundraising. your central record keeping tool is the Location Report. This is a new format for 2017 Walk organizers will be ed a copy of the Walk Day Location Report on the Friday before the Walk. For those walks where a PSBC staff person is present, these reports will be brought to the Walk on Walk Day. Please ensure that each Registration volunteer has copy on Walk Day and that you number them 1-2, 2-2. At the end of Registration all these reports will be collected and returned to PSBC along with all the pledge forms and fundraising. The Location Report is a list of all the names of Walkers who have registered or raised money online. It will be alphabetized and by last name and have page numbers. It will show the amount which the individual has raised online. (as of the time the report was created). Please use this report as a record of ALL Walkers who have any kind of fundraising and record Team names and total individual fundraising. If a Walker’s name does not appear, please add the Walker’s name to a new line. Let’s review the column headings. First Name, Last Name, Participation Type includes Walkers and Virtual Walkers (these are walkers who are not planning to attend your Walk but their fundraising counts for your Walk total. The next two columns are for recording Team information. Online verified refers to the amount of confirmed funds collected online (as of the creation of the report) Note this column is also referred to as column A. Next is column B, Cash Cheque total collected on Walk day, submitted by the Walker. Column C is the total amount of credit card donations collected b the Walker. Next is the Grand Total Column and is the sum of A+B+C. Please complete columns A, B, C and Grand total for each Walker. The last column is for any walker who has raised over $1000 to record they have received the appropriate hat and pin.

6 DATA TICKET Data Tickets should be completed for ALL Walker Types, except those with no fundraising. Staple Data Ticket to Pledge Form(s) and/or Participant Donation Reports. Write in the Walker’s Name Record the Online amount from the Location Report next to the Walker’s name. Count out the Cash, Cheques and Credit Card amounts and fill out the amounts in the appropriate column If there is $ handed in and amount on pledge form do not equal, work with the Walker to find discrepency Insert Pledge Forms (with data ticket) and/or Participant Summary Reports in a Ziploc bag and forward to Banking.

8 ONLINE REGISTRATION Walkers who have collected monies online will be asked to bring a Participant Donation Report which is a print-out of their online pledges (monies have already been paid and submitted) If they do not bring their Participant Donation Report, use the online amounts listed in Column A of the Location Report. Take a data ticket. Write the Walker’s name on the Ticket Staple the Data Ticket to the Walker’s Donation Report Find the Walker’s name on the Location Report Compare the Walker’s Confirmed Amount Raised (column A) amount on the Location Report to Confirmed Amount on the Participant Donation Report - if the amounts differ, record the higher amount on the Location Report and Data Ticket. Insert in a Ziploc bag for banking. If they didn’t print the report, check the Location Report for their name and record the Confirmed Amount Raised on a Data Ticket along with the Walker’s name and insert in a Ziploc bag for banking. Write the total amount in the Grand Total column of the Location Report. Give Walkers who raises $1,000 - $2,499 a BLUE SuperStar Walker Hat and a 2016 pin. Give Walkers who raises $2,500 + in pledges a RED SuperStar Walker Hat and a 2016 pin. Give all Walkers a t-shirt or T-Shirt Ticket.

9 PLEDGE FORMS(no online)
Staple Data Ticket to Pledge Form – Write Walker’s Name Ensure Walker Info is completed and Waiver section is signed. Find Walker’s name on the Location Report or add their name on a new line and record any Team details. Walkers over $1000 should complete the Roots incentive check box to the left of the pledge form. Balance Walker’s Pledge Form total against all Cash/Cheque brought to registration. Write the total of Cash/Cheque turned in on the Data Ticket under Cash/Cheque and also on the Location Report under Cash and Cheque Total (column B). Record the total amount of Credit Card donations noted on the Pledge Form on the Data Ticket under Credit Card and also on the Location Report under Credit Card Total (column C). Additional Credit Card donations can be made by completing the Credit Card slip. Any outstanding pledges not yet collected, should be crossed off the pledge form. Please have the Walker write them down on a separate pledge form to be collected and mailed in to PSBC offices at a later date. Total the Data Ticket then staple it to the Pledge Form, fold and with Walker information facing out and place in a large Ziploc bag along with Cash/Cheque and Credit Card slips for Banking. Write the total amount in the Grand Total column of the Location Report. Credit Card Slips will be sent to all Walks for use at Registration. Credit card info can be either recorded on a paper pledge form or on the Credit Card slip. Please be sure to capture all required information from the donor (name, address, credit card number, expiry date, name on the card and donation amount). Credit Card slips should be inserted into the Ziploc bag along with the Walker’s pledge forms

10 COMBINATION(online and pledge forms)
Staple Data Ticket with Walker Name on the Pledge Form Find the Walker’s name on the Location Report or add their name on a new line and record any Team details. Ask if they printed and brought their Participant Donation Report. Review the list of Donors who are NOT PAID and ask the Walker if these pledges have been collected and a pledge form completed. Make a note on the Participant Donation Report of the payment type used. Compare the Walker’s Confirmed Amount Raised (column A) amount on the Location Report to Confirmed amount raised on the Participant Donation Report - if the amounts differ, record the higher amount on the Location Report and Data Ticket. If they didn’t print the report, record the Confirmed Amount Raised on a Data Ticket along with the Walkers name and insert in a Ziploc bag. Balance the Walker’s Pledge Form total against the Cash/Cheque/Credit Card brought to registration. Write the total of Cash/Cheque turned in on the Data Ticket under Cash/Cheque and also on the Location Report under Cash and Cheque Total (column B). record the total on the Data Ticket under Credit Card and also on the Location Report under Credit Card Total (column C). Total the Data Ticket. Place the forms, with Walker information facing out, along with Cash/Cheque/Credit Card slips collected in a large Ziploc bag to go to the Banking. Write the total amount in the Grand Total column of the Location Report. If at anytime you find a discrepancy with the Walker’s pledge form, Participant Summary Report and funds submitted OR USD cheques or cash please write down notes to capture important details and submit to your Registration supervisor or banking volunteer letting them know there is a discrepancy.

11 WAIVER ONLY Friends and family who have not fundraised or made a self-donation but would like to participate must sign the liability waiver and may get a t-shirt only after all fundraising Walkers have received one. RED walker T-shirt will be given to all Walkers who fundraise even if they have not raised the minimum $50 as noted on the pledge form. ***All participants must sign the Waiver. The parents or guardians sign the waiver on behalf of minors under 18 years old.

12 TEAMS If the Walker is part of a Team, please reconcile each Team Member individually. Record Team information on Location Report next to the Walker’s name. Keep all Individual Team Member’s Ziploc bags together in an envelope for that particular team, tally the Team’s total and note it on the outside of the Team Envelope. Provide Team Members with Team name labels. At the close of Registration, provide all Team Envelopes to Banking.

13 WHAT A WALKER RECEIVES Walker T-shirt. We will give a t-shirt to all Walkers who fundraise even if they have not raised the minimum $50 as noted on the pledge form. Friends and family who have not fundraised but would like to participate must sign the liability waiver and may get a t-shirt only after all fundraising Walkers have received one. Walkers who raises $1,000 - $2,499 in pledges receive a BLUE SuperStar Hat and a 2017 pin. Walkers who raises $2,500 + in pledges receive a RED SuperStar Hat and a 2017 pin. Any other items that you may have to give out. If you have the opportunity, it’s nice to recognize all SuperStar Walkers publicly in some way at the event (eg. an announcement made on stage). BC Ballots Draws: BC Contest ballots will be calculated automatically by Parkinson Society British Columbia once all walkers’ fundraising totals have been calculated. Prize draws takes place in November More information can be found on the Parkinson SuperWalk Pledge Form or at BC Incentive Roots Gift Cards will be mailed to recipients in November 2017.

16 Responsibilities Double check the balance of funds received to what is recorded on each pledge sheet. Prepare funds for deposit. Fill out the ‘Banking’ section of the Data Ticket to the pledge form. Separate any pledge forms with discrepencies to be reconciled with by the Walk Organizer after the walk. These funds are not to be included in the cash deposit, and must stay in the zip lock bag with the pledge form. Compile a list of SuperStars (Walkers who raise $1,000 or more) Compile a list of all teams and team totals Compile a total raised from Walk day

17 Steps for Banking Individuals
Open Zip Lock Bag Make sure Data Ticket is affixed to Pledge Form with Walker Name completed Add up donations on Pledge Form Count Cash, Cheques, Credit Card amounts and complete the banking section of the data ticket. 18 Steps for Banking Individuals
If the Walker has raised over $1,000 write their name down on the SuperStar List and the total amount raised (even with discrepency). Place Ziplock in the Discrepency bin If they equal. Circle NO beside discrepency on the data ticket. Initial the ticket. Put pledge form and all cash/cheques /credit card forms back in the ziplock If the Walker has raised over $1,000 write their name down on the SuperStar List and the total amount raised. Place Ziplock in the Reconciled bin

19 Steps for Banking Teams
Open Team Envelope Take out all Ziplocks. Reconcile each team member one by one. Make sure Data Ticket is affixed to Pledge Form with Walker Name completed Add up donations on Pledge Form Count Cash, Cheques, Credit Card amounts and complete the banking section of the data ticket. Ensure that Total Raised on Pledge Form = Total cash/cheques/credit card received If they do not equal. Circle YES beside discrepency on the data ticket. Initial the ticket. 20 Steps for Banking Teams
Write or check that the walker name is on the Team List on the Team envelope. Write the total raised by the walker next to his/her name. (even with discrepency – write down the lower total). Place Ziplock in the Discrepency bin If they equal. Circle NO beside discrepency on the data ticket. Initial the ticket. Put pledge form and all cash/cheques /credit card forms back in the ziplock Write the total raised by the walker next to his/her name. If the Walker has raised over $1,000 write their name down on the SuperStar List and the total amount raised.

21 Steps for Banking Teams
Move to next Walker Ziplock Follow all steps until all team members are reconciled Add up team members totals to get Team Total. Write Team Name on Team Tracking Sheet with Team Total Place Reconciled Team envelope in the Reconciled bin
