10 Start a Test Session Steps to start a test session: 1.Select Online Test Sessions on the Home page. 2.Find and select your test session under the Session Name column. 3.Select the Start button on the top left. 4.It will ask you “Are you sure you wish to do this?” Select Yes-Start Session. 5.Select Return to Session detail. 6.You have now started the test session and will see a Stop button instead of the Start button. Sample student data and test sessions are used in the screenshots throughout this PowerPoint.

11 Provide Student Login Information Test codes are specific to each test session created in PearsonAccess. Instructions for Creating Student Login Information in conjunction with the Student Login Information Templates are available on the Directions tab on the Resources page.

12 Students Log into TestNav Districts determine whether to enter the TestNav URL (http://selfregister.testnav.com) for the student or have the student enter. Student enters information and selects LOG IN. The student will see the page loading (gray screen) until they are approved to test. The student’s first and last names are now being validated against PearsonAccess. It must match exactly as it appears in PearsonAccess with a space between the first and last name; however, it is not case sensitive.

13 Common Error Code Message Two of the most common TestNav error messages: Unable to Start Test: This message could accompany various error code numbers. Usually it is due to the test not being started yet, an internet connection issue, a test already submitted or marked complete, or an invalid combination of credentials. TestNav has detected another application attempted to become the active window, which may compromise the security of the test. TestNav has shut down. You may need assistance from your test monitor to restart the test. The 7016 message requires the Test Monitor to resume the student’s test in PearsonAccess and for the student to log in again. See the TestNav 7.5 Error Code Quick Reference Guide for a complete chart of TestNav messages and recommendations to resolve the issue or contact the Pearson Help Desk.

14 Approve Students to Test (Self-Registration) Steps for approving students to test: 1.Select Online Test Sessions on the Home page. 2.Find and select your test session under the Session Name column. 3.Select the Student Requesting Session Admission radio button. 4.Verify the correct students who are in your class are requesting to test. 5.Select the checkbox next to the student(s) you want to approve to test. To select all students, select the checkbox in the blue bar. 6.Select Approve Request. 7.Select the Students in the Session radio button. 8.After being approved, the student will now be taken to the first item in the test and will display on the Student in the Session screen. Reminder: For self-registration, students are NOT added to the test session prior to logging in. When a Test Monitor approves them to test, they will then be added to the test session. Refresh the screen or toggle between the “View By” screens to see current information.

15 Invalid Requests If for whatever reason, the student should NOT be in the test session, select Deny. The scenarios in which PearsonAccess will NOT allow you to approve a student to test are listed below along with the corresponding message you will receive in the Valid Request column. Select Remove Invalid Requests to remove from displaying in PearsonAccess. MessageScenario “No. Already in a session for this test.” The student is already in a test session (for the same grade and subject). “No. Not registered for test.”The student is not registered (i.e., does not have test eligibility) for the test. “No. SSID not found.”The MARSS/SSID does not match the student’s information in MARSS and PearsonAccess. “No. First Name and Last Name and SSID not a valid combination.” The first and last name and SSID combination does not match what is in MARSS and PearsonAccess. NOTE: If the names do appear to match, check for extra spaces before or after the names. “No. Accom code does not match Form Group Type.” The form group type does not match the accommodations indicated for the student in PearsonAccess. For example, a student with accommodations indicated in PearsonAccess is requesting to log in to a Main form, or a student with no accommodations indicated is requesting to log in to an Accommodated form.

16 Monitor a Test Session In addition to monitoring the students testing in the classroom, you can monitor their test status in PearsonAccess by viewing the Status column. Test Sessions do NOT need to be stopped. Reports are by individual student tests and not by test sessions. Stopping a test session is not an option if not all students in the test session are either in “completed” or “marked complete” status. StatusDescription Ready The student has not yet started the test. This status will only display if used with manual registration for data entry. ActiveThe student has logged in and started the test. ExitedThe student exited the test but has not submitted the test. SubmittedThe student has finished testing and has submitted the test. CompletedThe student’s answers have been submitted and scored. Marked CompleteThe test has been marked complete. ResumedThe student has been authorized to resume the test. Resumed-Upload The student is ready to log back in to the session and some responses may not have been sent to Pearson servers before exiting. Remaining responses will be sent before the student can resume testing. NOTE: In rare cases where TestNav cannot locate the student response file, students will be prompted to enter the location of the student response file. See the PearsonAccess User Guide and the TestNav 7.5 Early Warning System User Guide on the User Guides and Technology tab of the Resources page in PearsonAccess.

17 Resume a Test Steps to resume a test (if a student exits the test and needs to resume testing): 1.Select the checkbox next to the student(s) that need(s) to be resumed. 2.Select Resume Test. 3.Student’s can now log back into TestNav with the same student information that they used initially. 4.When the student(s) have submitted the test in TestNav, the student will be in Completed status. Reminder: The Online Test Monitor Certification Course and the Online Testing Quick Guide are two resources available that provide step-by-step instructions.

18 Mark a Test Complete If a student will not finish testing and you want to mark the test complete, complete the following steps: 1.Select the checkbox next to the student(s) that need(s) to be marked complete. 2.Select Mark Test Complete. 3.Select OTH = Other from the Reason drop-down menu. 4.Select Save. If a student does not submit their test or is not marked complete during the testing window, Pearson will automatically mark the test complete at the end of the testing window.

19 Invalidate a Test There are two ways to invalidate a test. 1.If the student will not complete (submit) the test in TestNav, you will need to mark the test complete before invalidating the test.  Steps to mark a test complete and then invalidate test: o Select Online Test Sessions on the Home screen. o Find and select the online test session name/hyperlink the student is in. o Select the checkbox next to the student’s name. o Select Mark Test Complete. o Select INV = Invalid Test in the Reason drop-down menu. o Select Save. 2.If the student does complete (submit) the test in TestNav, you need to invalidate the test on the Student Test Details screen.  Steps to invalidate a test: o Select Student Eligibility Data on the Home screen. o Search for the student using the search options. o Select the student’s name/hyperlink. o Select the Assigned Tests tab. o Select the test hyperlink to be invalidated (i.e. Grade 3 Mathematics MCA). o Select Edit. o Select INV = Invalid Test in the Reason drop-down menu. o Select Save.

23 Students Who Move During Testing (From School to School or District to District) All student data in PearsonAccess comes from MDE-ORG. There are two scenarios:  Students who move who have NOT started testing  Student who move who HAVE started testing: o In the same district o In a different district

24 Students Who Have NOT Started Testing (From School to School or District to District) For students who have NOT started testing: There is NO action needed. Once Pearson receives the updated information in precode, the student’s test eligibility will be automatically moved to the new school. NOTE per the Important Dates sheet: In order for a student to be loaded in PearsonAccess for online testing or data entry, any MARSS enrollment updates must be submitted at least three business days in advance. Once MARSS is submitted to MDE, that data is gathered overnight and is available the next day in Test WES for Pretest Editing and Precode Student Eligibility. Any change made in Pretest Editing or Precode Student Eligibility will be reflected in PearsonAccess in two business days.

25 Students Who HAVE Started Testing in the SAME District If a student moves from School A to School B in the same district, but has started testing, there are 3 options for the district: DAC/DA provides the test session test code for the original test session in School A to School B for the student to complete testing. School A will need to resume the student’s test prior to logging in. After the test is completed, the DAC/DA must contact Pearson to move the student’s test to School B for reporting purposes. DAC/DA contacts Pearson to move the student’s test from the test session in School A to a test session in School B to complete testing. After the test is completed, the DAC/DA must contact Pearson to move the student’s test to School B for reporting purposes. DAC/DA completes the following steps in PearsonAccess to move the student’s test from the test session in School A to another test session in School B to complete testing. After the test is completed, the DAC/DA must contact Pearson to move the student’s test to School B for reporting purposes. Pearson will report the test at School B within one week after the test is completed; until then, the report will be available under School A. Steps on next slide

26 Students Who HAVE Started Testing in the SAME District: Option 3 DAC/DA completes the following steps in PearsonAccess to move the student’s test from the test session in School A to another test session in School B to complete testing. After the test is completed, the DAC/DA must contact Pearson to move the student’s test to School B for reporting purposes. 1.From the Home tab, select Online Test Sessions under Test Management. If a test session has already been created at School B, skip to step 6. If you are moving the student(s) to a new test session at School B, continue with the following steps. 2.Select New Session. 3.In the New Test Sessions screen, enter the required information, as indicated by red arrows, to create a new test session at School B. 4.Select Save. 5.Select Return to Manage Test Sessions. 6.Find and select the hyperlink of the test session name that the student(s) is currently in. 7.Select the checkbox next to the student’s name(s) and then select Move. 8.To move the student(s) to an existing test session, select the name of the test session in the drop-down menu under Move to an existing test session. 9.Select Move Students. 10.Select Yes – Move students to confirm the move. 11.Select Go to Session Details to go to the new Session Details screen.

27 Students Who HAVE Started Testing in a Different District If a student moves from School A to School B in a different district and has started testing: The DAC/DA in the new district must contact Pearson to move the student from one test session to another. After the test is completed, the DAC/DA must contact Pearson to have the student’s test moved to School B for reporting purposes. Pearson will report the test at School B within one week after the test is completed; until then, the report will be available under School A.

30 Data Entry for Paper Accommodations Create a Test Session If a student has a paper accommodation, their responses must be entered into a data entry form in TestNav. Steps for data entry for paper accommodations: 1.Create a Test Session. o All steps are the same as previous EXCEPT select Data Entry as the Form Group Type. o Add students manually to the test session (manual registration). Steps continued on next slide

31 Data Entry for Paper Accommodations Add Student(s) and Start a Test Session Steps for data entry for paper accommodations: 1. Select Add Students. 2.Select the Students radio button. 3.Select the checkbox next to the student(s) to be added to the data entry test session. 4.Select Add to session. 5.Select Start to start the test session. 6.OPTIONAL: Print out a Student Authorization ticket. 7.Log into TestNav (http://testnav.com/mn). 8.Enter student login information.  Username = student’s MARSS/SSID  Test Code = generated after the test session is created in PearsonAccess 9.Select LOG IN. 10.Enter your Name and E-mail address 11.Select Close to move to the first item. 12. Enter student responses. 13. Select Submit and Exit Test when complete.

32 5 On-Demand Reports Teacher Report Access User Role

33 On-Demand Reports for DACs, DAs, SACs, and SAs See the PearsonAccess Uploading Student Rosters for Reporting: Instructions and Template on the User Guides and Technology tab on the PearsonAccess Resources page. DAC, DA, SAC, and SA user roles have access to reporting features can access On-Demand Reports; rosters do not need to be created for them. The need to roster students is specific to users with Teacher Report Access to allow them to access On-Demand Reports. District and school level users can view results for all rostered groups on the Rostered Group tab (e.g., a DAC could view results for students based on the teachers they are assigned to) OR by session name on the Session Name tab. If a school- or district-level user role is also assigned the Teacher Report Access role, data for Longitudinal and On-Demand Reports will be restricted to students in the rostered classes for that user. For example, if a District Assessment Coordinator adds the Teacher Report Access role to their account, On-Demand Reports will not be viewable because rosters are not submitted for DACs. This is because the District Assessment Coordinator role is designed to view data for all students in the district, rather than being limited to a rostered group of students. For this reason, the Teacher Report Access role should not be combined with other PearsonAccess user roles.

34 On-Demand Reports for Teacher Report Access Role Users with the Teacher Report Access user role who have rostered groups assigned to them are able to view student results in On- Demand Reports. The Teacher Report Access role should not be combined with other PearsonAccess roles. Users with Teacher Report Access can only access results on the Rostered Group tab when they have rosters assigned to them. See the PearsonAccess Uploading Student Rosters for Reporting: Instructions and Template on the User Guides and Technology tab on the PearsonAccess Resources page.

36 MTAS Score Entry Overview In order to enter scores:  LCI data must be entered and submitted once per student before any MTAS scores can be entered.  Users with the MTAS Score Entry role MUST be assigned to at least one student by their DAC or DA (using the Manage Teacher Assignment functionality in PearsonAccess).  Users with the DACs, DAs, SACs, and SAs role do NOT need to be assigned to students prior to entering scores.  Your current organization must be set at the school level.

37 Enter Scores Select Enter Scores under MTAS Score Entry. The Student Selector box will list groups of MTAS grade(s) and test subject(s). If there is more than one group, select the plus sign to expand the group and to see all the students in a given grade/subject group. From the group, select the name of the student whose scores you will enter. Under Student Details verify the student information. Under Assessment Details, select the radio button for the MTAS test.  The LCI radio button will appear instead if you have not yet submitted the LCI. DACs, DAs, SACs, and SAs will have access to all students who have MTAS eligibility for a grade and subject in their district or school. Users with the MTAS Score Entry role will only have access to students that their DAC or DA assign to them using the Manage Teacher Assignment link under MTAS Score Entry.

38 Under Enter Scores, enter the student scores by selecting the score point next to each task.  For Mathematics and Science, 15 tasks will display.  For Reading, 15 tasks will also display, but you will also need to enter reading passage access. o The score entry screen for Reading includes one reading passage access question for each passage in addition to the three associated tasks. Refer to the passage access indicated on the Data Collection Form. Use the drop-down menu to indicate whether the passage was read aloud to the student, whether the student read the passage along with the Test Administrator, or whether the student read the passage independently. Enter the student’s score for each task by selecting the corresponding radio button for the score point of 3, 2, 1, or 0. Continue until all scores are entered. Enter Scores (Cont.)

39 To clear a response, select the checkbox next to the questions and then select Clear, To clear all responses, select the checkbox in the blue bar and then select Clear. When all task scores are entered, review your entries and select Save. You must select Save to save the data. Once Save is selected, a “Successfully saved” message will appear on the green bar. When MTAS scores are entered and saved, the Submit button becomes activated. Select Submit to submit the test for scoring. You will be asked to confirm you are ready to submit the test. Select Yes-Submit or No- Cancel. Once the test is submitted, it can no longer be edited. A “Successfully saved” message will appear again on the green bar, the test status will change to “Submitted,” and the test will be viewable, but grayed out. Enter Scores (Cont.) IMPORTANT: The Submit button will appear after saving MTAS scores at any point, but you must not select Submit until all MTAS scores have been entered and saved. For example, if you selected Save after entering the first five scores, the Submit button will be activated. If you do not select Save again after all scores have been entered, the remaining scores will not be saved when you submit the test.

40 If all data entry for a subject cannot be completed in one sitting, you must Save the data before you log out of PearsonAccess. If saved, the data you entered will be saved until you log in again. Do not submit scores for a test until all data entry is complete for that test subject. Any tasks that could not be administered to the student should be left blank when entering scores. If the tasks will not be administered during the testing window, the test can be submitted with fewer than 15 task scores. However, in cases where not all of the tasks were administered to the student, the result will not be a valid score for the student. To submit student scores when not all tasks will be administered during the testing window, select Submit in the Enter Scores section. Enter Scores (Cont.) A “Successfully saved” message will appear again on the green bar, the test status will change to “Submitted,” and the test will be grayed out.

41 If an MTAS test was submitted in error, the Test Administrator will need to contact their DAC or DA. The DAC and DA user roles in PearsonAccess have the permission to unsubmit an MTAS test during the MTAS testing window. Select Enter Scores under MTAS Score Entry. The Student Selector box will list groups of MTAS (s) and test subject(s). If there is more than one group, select the plus sign to expand the group and to see all the students in a given group. From the group, select the name of the student whose test you need to unsubmit. Under Assessment Details, select the radio button for the desired MTAS test to ensure that you have chosen the correct subject to unsubmit. Select Unsubmit. The Unsubmit button is activated only when the test has already been submitted. You will be asked to confirm you want to unsubmit the test. Select Yes-Unsubmit or No-Cancel. A “Successfully saved” message will appear on the green bar. The test status will revert to the status the test was in prior to being unsubmitted and score entry may be resumed. Unsubmit MTAS Score Entry Only the DAC and DA user roles have the permission to unsubmit a test during the testing window.

42 MTAS invalidations are entered in PearsonAccess on the Invalidate Test screen. LCI data must be submitted prior to entering an invalidation. The District Assessment Coordinator and the District Administrator user roles in PearsonAccess have the permission to invalidate a test or remove an invalidation during the testing window. Select Enter Scores under MTAS Score Entry. The Student Selector box will list groups of MTAS (s) and test subject(s). If there is more than one group, select the plus sign to expand the group and to see all the students in a given group. From the group, select the name of the student for whose test to invalidate. Under Assessment Details, select the radio button for the desired MTAS test to ensure that you have chosen the correct subject for invalidation. Select Invalidate Test. Select Yes-Invalidate Test to confirm your selection. A “Successfully saved” message will appear on the green bar. The test status will change to “INV,” and the test radio button will be grayed out. Once the test is invalidated, it can no longer be accessed or edited until the invalidation is removed.  To remove an invalidation, select Remove Invalidation. Select Yes-Remove Invalidation to confirm your selection.  A “Successfully saved” message will appear on the green bar. The test status will revert to the status the test was in prior to being invalidated. Enter or Remove an Invalidation Only the DAC and DA user roles have the permission to enter or remove an invalidation during the testing window.

43 The View Status Reports feature is available within the MTAS Score Entry tab in PearsonAccess. Test Administrators have access to two school-level status reports: School Assessment Status Summary Report and School Student Status Report. Both of these reports are updated in real time and can be downloaded to Excel. DACs and DAs have access to both the school-level status reports AND district-level status reports: District Assessment Status Summary Report and District Student Status Report The district-level reports are refreshed hourly and can be downloaded to Excel.  The Assessment Status Summary Reports generates an on-screen report displaying the number of tests in each test status.  The Student Status Report generates an on-screen report listing all students with MTAS test eligibility and their test status. View Status Reports If your PearsonAccess user role is at a district level (DAC or DA), you will need to change your organization to the school in which the student is enrolled prior to viewing school reports.
