Multiple Jobs Multiple Pay Groups Multiple Benefit Programs

University of South Florida Mary Alice Albritton - Human Resources J. R. Reed - Payroll

Agenda  USF Requirements  Multiple Scenarios for Testing  Problem Resolutions  Summary/Closure  Questions/Answers

USF Business Requirements  High level requirement to pay employees on multiple jobs with one check.  USF has multiple employee groups eligible for different benefit plans.  Employees can be appointed to a variety of combinations of jobs.

USF Systems Requirements  Implemented HRMS 7.01 with Base Benefits and Payroll, then upgraded to HRMS  USF did not interface with PS Financials or Student Administration.  State of Florida system is used for Financials.  SCT (Banner System) is used for Student Administration.  Interface with the State of Florida Payroll System to generate payroll checks.  Currently upgrading to 8.12

Table Setup Requirements Tables requiring Multi-Jobs field checked on:  People Tools Options  Calculation Rules Tables for Benefits  Pay Calendar Table

USF Process Requirements  Various testing scenarios were developed to analyze the differences in how PS calculated pay. –Tested enrollment functionality of general deductions and benefit deductions on multiple jobs. –Added complexity to testing by assigning multiple pay groups and multiple benefit deduction programs. –Reviewed work business process information flow.

USF Testing Outcomes  Required USF to use the concurrent job functionality.  Business decision to assign the primary benefit eligible job to empl rcd 0; non-benefit eligible were assigned to empl rcd 5 or greater.  Required minor modifications to business processes and information flow.

Multiple Test Scenarios  Multiple combinations of appointments developed  Multiple benefit eligible jobs in same or different pay groups  Multiple benefit eligible jobs with a non-benefit eligible job in same or different pay groups  Benefit eligible job and one non-benefit eligible job with same or different pay group and same or different benefit program

Test Scenario 1 ERNBRNPay Group Benefit Program Enroll on ERN Results 00POPBOP0If the pay groups and BRN are the same then a single check will be created. The deductions will not be doubled deducted. 50POPDefaultNoERN 5 will be collapsed and reported on the ERN 0 check.

Test Scenario 2 ERNBRNPay Group Benefit Program Enroll on ERN Results 00POPBOP0Two checks will be created because the BRNs are different. Deductions only deducted on ERN 0. 55POPBOPNoThe system will create a separate check for ERN 5. No deductions will be deducted since no enrollment on ERN 5.

Test Scenario 3 ERNBRNPay Group Benefit Program Enroll on ERN Results 00POPBOPNoThe system will create a separate check for both jobs. No deductions will be deducted since no enrollment on ERN 0. 55POPBOP5Two checks will be created because the BRNs are different. Deductions only deducted on ERN 5.

Test Scenario 4 ERNBRNPay Group Benefit Program Enroll on ERN Results 00POPBOP0Two checks will be created because the BRNs are different. Double deduction will occur if enrollment of deductions are on both jobs. 55POPBOP5The system will create a separate check for both jobs. Deductions taken on both jobs.

Test Scenario 5 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0Two checks will be created because the pay groups are not the same. The system will double deduct the deductions because the BRNs are the same. 50POPBOPNoDeductions will be taken on both jobs.

Test Scenario 6 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0Two pay groups will create two checks. The system will double deduct the deductions enrolled on ERN 0. 50POPBOP5ERN 5 will deduct the same deductions enrolled on ERN 0. ERN 5 enrollments will not be deducted.

Test Scenario 7 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUSNoTwo pay groups will create two checks. The system will not take any deductions since no enrollments are on ERN 0. 50POPBOP5ERN 5 enrollments will not be deducted because the BRN does not equal the ERN.

Test Scenario 8 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0Two pay groups will create two checks. The system will only deduct on ERN 0. 55POPBOPNoERN 5 has no enrollments to deduct.

Test Scenario 9 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0 Two pay groups will create two checks. The system will deduct the deductions enrolled on ERN 0. 55POPBOP5 The system will deduct the deductions enrolled on ERN 5. Double deductions will occur on both jobs if deduction enrollments are the same.

Test Scenario 10 ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0Two pay groups will create two checks. Double deduction will occur if enrollment of deductions are on both jobs. 50POPBlankNoThe system will create a separate check for both jobs. Deductions taken on both jobs.

Test Scenario 11 Non-concurrent Jobs ERNBRNPay Group Benefit Program Enroll on ERN Results 00PEUBUS0Two pay groups will create two checks. Double deduction will occur if enrollment of deductions are on both jobs. 00PSABPA0The system will create a separate check for both pay groups. Deductions taken on both pay groups.

Problem Resolutions  Deduction Subset – is a group of deductions that you select from the standard set of deductions you define on the Deduction Table. The subset can be established on the Pay Calendar Table or the Payline.  Pay One-Time Override – an override made at the employee level on the payline (deductions, none, or deduction subset).  Query Tool – appropriate queries can identify any double deductions on concurrent or non-current jobs and multiple pay groups.

Summary / Closure  Testing allowed USF to develop business rules for processes.  Decisions led to consistency for processes and reporting.  Reduced duplication of effort.
