SAP Basics Required Elements of an Institution’s SAP Policy: Financial Aid progress standards must be as strict as or stricter than institution’s academic progress standards Frequency of SAP evaluation At least annually – No Warning permitted May evaluate at end of each payment period – Warning permitted Grade Point Average Standard – consistent with graduation requirements, but minimum of C-average at end of two academic years Pace Standard – Pace at each evaluation that permits student to complete degree requirements within 150% of requirements 67% completion rate at each evaluation Maximum Time Frame

SAP Basics Required elements continued Impact of course incompletes, withdrawals, repetitions, and transfers of credit Defined SAP statuses, in compliance with new Federal definitions, including statuses in which students are not eligible to receive Federal Financial Aid funds Making Progress Not Making Progress Financial Aid Warning Financial Aid Probation (for Approved Appeals) Appeal procedures How students re-gain eligibility to receive Federal Financial Aid funds Notification to students

SAP Basics Warning Can only be used if checking SAP each payment period Financial aid warning status is assigned automatically and student is still eligible to receive aid during the financial aid warning term. Students do not need to appeal to be given financial aid warning status.

SAP Basics Probation If SAP is checked annually, student may appeal to have a financial aid probation term to meet minimum requirements If SAP is checked each term, student may appeal if after financial aid warning term SAP standards are not met Financial aid probation without an Academic Plan is for one term only; probation with an Academic Plan may be for one term or multiple terms

SAP Basics Appeals Regulatory changes now require the examination of the mathematical possibility for re-gaining SAP for approved appeals within the subsequent semester or the use of academic plans for approved appeals that are mathematically impossible to attain within one semester.

SAP Basics Academic Plans An Academic Plan for an approved appeal may state specific conditions that must be met such as: Register for fewer credit hours Certain term grade point average required May only take certain courses May be as simple as a calculation or as detailed as a class by class schedule May require buy-in from other offices on campus such as Academic Advising/Counseling

SAP Basics Hot Buttons How do you handle change of majors? Non-accepted credits for transfer students? Some evidently count them! Happy Holidays and the appeal crunch…. Buy-in from lots of departments

Case Study #1 – Federal Student Aid Handbook

Case Study #2 – Federal Student Aid Handbook

Case Study #3 – Sir Purr

Case Study #3 Sir Purr, the Carolina Panthers mascot, withdrew from the fall 2015 semester at UNC Charlotte, which is conveniently located near his home, Bank of America Stadium. UNC Charlotte notified Sir Purr via email that he was no longer eligible for financial aid and that he would be required to appeal for spring 2016. Sir Purr submitted an appeal indicating that he had extenuating circumstances during this fall 2015 semester that prevented him from being academically successful.

Case Study #3 continued… Sir Purr explained in his appeal that he had missed several days of class due to work related demands from Big Cat, Jerry Richardson. Sir Purr submits a letter on Carolina Panthers letterhead from Jerry Richardson documenting that he was required to present at work more than usual due to their current winning 6-0 record. Sir Purr also states in his appeal that he has made adjustments in his schedule, with the support of the Big Cat, that will allow him to attend class on a regular basis. He also indicates that he will reduce his course load to part-time during football season. What would YOU do??
