How to Receive a Reserve Item Part 4 of the Series on Reserves Using Agent VERSO

There are three different events for which you will need to receive an item that has been Reserved. When you are the Requesting Library (the one who placed the Reserve), and you have just received the item, but have not yet loaned it to the patron. When you are the Requesting Library, and your patron has just returned the book to you – and now you need to return it to the Lending Library. When you are the Lending Library (the one who filled the Reserve), and you have just received the item back from the Requesting Library.

In each of these cases, there are special steps to follow, and in each case, they are similar, but different.

In the first scenario, the Requesting Library has received the Reserve item.

The patron’s record looks like this:

When you receive the item, notify the patron. When the patron arrives, click Check It Out, write the due date, and hand them the item. The Autographics software is programmed to allow 3 days “Shelf Time” for the patron to pick up the item. If the patron neglects to show up and check out the item, Agent notifies the requesting library to return it. Please note:

If you are tracking your intercampus lending and borrowing, you may want to print the patron record at this point, and place it behind your list of Items Borrowed. Be sure to remove and shred this printout, after the patron returns the item, and you have sent it back to the Lending Library.

If the item becomes overdue, it will appear on the list for the Lending Library, not on your list. But, if it’s your patron who has the overdue item, it is courteous of you, if you will follow up with the patron, and remind them to return the item. Printing the patron’s record after checkout, and tracking your lending and borrowing are effective tools we can use to maximize our service to our fellow librarians, as well as our patrons.

In the second scenario, the Requesting Library has received the Reserve item back from the patron. For this situation, please refer to Part 5: How to Return a Reserve Item

In the third scenario, the Lending Library has received the Reserve Item. This library is the home library for the Reserve item.

What should the Lending Library do, when an item they have loaned has been returned? Simply, check it in. Checking it in, as you do with all returns, will change the status from In Transit to Available. The item can now be reshelved.

After the Lending Library checks in the Reserve item, the screen looks like this: It’s ok to close this window.

The Item Status screen looks like this: Last status of PREVIOUS Transaction. New status.

The action by the Lending Library, of checking in the loaned item after it is received at its home campus, removes the item from the Reserve module. Until this happens, the loaned item will continue to show on Reserves as In Transit. This is proper and correct, as it helps us to track our loaned and shipped items.
