Open Task for QuickBooks Desktop Interface 1.I had requested to bring over the location in the class field. DO NOT BRING THIS OVER. At this time we will not bring this over. Take it off this list. 2.We currently bring over the unit of measure on the items. REMOVE THIS. There are only certain versions of QuickBooks that support this feature so we have decided not to bring it over. 3.CREDITS this is a new feature we have added to Service Proz. Credits need to come into QuickBooks as a Credit Memo. I am going to attempt to explain the procedure for this action, please ask questions if I have not made this clear. 1.No credit should be sent to QuickBooks unless they have been applied to an invoice. 2.We had these identified as CR, we changed this to PA but need to change it back to CR if we are not using CR for anything else.

In Service Proz the Invoice will look like the following and this is fine.

The credit item will be setup as shown below. It will be like a misc. charge. It cannot be setup like a payment item. This would take it into the deposit area in QuickBooks. You cannot deposit a credit memo. Type: Other Charge Item Name: CREDIT Desc: Credit Applied Tax Code: Non Account: Sales

You will create 2 documents 1.Invoice 2.Credit Memo The first document is the Invoice. You will bring in all items except for the credit line. In QuickBooks the invoice will look like the invoice below.

The 2 nd document is the Credit Memo. This document will only have the Credit line on it. Things to note: 1.The Credit Invoice Number: Use the same number as the invoice and add CR to the end of it: 320CR 2.Quantities and amounts will be positive numbers no – signs. QuickBooks is programmed to identify any credit memo as a credit the customers account.

This will show you how the documents will appear on the customers record.
