Emergency Communication Tree Procedures

The Emergency Communication Tree procedures enhance the company’s current objectives around emergency preparedness. If a disaster happens, communicating with team members will be essential. This procedure helps team members stayed informed and connected while giving each person a valuable role by making him/her a link in the communication chain. The Crisis Management Team (CMT) will be utilizing these procedures for future events and drills. Goals

RESPONSIBILITIES Every department will complete their own department communication tree. A department leader will be appointed and be responsible for: Completing the communication tree with all team members and their contact information. Maintain a current distribution list with the members of the department communication tree. Updating the communication tree once a quarter and submitting to Risk Management. RESPONSIBILITIES

HOW IT WILL WORK The CMT will activate the Emergency Communication Tree as needed. Department Leaders will be notified of via the Core Phone Tree List. Department Leaders will utilize the Emergency Message script (provided by the CMT) for their department communication tree process and “blast”. Department Leaders will receive confirmation from the last person on the tree to ensure all calls have been made. How It Will Work

NEXT STEPS Department Leaders will collect team member contact information for everyone in their department. Department Leaders will complete their communication tree and set up a distribution list in Outlook. Send completed Phone Tree to Risk Management Be ready for Emergency Communication tree exercise on XX/XX. Perform Drill on XX/XX Next Steps
