2 Starting a flight reservation 2 1 On Home tab or Trips tab Select the main travellers from the drop down menu and the total number of travellers (6 max). 2 Select ‘return’, ‘one way’ or ‘multi destinations’ Enter ‘departing from’ location and dates & ‘going to’ location and dates 3 4 Refine options: You can narrow your search by selecting specific airlines, Low Cost only, cabin class, number of stops, airline alliance group 2 3 4 Click on ‘Search’: a waiting page is displayed Are you flexible about your travel dates? You can search for low fares available at +/- 2 days by checking the dedicated box in the search. Search > Flight Selection > Pricing > Confirmation 1

5 2 1 Once you have selected your outbound flight, you will be directed to the next page to select your inbound flight Your selected outbound flight is displayed on the top of the page and can be edited using the Change button Just like the outbound page, a list of extensive results are displayed which can be sorted by the following criteria: Airline, Departure, Arrival, Duration, Preferred, From Price Click on ‘Select’ to choose a flight 2 Search > Flight Selection > Pricing > Confirmation 1 Outbound Inbound Select An Inbound Flight

To edit Outbound flight segment, use the ‘Change’ button, otherwise you can ‘Select and continue’ 2 At the summary page for a one way booking, you will be prompted to ‘+ Add a flight.’ The ‘From‘ field will default to the destination One Way 1 2

9 1 At this step, your ‘Trip’ is created but not booked yet You can review flight details, select a seat, add a hotel, add a car, etc. If you stop the booking process here, we store your itinerary (draft) in ‘My trips’ section You can easily identify it with a blue icon Search > Flight Selection > Pricing > Confirmation Checkout: Review & Finalise Your Booking

10 1 2 At this step, you can add a hotel or a car to your trip and review your flight details When booking flights, you can easily select your seat(s) by using our Seat Map if this feature is available on the selected route and booking class. On the Checkout page, click on "Select seats for this trip" to see Seat Maps available for your itinerary. 1 3 Seat may be chosen separately for each segment of the journey: Select an available seat (in blue) for each passenger then click on "Next Flight" to view the Seat Map of the following flight. To confirm your seat selection click on the "Request seats" button on the last tab. Please note that selected seats will be requested with the carrier but cannot be guaranteed. Seat Map may not be displayed for some domestic flights, multi-passenger booking codeshare flights (e.g. seat map can only be controlled by the airline that operates the flight) Low Cost airlines (seat maps not available through our LCC content provider) Search > Flight Selection > Pricing > Confirmation 3 2 Checkout: Complete Your Booking

11 Checkout: Trip information, Ticketing & Payment 11 1 2 Check passenger name and select the division and activity code. Next enter the I and E code and reason for travel. If an out of policy flight has been selected, approval may be required. There is an option to add a message to the approver or to the travel consultant making the booking. Cliquez sur « réserver » pour continuer finaliser le processus de réservation. 1 4 3 E-ticketing (electronic ticketing) is available by default on your Egencia website. Low Cost specific: You will be prompted to tick the box indicating that you have read and accepted the airlines terms and conditions. By ticking this box, this will allow Egencia to immediately send the airline your details. Important: Low cost airline bookings are instantly purchased 4 If asked, specify refusal reason of savings. Payment means used by your company is displayed by default. You can also add individual credit card. Click on ‘Confirm’ to validate you booking 2 3

12 Reservation 12 1 2 The reservation is now complete! Keep the booking reference for any communication with the Customer Service team A confirmation email is automatically sent Cliquez sur imprimer pour imprimer le récapitulatif votre réservation. 13 FAQs 13 1- How to start a search? It's very easy and quick. The minimum fields you must specify are: - The main traveller - The total number of travelers on the trip - The departure and arrival city (or airport). Just type in the first 3 letters and select from the list. If you do not find the city you’re looking for, continue typing. - The departure time. By default, it is "anytime" but you may specify "leaving after" or "departing before". The results will display a wide selection of flights matching your search criteria. - Click on "Search" Are you flexible about your travel dates? You can search for low fares available at +/- 2 days by checking the dedicated box on the search form. Please note that your flight search results will only display availabilities. If a flight is fully booked, it will not be displayed. To know where you are in the booking process, look at the progress bar at the top of the page. The step you're at is highlighted in yellow (e.g., search, outbound flight, inbound flight, pricing etc...). 2- Is there a time to book online? There is no time limit to book a flight online (you can book travel for the same day). However, if you make a booking very close to departure, you might be asked to contact Customer Service to finalise the booking. 3- How do I specify an airline? Simply click on the field and select as many airlines as you wish to see in the results by checking the corresponding boxes. The results will only include flights on these airlines. To close this field, click anywhere on the page. 4- Why do I have to choose a cabin class? In order to offer a comprehensive list of airlines matching your request, you must select a cabin class. Once your flights are selected, you will be able to compare the fares in other cabins on the Pricing page. 5- What are the total number of travellers for? Specifying the total number of travellers in the reservation will ensure flight availability. The fares displayed will be for total number of travellers.

14 14 6- What does "on hold" signify? "On hold" is an option in the booking path that enables a traveller to hold a ticket until their booker confirms the trip. After selecting a ticketing date, check the "on hold" box. Bookings must be confirmed and approved by the ticketing date selected and specified on the confirmation page and email or the ticket will NOT be issued. Please note that the price is not guaranteed until the ticket is issued as it may be modified by the travel provider. Specific Case A booking placed "on hold" and blocked for approval must be confirmed and approved by the deadline or the ticket will NOT be issued. 7- What ticketing options do I have? E-ticketing (electronic ticketing) is available by default on your Egencia website. A recommended ticketing date based on the type of fare selected, the day/time of departure and the day/time of the booking is automatically proposed. If available, the selection of an earlier ticketing solution will be enabled through a drop down menu. Please note that on the ticketing date selected, an electronic receipt containing the reservation and ticket numbers will be sent by email. This document and a valid personal identification will be required at check-in. Prepaid ticketing is used in the case of last minute bookings or if E-ticketing is not allowed by one or more airlines within your booking. Our customer service team may request that the supplier issue the ticket on their behalf. Subsequent to this, the passenger should collect their ticket at the airline's airport counter. A service fee will be charged by the airline for this operation. This fee may vary depending on the airline. Low Cost specific Low cost reservations are ticketed at the end of the booking. The confirmation number will be sent by email and a valid personal identification will be required at check-in. FAQs

15 15 8- What does "no delivery run" signify? Sometimes the minimum time between booking and departure or the ticketing deadline imposed by the airline is too short to propose a date of ticketing/delivery. The deadline for ordering on the website and the availability of a ticketing/delivery solution may vary depending on: Last ticketing date defined by the airline for the selected fare Ticket type Day/time of departure Day/time of the booking By default the website displays a ticketing/delivery date 2 working days before the departure date. If there is no delivery/ticketing run available, please contact your Customer Service team to assess whether the booking can be ticketed. 9- What are the restrictions of Low Cost bookings? Instant e-ticketing only: Low cost reservations are ticketed at the end of the booking. The confirmation number is sent by email and a valid personal identification will be required at check-in. No Approval: The approval policy does not apply to Low Cost airlines because the ticket is issued at the time of booking. An email is sent to the approver for information only. Modification and cancellation conditions: Rules and restrictions are imposed by airlines and are subject to change. Egencia must conform to these rules. Unless otherwise specified, tickets are non-refundable and modifications may imply penalties. Modification or cancellations are not possible on the Egencia website. For modifications or cancellations, the customer needs to contact the Egencia customer service team. Additional services: If services such as speedy boarding and extra luggage are available on the selected low cost carrier they can only be added online at the time of booking. After booking, the customer needs to contact the Egencia customer service team. 10- How to reserve my seat(s) online? When booking flights, you can easily select your seat(s) by using our Seat Map. Click on "Select seats for this trip" to see Seat Maps available for your itinerary. Seat may be chosen separately for each sector of the journey: select an available seat (in blue) for each passenger then click on "Next Flight" to view the Seat Map of the following flight. To confirm your seat selection click on the "Request seats" button on the last tab. Please note: Seat Maps may not be available for all flights, depending on the route and the airline. Selected seats will be requested to the carrier but cannot be guaranteed. You can check the status of your seat request on the Dossier page at any time.
