Ask for reasons why the weekly meeting is important. Facilitate the discussion and reinforce the good reasons offered by all of the participants. Flash the following on the screen. "For many the weekly meeting will comprise their entire Rotary experience. Many of your club members will judge your year based on how you run the meeting." Insert teaser and rationale for running a good meeting. Everything you can and will accomplish during your year as President will flow from your meeting…..so how you do it is of the utmost importance! Officially: Object of Rotary PURPOSE OF ROTARY Officially: Object of Rotary The Object of Rotary is to encourage and foster the ideal of service as a basis of worthy enterprise and, in particular, to encourage and foster: FIRST. The development of acquaintance as an opportunity for service; SECOND. High ethical standards in business and professions, the recognition of the worthiness of all useful occupations, and the dignifying of each Rotarian's occupation as an opportunity to serve society; THIRD. The application of the ideal of service in each Rotarian's personal, business, and community life; FOURTH. The advancement of international understanding, goodwill, and peace through a world fellowship of business and professional persons united in the ideal of service. Survey i. Utilize the RI survey to poll all club members about meetings (1) Show example of survey form (2) Conduct survey two months before start of year (3) Use the survey results to plan your meeting formats and to identify opportunities for change and improvement b. Focus Group i. Bring a diverse group of club Rotarians (new and older Rotarians - not just old in terms of age but time in the club as well) together in an informal setting with someone charged with asking a series of pointed questions. (Note: You can facilitate this discussion by asking the class to identify some key questions that could be asked.) (1) Is our location satisfactory? Would another location be better? (2) Is the food and environment conducive to an enjoyable meeting? Are there elements of the environment that could be changed to improve the meeting setting? (3) Are the programs well received? What changes would you make if you were responsible? (4) Ask other questions related to operation of the meetings and ask the group to brainstorm other improvements (5) No idea should be discarded and all should be recorded for further evaluation. (6) Incoming President should be in the room listening for key elements of information that will help improve the club meeting. c. Facilitated planning session in conjunction with other club planning activities. This would be particularly useful in a multi year planning process including the President Elect and President Nominee. The club meeting would only be one of many topics discussed. Again, ideas or suggestions should not be discarded but recorded for further evaluation. i. Use a facilitator well versed in drawing out strengths of the current meeting format and identifying elements that could be changed to improve any and all elements of the meeting format, environment, setting, etc.

Vocational Service encourages Rotarians to serve others through their vocations and to practice high ethical standards. Community Service covers the projects and activities the club undertakes to improve life in its community. International Service encompasses actions taken to expand Rotary's humanitarian reach around the globe and to promote world understanding and peace.

(d) Does everyone have a clear and unobstructed view of the front of the room? (e) Does room accommodate audio visual use? (3) Is the room accessible? Acoustics and Lighting (a) Is the room well lighted and pleasant? (b) Does the room adequately reflect sound? Can the room be darkened for video or other media presentations? How’s the food

The Rotary Club of Santa Clara is in THE CLUBS Each Rotary club is an independent organization united and equal with every other Rotary club in the world. Rotary clubs are divided into 532 geographical districts throughout the world. The Rotary Club of Santa Clara is in District 5170. Currently, the District has a membership total of over 4000 members. First, ask yourself the question: What is Rotary? The question is not as simple as it sounds. (Ask 3) Rotary’s function is suggested by its official motto, “Service Above Self.” The spirit of Rotary is in our midst. You will want your actions to be guided by the spirit and goals of Rotary. Second, each Rotary club is different from every other. So, stand back and look as objectively as possible….Is your club big, small, young, old….does it have specific areas of weaknesses that you should address in your year? KNOWING THE NEEDS OF YOUR CLUB WILL HELP YOU DEFINE YOUR ROLE AS THE CLUB’S CHIEF EXECUTIVE. Third, set realistic goals…..and Fourth, what is your position relative to other members of the club? -Are you involved in any clique that might make it difficult for you to lead effectively? -It is essential to know where you stand with others in any administrative position, but particularly one in a volunteer organization!
