3 Click on “Register as a New Sponsor”

4 Complete Profile Setup Choose a “User Name” that relates to your sponsor name. We recommend NOT using an individual’s name. The “User Name” cannot be changed for the life of the account. All other fields can be updated at anytime by the sponsor. Click “Create Profile” when done.

6 Live vs. AV A "live" activity takes place in "real time" (i.e. not pre- recorded). Participants attend either in person or through an electronic medium such as a teleconference, videoconference or webcast. Group viewings of pre-recorded courses presented by an expert moderator qualified to answer questions and expand on topics may also be considered live. An "AV" (audiovisual) activity is a pre-recorded seminar with a set running time viewed or listened to through an electronic medium, such as video or audio tape, CD, DVD or online. Text- only courses without a timed audio portion, even those that are interactive, do not qualify as AV courses.

7 Submitting a New Activity -- Live Click the “Create a new activity – Live” link to start a new live Form 1 application.

8 Submitting a Form 1 - Live If this is a webcast or teleconference, use the drop down menu under the “City” field. Credits are calculated at 1 credit per 60 minutes of education. Max total = General + ethics. Complete all fields with an asterisk.

9 If you are attaching a brochure that includes both the timed agenda and faculty information, type “see above” in the faculty box. You will be unable to submit the form without an upload or text in each of the boxes. You can use the “Comments about Activity” for any additional information you would like to provide, but it is not necessary to use this option. “Comments from WSBA Administration” will only have information if your course has been marked “incomplete” and returned for additional information, or if the course is denied. Clicking “Create Activity” will save the Form 1 submission. You can use this to update and add additional information before it is actually submitted to the WSBA for review. It is also the first step in submitting the course.

10 This is the second step to your Form 1 submission. Click the “Select” box, then click the “Pay and Submit Selected” button (see below). The “Activities to Submit” tab is also where you will find your saved activities.

11 Enter payment information. WSBA accepts Visa, MasterCard and American Express Click “Submit Payment” Once submitted, the course goes in the WSBA pending Form 1 queue for review.

12 You can check the status of your submissions anytime by logging into your online account. A course that is “PENDING” is in the queue to be reviewed. Typically the wait time is 2-3 weeks for review.

13 If we need additional information about the course to complete the review process, we will mark it “incomplete”. From your home page you can click “you have one INCOMPLETE activity” to access the incomplete Form 1.

14 Click the “Act ID” [Activity ID] number to open the Form 1. A message about what is needed to continue the Form 1 review will be on the next screen.

15 Depending on your software version, the “message from webpage” box may pop up automatically showing why the course has been marked incomplete. The information is always available in the “Comments from WSBA Administration box” Follow the WSBA Administration instructions. You may reply to the message in the “Comments about Activity” field. Click “Save Activity” which will send the Form 1 back to the WSBA queue. Items are in the queue by the original submission date. A resubmission goes back to the top of the queue; it does not start over at the bottom.

16 REPORTING ATTENDANCE Click on the “Attendance” tab to start the attendance reporting process. Only courses for which the attendance has not yet been reported will be listed under the “Attendance” tab. Click “Submit Attendance” link on the individual course for which you want to report attendance. Attendance must be submitted within 30 days of the end date of the course to avoid a $35.00 late fee. Clicking “No Attendance” will remove the course from this list, but if the course has been cancelled, please let us know.

17 Click “Add Attendee” to begin adding your attendance list. Presenters get attendance credit for the time they spent speaking and attending. (They must apply on their own behalf for additional preparation time credits.) If you click “Upload File” the instructions for creating the file will show. We only recommend using this option if you have 20+ attendees.

18 Enter the member’s bar number and tab to the next field. The member’s name will automatically populate. The credit boxes will default to full credits, but you can adjust according to the member’s actual attendance. Click “Add” to add the member to the course attendance list.

19 The “Success” status to the left only means the member has been successfully added to the list. Click “Add Attendee” for each of the other members on your attendance report. Once the list is complete you must click “Save Changes To List” to submit the attendance to the WSBA.

20 The attendance list will be saved on your “Activities to Submit” page until you pay and submit.

21 The receipt page will pop up after your submission is complete. Please print this page for your records. Currently there is no way for the sponsor to access this receipt again at a later date, but the WSBA hopes to have that improvement in the future.

22 If you forgot an attendee, you can add additional members. If you are putting on another identical course or courses -- or recording an A/V version of the live course -- use the “Duplicate” feature to create new Form 1s for these courses from the original application. The new Form 1s will be automatically approved and can be submitted at no cost. For the A/V course, wait until the recorded program has been produced before submitting the “Duplicate” Form 1 so that you know the run time of the program.

23 A/V Form 1-Duplicate Click “Audio/Video” in the “Audio/Video or Live” field. Fill in both the Total Run Time and the Time Devoted to Ethics sections of the “Runtime in Minutes” field. Click “Create Activity” when complete.
