1 Who’s That Kid? And Who Does He Belong To?

2 We have a new student – Now what do we do?  Student has completed our registration packet  Have we been provided with a copy of the birth certificate and social security card?  Do we have information from the previous school?

3 Enter the student into your student software system using the information provided to you. Make sure and use the student’s legal name.

4 Request records through TRex from the previous school district. Once received correct student software as needed so that you have the legal name and correct social security number or State ID number.

5 Assign Unique ID once the student has actually been in attendance. Pay special attention to near matches so that duplicate UID numbers are not assigned.

6 Once the students that are in your software have been reconciled with the students who are actually in attendance; submit your first PET file (must be by the end of the third week of school).

7 Run the PET2D100 – PET PID Statement of Discrepancies Compare your information (actual birth certificate and/or social security card) and determine which school has the correct information If your information is correct, contact the previous school and share official documentation so that you are both in agreement

8 Steps for Assigning UID to Students New to Your District Step 1 Enter the student information as given into your Student System Step 2 Request records from previous district and reconcile with information given to you- make sure you have the legal name and social security card or state assigned number Step 3 Assign UID after the student has been in attendance – make sure you check all of the near matches in TSDS Unique ID before assigning a new number Step 4 Submit your first weekly PET file by the end of the 3 rd week of school and after you have reconciled the number of students in your software with the actual number of students in attendance Step 5 Run PET2D001- PET PID Statement of Discrepancies – check your information to make sure you have not made a typo – if think your information is correct, contact the other district to see what they have – determine in conjunction with the other district what the correct information is
