5 NTBHA Survey Sending out to all providers today Complete and send back to Henson Rogers Help NTBHA to know your readiness status NTBHA to provide technical assistance for during transition Due this Friday, June 24th

6 Historical Data Conversion NTBHA Local Case Number State will provide NTBHA with cross reference of old and new LCN values NTBHA will provide lists to providers for their clients Sample files have already started coming from the state NTBHA will provide sample files to providers TRR (CANS/ANSA) Assessments State will run conversion of assessments to NTBHA Old Assessments under Value Options will expire as of 12/31/2016 New Assessments under NTBHA will be effective as of 1/1/2017 New Assessments will expire as of original expiration date.

7 NTBHA Unique Local Case Number Must be unique across NTBHA provider network Online users Can use their own Case Number/Medical Record Number If not unique to NTBHA, must use CMBHS screen to generate NTBHA LCN. Batch Users Can use online CMBHS screen to generate NTBHA LCN Can batch Client Registration (new) with provider LCN If provider LCN unique to NTBHA, Client Registration will be accepted If not unique, transaction will be rejected. Transaction will need to be re-submitted with a different LCN Transaction will need to be manually entered online

8 CMBHS Online New Logins for transactions starting 1/1/2017 Mental Health Client Profile/Registration Client Diagnosis TRR (CANS/ANSA) Assessments Enter with document status of “Ready for Review” Daily Data Dumps Available Substance Use Disorder Nothing changes except usernames/passwords Requesting CMBHS Usernames and Passwords

9 CMBHS Batch Submission Requesting Username and Password for FTP BHO ID, NPI and Vendor Number Required BHO ID and Vendor Numbers will be assigned by DSHS Available Transactions Client Registration Client Registration Update (available as of 1/1/2017) Client Diagnosis TRR (CANS/ANSA) Assessment

10 CMBHS Batch Changes effective 1/1/2017 Client Registration New/Update Optionally capture phone numbers Client Primary/Home Phone Client Cell Phone Client Work Phone CANS/ANSA Currently optional Client Name fields become required (like the Diagnosis) Name match algorithm used for diagnosis will also be used

11 CMBHS Batch Batch Error Correction and Monitoring NTBHA will have oversight role NOTE: In order to batch beginning 1/1/2017, testing must be completed this summer/fall. Next testing schedule has not been set and will not be anytime soon.

12 CMBHS Testing for Online and Batch CMBHS TEST/TRAIN system update over July 4 th weekend Testing opens late July (earliest will be July 31 st ). Target date to complete testing – labor day Online testing will include MH and SUD providers Only a couple of providers needed to test online transactions All providers to submit via batch must test State will be providing a minimum set of scenarios to complete

15 Encounter Data All Providers submit data to NTBHA NTBHA aggregates all information submitted NTBHA submits single file to the state NTBHA Providers error report to providers Provider submit to NTBHA NTBHA aggregates data NTBHA Submits to MBOW

16 Encounter Data Files will contain ALL information for current reporting period each time the file is submitted Final file for reporting period will be due by the 10 th of the following month Review NTBHA File Specifications Review Encounter Data Spreadsheet Error Reports will be provided on the NTBHA FTP site Requesting NTBHA FTP Username and password

17 Encounter Data Testing Need all providers to test NTBHA will provide technical assistance to each provider Kevin Shaw - Providers using spreadsheet Scott Trapp - Providers using automated system to generate file
