Develop procedures that will assist other Vermont Go Local database developers increase the accuracy of the records of a large academic medical center. Improve communication with our partners. Results Conclusions Academic Medical Center to Rural Clinic: Insuring Fair and Accurate Representation in Vermont Go Local Shiela Phillippe, MLIS, Dana Medical Library; Tina Kussey, MLS, Dana Medical Library; Alan Lampson, MLS, Frymoyer Community Health Resource Center, Fletcher Allen Health Care, MLS; Marianne Burke, MLS, AHIP, Dana Medical Library; Lesley Boucher, BS, Dana Medical Library Background The Dana Medical Library, Fletcher Allen Health Care (FAHC), and United Ways of Vermont, Vermont received funding in April 2005 from NLM to index health care providers and facilities into the web-based health care directory, Go Local. During the review process, the FAHC administrators expressed that the Vermont Go Local database did not accurately represent their clinics, providers and services. This prompted the Vermont Go Local team to review the hospitals records. The hospital acknowledged that it was difficult to find services offered and that some of the information on the hospital web site needed updating. The Vermont Go Local team met with stakeholders from FAHC to identify areas of concern. The hospital management provided staff to review their own website and directories. Within Vermont Go Local all hospital services were identified. The hospital staff then checked the accuracy of provider addresses, names of facilities, and types of clinics. New definitions and procedures were developed which modified the application of service terms, specifically clinic and provider service terms, health topics, and geographic distribution. New indexing procedures were implemented to consistently apply Vermont Go Local service terms and health topics. Vermont Go Local team added and revised FAHC records in the Vermont Go Local database. A Vermont Go Local staff member was assigned as the FAHC liaison. After the hospital reviewed their existing Vermont Go Local records 47 were added and 44 were revised. Many of the revisions were changes in address, telephone numbers, inaccurate service terms and health topics. The new definitions and procedures were then applied to the remaining seventeen Vermont hospitals (including outpatient clinics, ambulatory care centers and providers). The Vermont Go Local staff now use the new definitions and procedures that were developed for the initial revisions of the FAHC records. One of the Vermont Go Local staff now works as a liaison with the FAHC so that the process is proactive rather than reactive. Gathering information to ensure a fair and accurate representation about every hospital clinic, ambulatory care center and provider listing is a challenging and time consuming task. Working with FAHC staff was essential to identify all hospital services, clinics and providers. Establishing an ongoing relationship with the academic medical centers assures accurate entries without waiting for the annual audit cycle.
