2 What Is Moving ON Audits? Moving ON Audits is an indicator and audit program. IRT has purchased membership of the program for all sites. The program is web based. MOA is used in Residential and Community programs across Australia

3 What Is Moving ON Audits? Moving ON Audits is a decision making tool that allows IRT to identify areas of deficit Assists in identifying how to create solutions to meet deficits Allows easy demonstration of continuous quality improvement

5 The Benefits of MOA Organisations that use the MOA program range from small facilities in rural areas through to multi sites in metropolitan suburbs. It is updated every year; is easy to use; gets results; offers the ability to benchmark across Australia, and can be customised to the organisation, as it has been with IRT

6 IRT Prior to MOA No internal reporting except for critical incidents. No internal or external benchmarking between like services for clinical indicators An ad hoc system for analysing results Lack of integration between various auditing and indicator collection processes

12 Why is IRT doing this? The central element of the Accreditation Standards and Quality Outcomes is Continuous Improvement. Without any form of measurement, how do we determine if systems, policies or procedures are effective? The answer? We don’t know.

13 Types of Quality There are 2 types of quality: ▫ Perception – this is a guess. You think your systems are working but you don’t actually have “evidence”. ▫ Reality – this is factual. You know your systems are working. You have “evidence” to back you up.

14 What do Audits & Surveys Provide? Audits and surveys are the way in which we measure what we do. ▫ They provide accurate real time data ▫ The results give a score to base on to improve. ▫ With each result analysis of the system, policy or procedure. ▫ Allow you to change systems to improve results

15 Administrative Functions – How can you become part of the process? Administrative support is an essential component to ensure the streamlining of processes. Administrative support staff can assist IRT Managers in the audit and indicator process, which will provide additional time for Managers to focus on analysing of the results.

16 Administrative Support – MOA & Clinical Indicators MOA Audits & Indicators run for a 6 week period. They commence on the 1 st of each month and are closed off no later than the 15 th of the following month. Late entries are not accepted. No data – no results

17 Administrative Support – How you can create timeframes to meet MOA 1st of the month (or 1st working day) – schedule time to: download the monthly MOA package including explanation sheets & blank audit data collection sheets. You don’t need to wait for MOA to email them to you. Collation of the Part B of each audit ready for distribution. The Manager will direct as to which files or which staff member/s are to receive these. Distribute as required – keeping record of where the sample data is from e.g. resident name / staff name (this is to ensure follow up can occur for analysis / education if required)

18 Administrative Support – How you can create timeframes to meet MOA Provide Manager with completed audit data – prior to MOA input. Manager should review and return to admin support for input into the MOA program. Timeframe for return of audit sheets – no later than the 10 th of the following month. This allows for up to 5 days to input the data into the MOA program.

19 Administrative Support – How you can create timeframes to meet MOA From 16 th of each month – access the MOA program and download the audit results including: ▫ Audit Report ▫ Trending Report ▫ Quality Indicator Report Provide a copy to the Manager so the analysis phase can commence. The manager then will provide a copy of the analysis to the Area Manager each month.

20 Administrative Support – How you can create timeframes to meet MOA for Clinical Indicators What is you current process at your facility? ▫ Indicators are ongoing. They occur 24/7. ▫ Is there a single point where indicators are placed after being written up by staff? – avoid confusion have dedicated area/place. ▫ When do you get them? Is is last minute? – ongoing process of input lessens stress and assists with time management. ▫ How do you know what you have inputted? – use an “entered stamp” and record the ID number.
