1 Aeries Browser Interface (ABI) Overview for Secondary Schools Prepared by Assessment & Accountability Department Revised: February 2013

2 What is ABI? Web-based application used to access portions of Aeries student information system  Attendance (replaces attendance scans)  Grades and Progress Reports (replaces grade and progress report scans)  Gradebook  Student Info Works with PC or Mac  Internet Explorer recommended for PC  Firefox or Safari recommended for Mac

3 Logging in to ABI http://aeriesweb/abi Mac users: http://aeriesweb.sbdom.sbcusd/abi 1.Enter user name and password 2.Select school 3.Click Log In button

4 Attendance

5 Taking Attendance Attendance can be entered for current date only All periods must be submitted prior to 3:15 PM. (lock-out time) Attendance Office will monitor for missing attendance submissions

6 Taking Attendance (cont.) Print weekly rosters for all periods (from ABI, grade book, etc.)  PE teachers use to record attendance while away from computer  Other teachers use rosters as back-up should system go down  Transfer attendance to ABI PE teachers—daily Other teachers—as needed

Attendance office will print Weekly Attendance Reports for teachers to verify and sign Can change attendance on Weekly Attendance Report  Mark corrected attendance code in any color other than black and circle the mark  A P T Can also submit BU-40 to Attendance Office to correct attendance marks

Potential Irregularities  Subs Site will print weekly attendance report Sub will record attendance, sign report, and return to attendance office Attendance office will record attendance in Aeries  New student appears on attendance screen but teacher is not able to record attendance Send student to attendance office

Potential Irregularities  Forget to post attendance prior to lock-out time Print a Weekly Attendance Report Record attendance manually and sign/date report Submit report to Attendance Office and attendance personnel will enter in Aeries  ABI system not available Record attendance on roster printed at beginning of the week Once system is available, transfer attendance from roster to ABI

11 Taking Attendance (cont.) Attendance sheet for current date and period will automatically display

12 Taking Attendance (cont.) Click period drop-down list to select different period Attendance Marks A = Absent P = Present T = Tardy NOTES All students are considered present unless you mark them absent (A) or tardy (T) P is used only to change a student’s attendance status to present after attendance has been submitted

Click the Submit Attendance button once all appropriate students have been marked absent or tardy Screen will refresh, period will display in black, and note will appear indicating last update time Click the Submit Attendance button even if no students are absent or tardy To update attendance after it has been submitted, simply change the attendance mark for the appropriate student and click the Submit Attendance button again

14 Printing Attendance Reports In Attendance section, click Reports tab Click Weekly Attendance Report

18 Printing Student Labels Labels can be printed with or without:  Parent/guardian names  Student names  Student addresses Will print to standard label sheets with 1”x2-5/8” labels (3 columns per page)

19 Printing Student Labels (cont.) In Attendance section, click Reports tab Click Class Address Labels

20 Printing Student Labels (cont.) Select desired period and options to include Click Submit button

21 Printing Student Labels (cont.) Click the printer icon or go to File  Print in the menu bar

22 Grades and Progress Reports

23 Submitting Grades Click Grades tab Click Grade Reporting tab

24 Submitting Grades (cont.) Classes are listed by period and page  1-1 = period 1, page 1  6-3 = period 6, page 3 Click the desired period-page link to load the student grades page

25 Submitting Grades (cont.) Set the quarter or semester grade for each student using the drop- down lists Type the citizenship (CI), work habits (WH), and comments marks in the appropriate boxes Click the Submit Grades button when done

26 Submitting Grades (cont.) Use the mass-set tool to auto-fill all blank citizenship (CI) and work habits (WH) marks Click the column headers for CI, WH, C1, C2, and C3 to see a list of acceptable marks Extra Features

27 Submitting Progress Reports Similar process to submitting grades More details to come…

28 Submitting Progress Reports & Poor Work Notices Middle Schools - Same process as submitting grades High Schools – Follow QRG for Poor Work Notices, you must use the Manually Enter Grades, NOT Load from Gradebook.

29 Things to Remember… Remember the page time-out (20 minutes) Remember to click the Submit buttons for attendance and grades (before being timed out) Remember to submit attendance for ALL periods before 3:15 PM each day
