3 Paychecks – Abbreviations you May Encounter NML: This is your “normal salary.” It is equally divided by the number of months you are paid. VAC: This is vacation paid each month in lieu of hours. LONG: Longevity earned for years of service per our contract. *STP: Bilingual stipend. ARR: This is for earnings in a prior pay period. RET: Retroactive pay lines. Used when a retroactive pay raise is received. OT: Overtime is paid for work on the 6 th or 7 th day or when an employee works more than eight hours/day. SPL: Extra duty submitted on timesheets. SUP: This is off-schedule pay such as health aide stipends.

4 Paychecks – Statutory Deductions Retirement System: If you work four or more hours/day in a position you are placed in CalPERS. If your schedule is less than four hours/day, you are placed in an alternate retirement plan. The only exception these retirement systems in a Classified position is if you hold a teaching credential and select STRS membership at the beginning of your Classified assignment. Federal and State Tax OASDI: This is Social Security tax. The District does NOT pay into the California state disability (SDI) system; however, you may purchase a disability insurance policy through AFLAC. CSEA Dues

5 11-Pay Employees Instructional aides are paid to work 192 days throughout the school year. The payroll for classified employees is equally distributed over 11 months. The first paycheck received is August 30. The last paycheck received is June 30.

6 Extra-Duty Timesheets Any extra duty that you do during the day after your regular work shift, should be placed on the “White” Regular Classified Employee-Extra Duty Time Sheet. If you are a classified employee who is authorized by Human Resources to sub for a certificated teacher, fill out the “Buff” Substitute Teacher Hourly Time Sheet.

7 Extra-Duty Timesheets Fill in your name as registered with Lucia Mar in a legible manner at the top of the form, as well as, the last four digits of your social security number. Be sure that the month worked, extra hours worked, the reason for working the extra duty, and site is noted on the timesheet. As a classified employee, you are paid on an hourly basis. If you are filling out a timesheet and it states that you worked either a full day, or a half day, you are filling out the wrong sheet. These timesheets must be submitted to Student Services, who will sign them off and send them over to the payroll office to be paid. They are due no later than the 15 th of each month in order to meet the end of the month payroll.

8 Vacation in Pay Instructional assistants are required to work when the students are in school. They are additionally required not to work when students are not in session. The vacation in pay has been a long-standing practice with the District. Instructional assistants receive their vacation-in-pay which is equalized throughout all 11 paychecks in the school year. Example 1: First Year Employee: 10 vacation-in-pay days 15-Year Employee: ◦15 vacation-in-pay days Refer to the Classified CSEA Bargaining Agreement – Leaves

9 PERS Retirement Specific PERS questions must be answered by PERS. Please refer to their website: www.calpers.ca.gov or call (888) 225-7377. www.calpers.ca.gov Changes in law regarding PERS and PEPRA. PERS Retirement also includes Social Security being taken out of your paycheck. Note: State Disability is NOT taken out of your paycheck.

10 SubFinder All employees are required to report their absences in SubFinder regardless if a substitute is required to be obtained or not. Absence Authorization Sheets – A signature means that you have read and approved your absences for that time period. Employees who have exhausted all leave options may be directed by Human Resources to contact the SubFinder Coordinator directly for absences. Tutorial ◦Log into your SubFinder account ◦On the right side of the page is a tutorial LMUSD Website ◦Online references and tutorials are available for download on the website Voice Registering ◦Employees & Subs must voice register to access their accounts Substitutes ◦All substitutes that are approved to work are entered into SubFinder. If your “prearranged” substitute does not appear in the drop down list; your substitute may not have been authorized to begin working yet.

11 Leaves An employee who is absent from work for a period of 3 days or longer OR who has exhausted all paid leaves (sick leave, personal necessity or personal leave) needs to contact Human Resources for further direction on reporting the absence. An employee who has exhausted all paid sick leave and are absent from work on account of their own personal illness will be in a differential pay status. Differential pay is calculated as follows: Your Hourly Rate of Pay - Cost of Sub=Differential Pay (Amount the Sub is paid)(the difference is the amount you are paid.) Any employee who has exhausted all personal necessity or personal leave and is absent from work due to reasons other than that employee’s own illness will receive a full dock in pay. If you are have exhausted all paid leaves you are directed to contact Human Resources immediately to report your absence. LONG TERM LEAVES Any employee who will need a leave of absence from work due to medical reasons for their own illness or for that of an immediate family member i.e., spouse, child, or parent will need to do the following: 1) Contact Human Resources and; 2) Complete the LMUSD leaves packet (located on the HR website or through contacting Human Resources)

12 Leaves Continued Per the CSEA Union contract, the total annual leave is credited at the beginning of the fiscal year, July 1. If you do not work the entire year or you are not a year-round, full-time employee then the leave is pro-rated. Absences are posted one month in arrears.

13 Transfer Process A transfer is only considered if there is an opening. The inter-district application is the form to be completed for a transfer. Involuntary transfers can occur at any time during the year at the supervisor’s discretion. See the CSEA Bargaining Agreement

14 Summer School Any Summer School positions are posted in March/April. Screening is conducted by Student Services. Only current employees are eligible to apply for summer school positions.
