Delivery Schedules & Long Term Forecasts May 2015 Supply Chain Platform: Rolls-Royce Training for Controls and Data Services Limited

Working with Delivery Schedules & Long Term Forecasts CDS publishes short and long-term schedule information to SCP-RR on a daily basis. Short-Term Demand >CDS uses a Delivery Schedule in SCP-RR to represent schedule requirements for typically the next six months as ‘daily buckets’. This can be amended to show between 8 and 99 weeks (limits apply). >The Delivery Schedule requires a response from the supplier. This may update the Delivery Date. Near-Term and Long-Term Demand CDS uses a Long-Term Forecast in SCP-RR to represent schedule requirements for 24 months out. The information on the Long-Term Forecast is typically presented as ‘monthly buckets’. CDS will provide up to 12 months of data, plus an aggregate of all future known requirements into the last monthly bucket. The Long-Term Forecast is ‘view only’ information. Supplier responses to this information should be directed to their CDS Account Controller. Copyright 2015 Exostar LLC. All Rights Reserved. 1

Business Process 1.Delivery Schedule: CDS publishes delivery schedules to their suppliers daily. The date it gets posted is known as the ‘Run Date’. 2.Delivery Schedule Response: Suppliers should respond to the delivery schedule by a time in the week agreed with their buyer. 3.Delivery Schedule Changes: CDS may publish changes or cancellations to delivery schedules in subsequent weekly publications. Suppliers are expected to respond. Note: CDS may also formally request changes via other communication methods. 5 Delivery Schedule Structure Each ‘Schedule Agreement’ from CDS can include multiple Delivery Schedules. Each line item represents a different item (for example, different part number or delivery location). Each request (or ‘schedule line’) represents a date and quantity. Each promise represents a confirmation from the Supplier. Schedule Agreement Line Item Header Request Promise Line Item Request Promise Note: If a Supplier cannot meet the entire request quantity and date, he can create multiple promises against that request. 4 Copyright 2015 Exostar LLC. 6 Reviewing Delivery Schedule and Response Options Offline – download the delivery schedule and then upload the response >Download Excel copy of delivery schedule out of SCP-RR – can upload to your own system >Download a version that allows a response back to CDS –You can change promise dates/quantities, or add lines to split promise quantities. –When your response is ready, upload the file back into SCP-RR. –The uploaded lines move to a ‘Sent’ state Online – view and respond in SCP-RR >View the delivery schedule online (use a search by ‘Run Date’) >Create your response in SCP-RR – up to 30 lines at a time from a list page –You can respond to ‘New’ and ‘Sent’ lines 5 Copyright 2015 Exostar LLC. All Rights Reserved.

Delivery Schedule - States New – Delivery schedules are loaded into SCP-RR in a ‘New’ state, and remain ‘New’ until there is a supplier response. Sent – after a response, it moves to a ‘Sent’ state. If another response, the status stays ‘Sent’ until the next update from CDS, which moves it back to ‘New’. Inactive – a line moves to ‘Inactive’ when it is delivered or no longer required. Inactive lines are held for 7 days from the Last Modified Date and then moved to ‘Archived’. Warning: If the whole schedule for an item is not updated by CDS, it will not be ‘Inactive’ – it is only visible in the history. Archived – lines automatically move to this state 30 days after ‘Delivery Date’ or 7 days after ‘Inactive’. They purge from SCP-RR 330 days later. To view your current delivery schedules, search for ‘New’ and ‘Sent’ states and a ‘Run Date’ that covers the last 7 days. 6 Copyright 2015 Exostar LLC. All Rights Reserved.

A maximum of 5000 records can be returned. Restrict your search criteria if necessary. Use an asterisk (*) as a wildcard for searching. Item/Part No and Plant are case sensitive fields Precede Supplier code with * or 0000 (eg *200000 or 0000200000) Use a comma for listing search criteria (no spaces). Searching Tips 13 ‘Run Date’ is when data was sent by CDS. The ‘From’ field defaults to 7 days ago to capture the most recent data. Historical data can only be viewed from ‘View History’. ‘Schedule State’ selects all states by default. To view open requirements, select ‘New’ and ‘Sent’. ‘Schedule Last Modified’ includes when sent by CDS and response dates. Copyright 2015 Exostar LLC. All Rights Reserved.

Download & Upload Process You can take Delivery Schedule data offline, create a response and then upload the file back into SCP-RR. The file used for the upload must be downloaded from the ‘Download’ workflow. Only rows in a ‘New’ or ‘Sent’ state will be updated and included in the response to CDS. 14 Copyright 2015 Exostar LLC. 16 15 Download Delivery Schedules for uploading responses Upload/Download > Downloads > Order Management > Delivery Schedule Copyright 2015 Exostar LLC. All Rights Reserved. Enter search criteria >Leave the ‘Run Date - From’ as the default setting (last 7 days) >Select ‘New’ and ‘Sent’ states (hold down ‘Ctrl’ key) Click Search to Download

Select document type ‘Delivery Schedule Supplier Response Download’ Click Next On the Inbox Status window, click the ‘Refresh’ icon until the Status is ‘Completed’ Click on the File Name link (the name of the file) to open or save it IMPORTANT! Save the file with an ‘xls’ extension or file format. Your Excel version may change the file to ‘xlsx’, but that format will not upload. Download the Delivery Schedule Response File 16 Copyright 2015 Exostar LLC. All Rights Reserved.

Enter your response in columns with blue headings If you change a date or quantity: >‘Reason Code’ is required - type the letter code and it prepopulates from the top list >Enter a ‘Supplier Comment’ NOTE: Make sure that no promise dates are left from the previous week. Create Your Response 17 Copyright 2015 Exostar LLC. All Rights Reserved.

Add a Promise (Row) to an Upload File You can respond with multiple promises for a request by adding rows to the upload file. Copy and paste (use ‘insert’) the entire row for the request Edit columns H through K NOTE: Only when adding rows, change the ‘Promise ID’ for each added row (1,2,3 etc.). 18 Copyright 2015 Exostar LLC. All Rights Reserved.

Hints and Tips 19 Do not remove rows 1 through 13! The data may be filtered or sorted on row 14. Only respond within columns H through L. Do not insert columns or change column order! When inserting a row, remember to update the line ID (column L). For ‘Promise Date’, use a YYYY-MM-DD format. The supplier comments field can hold up to 255 characters. Please use them! Do not include special characters in the ‘Supplier Comments’. If no changes are made, commitment to the schedule is inferred. Make sure no promises are ‘overdue’ dates. You must promise the full quantity requested, add rows as required. If CDS did not previously accept your promise, it may be presented to you again in the next issue of the schedule. Contact the buyer to discuss any issues. When your response is uploaded, it takes several hours to reach CDS. You may want to notify CDS that you sent a response. Copyright 2015 Exostar LLC. All Rights Reserved.

Go to Upload/Download  Uploads  Order Management  Delivery Schedule Click Browse and locate your file, then click Next (make sure the file is ‘xls’ format) On the Inbox Status window, click the ‘Refresh’ icon until the Status is ‘Completed’ Note: A red exclamation icon next to the status ‘Completed’ means the upload was unsuccessful. Click on the ‘Completed’ link to view the error file. If needed, fix errors and repeat the upload process with the revised file. Upload the File Back into SCP 20 Copyright 2015 Exostar LLC. 22 Online: View and Respond to Delivery Schedules 21 Copyright 2015 Exostar LLC. All Rights Reserved.

You may view and respond to delivery schedules online. Some suppliers with low schedule line or part number counts prefer this method. Viewing Delivery Schedules online 22 Order Management > Delivery Schedule > Search Copyright 2015 Exostar LLC. All Rights Reserved. Enter search criteria >Leave the ‘Run Date - From’ as the default setting (last 7 days) >Select ‘New’ and ‘Sent’ states (hold down ‘Ctrl’ key) Click Search to Download

By default, there are 20 rows per page. You can change the ‘Records per page’ setting. Scroll right to see more data for each schedule line. Use the left and right arrow icons to navigate to other pages. To jump to another page, enter a page number in the white box and click the Jump button. View a List of Delivery Schedule Lines 23 Copyright 2015 Exostar LLC. All Rights Reserved.

Data Specific to CDS 24 Typical order line numbers are ‘F63942-001’. In SCP-RR, the first character is changed from a letter to that letter’s numeric order in the alphabet (A=0, B=1, etc.). Also the hyphen is removed. The Schedule ID number in SCP-RR would be ‘563942001’. Supplier Item Number – provides the Revision number and indicates if FAIR is required. Copyright 2015 Exostar LLC. 26 On a Delivery Schedule List page, click the Download Delivery Schedule button. Click Next. Click refresh until the status is ‘Completed’. Click the ‘File Name’ link then select to ‘Open’ or ‘Save’ the file. Download Delivery Schedules for Reference 25 Copyright 2015 Exostar LLC. All Rights Reserved.

Modify the Download Format You can modify the layout of the download file – i.e. data fields to include and in what order. After clicking the ‘Download’ button, you will see the Select Document Type pop-up Use the drop down for ‘Download Settings’ to select Create My Setting… Notes: Once a setting is saved as a template, it appears on this list and can be reused. The ‘Default Export’ version matches the Long-Term Forecast default download so that the two files can be combined for a view of short and long term demand. 26 Copyright 2015 Exostar LLC. All Rights Reserved.

Modify the Download Format (Continued) In the pop-up window, use left/right arrows to select data to download (move from ‘Available Fields’ to ‘Download Fields’). Use up/down arrows to move data to indicate placement on the downloaded spreadsheet – the first data field on the list becomes column A on the spreadsheet etc. Then use right arrows to copy fields to the ‘Sort Order’ box, to determine the sort order. When finished, enter a name for the saved setting, click Save As and then Update. Note: To edit a saved setting, select it from the dropdown list (top of page) and update. 27 Copyright 2015 Exostar LLC. All Rights Reserved.

Respond to the Delivery Schedule Many Delivery Schedule lines will not require a change to date/quantity in your response. For any lines that you agree to the date and quantity of the request, you can just select the row and click the Send button. This updates the status of that line to ‘Sent’. 28 Copyright 2015 Exostar LLC. All Rights Reserved.

Useful Tip: Respond to Many Lines Clicking the check box of the header row selects all rows on that page. You can then UNSELECT any rows that you need more time to confirm. Click Send to process the majority of the items on that page. Since the state changes to ‘Sent’, those rows will be removed from this list page. Continue to select and send the rows across the multiple pages. IMPORTANT! Complete your responses on this page and then go to the next page. 29 Copyright 2015 Exostar LLC. All Rights Reserved.

Modify a Schedule Line To modify your response for a schedule line, locate the row and update the ‘Promise Date’ and/or ‘Promise Quantity’ field. Use a YYYY-MM-DD format for the date (or click the calendar icon and select a date). For modified lines, ‘Reason Code’ is required. You can also add comments. Once the line is edited, select the row and click Send 30 Copyright 2015 Exostar LLC. All Rights Reserved.

It is optional to provide ‘Supplier Comments’ as part of your response. Avoid using special characters. There is a limit of 255 characters. NOTE: If you exceed 255 characters, the error message that appears in SCP-RR is not specific. See example below. (To remove the error, shorten the comments and send again.) ‘Supplier Comments’ Field 31 Copyright 2015 Exostar LLC. All Rights Reserved.

Split a Delivery You can provide multiple dates/quantities as your response for one request. Select the row and click the Add Promises button. In the pop-up window, fill in the revised information and click Save. The total of all ‘Promise Qty’ fields should equal the ‘Request Qty’. Click ‘OK’ and ‘Close’ in the confirmation windows, the lines move to a ‘Sent’ state The counts on list pages and summary pages will vary when adding rows with ‘Add Promise’. 32 Copyright 2015 Exostar LLC. All Rights Reserved.

Outdated Delivery Schedules Over time, some delivery schedule items will no longer require collaboration with CDS. Inactive – if an item no longer requires collaboration, but there are still other items to be delivered on other dates for that Delivery Schedule, then that item moves to an ‘Inactive’ state, but the rest of the items are still active (‘New’ or ‘Sent’ states). Deleted – this is not an actual state in SCP-RR, however once ALL of the items within a schedule are removed or delivered, then the items are deleted from the typical view and can only be found by searching. Note: Information on deleted items can only be found by searching on the ‘Run Date’ for a date when the delivery schedule was still active. 33 Copyright 2015 Exostar LLC. All Rights Reserved.

Troubleshooting Delivery Schedules If you see lines that have a quantity of zero, you have selected the ‘Inactive’ state. Re-run your search with ‘New’ and ‘Sent’ states selected with the default run date. If you see lines that have already been delivered, you have selected the ‘Archived’ state. Re-run your search with ‘New’ and ‘Sent’ states selected with the default run date. If you have a schedule agreement missing, ask CDS to check that the schedule agreement was released, or whether changes to company code were made to the header. To see a longer planning horizon, check the long term forecast (covered later). If you see data with a run date greater than one week ago, this is not the latest requirement for the material. Re-run your search with the default run date. If your delivery schedule is blank, check your search criteria. Others reasons include: Non payment of Exostar membership fee – check with your administrator The delivery schedules have not yet been published – check with CDS Internet connectivity issues – close your browser and open a new session You are not working in the Supply Chain Platform – Rolls-Royce application 34 Copyright 2015 Exostar LLC. 36 View History of Changes ‘View History’ in SCP-RR allows you to track the activity on a delivery schedule. Select only one row at a time Then click View History 35 Copyright 2015 Exostar LLC. All Rights Reserved.

To see details for one transaction, click the ‘+’ icon in the Audit Detail column. The date/time of the transaction, the user’s name and their role are listed on the left side. The right side shows the changed fields, and the old and new values. You can export this information in a ‘text’ format by clicking the Export icon, located next to the configure icon. 38 Long Term Forecasts 37 Copyright 2015 Exostar LLC. All Rights Reserved.

Business Process Long term forecasts in SCP-RR provide valuable planning information – including part numbers, delivery dates and quantities. Long term forecasts are ‘view only’ – you cannot respond in SCP-RR. If you need to discuss a requirement, contact CDS outside of SCP-RR. Long term forecasts are posted to SCP-RR multiple times during a week or month (depends on the item and requirements). The timeline for long term forecasts is posted as monthly buckets. CDS will provide data for 12 months (one month out from the delivery schedule information), plus all future known requirements combined into the 14 th monthly bucket. 38 Controls and Data Services Supplier Long Term Forecast Copyright 2015 Exostar LLC. Scroll to the right (last column) to see a total quantity per item for the time frame that is displayed. 2 1 MCV Page - Details 47 3 Copyright 2015 Exostar LLC. All Rights Reserved.

MCV Page – Change Calendar View 1.Enter a Start Date and End Date, and/or choose the Calendar view (weekly, monthly, quarterly, etc.) 2.Click the Refresh button This will not include the short-term data that is posted to the Delivery Schedule. This only resets the displayed view of data. It has no effect on data that was sent by CDS. 1. Calendar View Selectors 2. Refresh Button 48 Copyright 2015 Exostar LLC. All Rights Reserved.

If some schedule agreements do not appear in the long term forecast, check when your schedule agreements are due to expire. Only requirements within the validity period will be displayed. Columns D, O to V and AC are blank. This data is not present in the Long Term Forecast but over time these lines will move into the delivery schedule, where the fields are populated. If you do not see the exact same dates and quantities as CDS, this is because in the long term forecast, requirements are rolled up to the first day of the weekly or monthly period. The overall quantities will match. Troubleshooting Long Term Forecasts 49 Copyright 2015 Exostar LLC. All Rights Reserved.
