2 BEFORE MAKING A TRIP TO THE FACILITY, find the web page, and look for the stationery and items as you work through the training. Getting Familiar with the facility & resources Firstly, look around the customers public web site.; Then click on Agents Login – username “agent”, password= “password”.

3 Agents Web Page: Downloads & useful links There are lots of downloads of forms you will use everyday. Download the Agents Operational Menu or read from Screen. Pdf Agreement form for email attachments Read the Operators Manual – Use browser search function

4 Getting Familiar with the facility & resources Lots of useful stuff here – Save the link in your Bookmarks for fast easy access (then you can forget the passwords! Yard storage agreement form. Yard storage is $5 p.w. per container, paid in advance.) Selling Skills self test link.

6 Caretakers Roles & Responsibilities: Each week, you give the Caretaker a keybag and a Cleaning & Inspection Report. Fill out the unit numbers and go over any of the inspection items. File this report when it is returned as knowing what is in the sheds is critical. You may care to do the OVERLOCKS yourself – this avoids the wrong units being overlocked. Tidy up the keytaks and get the Caretaker to remove any surplus keys.

7 Caretakers Roles & Responsibilities: Check the grounds are neat, lawns cut, no rubbish. Remind caretaker if required. Would you store your furniture in a dirty facility? We put a kid-safe mouse bait in each shed We spray the units in between rentals to avoid claims for damage. We use the blower to thoroughly clean each unit. Caretaker checking your list of overlocks

8 Agents responsibilities: 6. Monthly Performance Reporting 1.Broadly, we AIM is to maximize rental occupancy with credit- worthy tenants. 2. Efficiently manage, promote & sell storage 3. Good administration of agreements, rentals, payments, tenants deposits, keys; and supervision of caretaker particularly regarding goods disposal 4. Prompt debt collection – AIM is to ensure no tenant is overdue by no more than 100 days. 5. Make suggestions for improvements.

9 Agents Monthly Performance Reporting: In addition to send monthly rental payment summaries, you need to complete a checklist and fax it to the owner. Put the original in your folder. This allows us to monitor trends and how the facility is performing.

10 A trip to the facility Take a LAYOUT PLAN and some keys to the gate, corridors, a large, a medium and a small; as it will help to visualize the sizes comparative to your car garage. Look in the corridors.. Bob in a medium 3 X 3 unit. Large unit. We also do yard storage – see web for yard agreement.

11 Main Points Familiarize yourself with the public and Agents WEB SITES. Be aware of the CARETAKERS DUTIES. Fill in the CLEANING & RESPECTION REPORTS. Be aware of your RESPONSIBILTIES. Check the Agent’s MONTHLY CHECKLIST. MENU
