2 California Accountability for Non-Funded Adult Schools
At the end of this session, participants will be able to: Identify the data submission due dates and deliverables Implement basic data collection requirements Locate resources and technical assistance How long have participants been involved?

3 End of Year Data Deliverables
Submit TOPSpro export to CASAS via Internet — OR — Submit via mail in an electronic format (diskette, CDROM, Zip drive) Indicate agency name, site name, and agency ID on the disk label Students from all funded instructional programs must be included in submitted data. Probe for familiarity with Core Perf, Inst Questionnaire, WIA Survey

4 End of Year Data Submission
Adult Schools Data Submission By August 15, 2009, the following are due: Required Data and Documents Submit to: Year End Data Submission CASAS Accountability, P.O. Box 80488, San Diego, CA 92138

5 TOPSpro Export There are four main types of exports in TOPSpro:
TOPS – to - TOPS Export Export to a 3rd Party system Diagnostics Export Electronic Data Submission

6 Electronic Data Submission
You can submit your data electronically to CASAS to meet State reporting requirements. When creating export files to send to CASAS or to meet State reporting requirements, you can submit your data electronically

7 Electronic Data Submission
If you have problems transmitting your data using this feature, most often it is due to your agency’s firewall or other security system. Contact your agency’s IT Department if this is the case.

8 Data Collection Process
Required: All data from July 1, 2008 through June 30, 2009 Entry Records all learners in all programs Update Records for all learners who attend 12 or more hours of instruction in a program include Hours of Instruction for each student Concurrently enrolled learners (K-12) Entries and Updates required as above

9 Data Collection Process
California Adult Schools collect data on the following instructional programs: ABE ESL (including ESL-Citizenship) Citizenship High School/GED Career and Technical Education* Parent Education Older Adults Adults with Disabilities Home Economics Health and Safety *PBA, Signed Consent Required Pre and Post-testing of students is not required, but recommended.

10 Data Collection Process

11 Entry Record Includes fields to collect demographics, such as learner gender and date of birth Includes program-related information, such as instructional program or date of entry into a class Note starred fields

12 Update Record Tracks learner progress
Indicates results of instruction the learner received at your school or program.

13 Data Collection Requirements
Update Records Must be completed after a substantial block of instruction or at the end of the instructional period (semester, quarter, term or program year.) when a learner exits a program Mark the appropriate: learner status progress instructional level reason for exiting

14 Data Collection Requirements
Entry and Update Records By class: Complete one Entry and one Update Record on a student for each class (strongly recommended) or By program: Complete one Entry and one Update Record on a student for each program (not recommended) If your agency uses only one Entry and Update Record for multiple classes, the Update Record must accurately report the learner’s total hours of instruction and outcomes for the year within an instructional program.

15 CALWORKS and PBA Applicable local agencies are required to collect additional data on the following special programs California Work Opportunity Responsibility to Kids (CalWORKs) Performance Based Accountability (PBA) Agencies can use TOPSpro to export this data to CASAS.
