Presentation transcript:

Introduction  Today I’m going to look at some spreadsheets and analyse they show.  The two spreadsheets I’m looking at are Belgrave school’s test scores and a profit and loss account from a T shirt company.  The features will be analysed in detail and explain if the help usability, productivity and accuracy

School Spreadsheet – What is it? This spreadsheet allows the user/teacher to enter marks of three different exams to get an overall pass or fail. This spread also has a column to show which teacher the student has, this could be used to compare scores between teachers. Another thing this spreadsheet does is convert the marks into a percentage and a total marks. The final thing is that having the teachers name on the sheet allows for personal analysis.

Features of this spreadsheet The main feature of this spreadsheet is the formula it uses to convert the scores into percentages. The other feature of this spreadsheet is its formula to convert the total score into a pass or a fail.

T-shirt Spreadsheet – What is it? This spreadsheet works out the gross profit form the T-shirt sales and it also works out the net profit for the sales of T –Shirts. I think that a formula could be added to work out the sales turnover as well as the profit that it already works out. This spreadsheet could be used as a template for other businesses.

Features of this spreadsheet Formula for Gross Profits. Formula for Net Profits.

How could the features of this spreadsheet improve productivity? – Belgrave School This spread sheet has a lot of formulas to calculate the things you need, so that you can manipulate the data to your liking or make any minor changes to the data you may not have added before and the formula still works. Another thing this spread sheet has is conditional formatting which helps you to see if students are above or below the national average very easily.

How could the features of this spreadsheet improve productivity? – T-shirt sales On this spreadsheet the main function to improve productivity on the sheet is that you can interchange the data and make the formula still work. This really helps productivity as it means that you can just change the information but still keep the working formula with correct answers.

How could the features of this spreadsheet improve accuracy? – Belgrave School This spreadsheet helps with accuracy as it uses something called data validation so that the teacher’s cell is restricted to teacher’s names only rather than any value. The spreadsheet could have some cell protection on things like the formula so that people cannot break it and then results to be wrong as the formula has been tampered with. The last thing is that it helps improve accurate decision making because of the formulas it has makes it very hard not to be accurate.

How could the features of this spreadsheet improve accuracy? – T-shirt sales The accuracy of the spreadsheet is improved by the formulae used to calculate gross profit and loss. Because they are formulae the computer can never go wrong therefore you can always trust the answer the computer gives you. One thing this sheet does not have is cell protection which means any cell could be tampered with and changed therefore results could be wrong but only duet o human error.

How could the features of this spreadsheet improve usability? – Belgrave School This does not have anything to help navigation like a home screen or buttons to take you to a menu however it does have conditional formatting to help you select a specific teacher and only from a set of specific teachers.

How could the features of this spreadsheet improve usability? – T-shirt sales This spreadsheet does not improve usability as it only has formulae to help you and not anything else like cell formatting or data validation so it does not do much to help you use it much more easily.

Strengths of both sheets!  Belgrave school has conditional formatting making it easy to see whether a student is above national average or not improving usability  The T shirt Store strength is that it has formulas to do the calculations for you improving accuracy and productivity.

Weaknesses of both sheets  The weakness of the Belgrave school sheet and the T shirt sales sheet is that they don’t have cell protection which means any data could be tampered with and the computer could make mistakes due to human error.
