Listen & Talk  M: Georgia, have you set up the conference room yet?  G: Mr. Miller, I’m sorry it has been occupied by the sales department for the monthly sales meeting.  M: Oh, I forgot, Mr. Parson told me that. Well, how about putting off our training session to 3 p.m. this afternoon.  G: OK. I will see to it.  M: Let me see. The R ＆ D department has asked to take part in our training session just now.  G: So we need to rearrange the seating plan?  M: Yes. You need to prepare more chairs glasses, pencils, and paper as well.  G: Should we serve tea during the session?  M: Yes. You can arrange that with some tea ladies.  G: Anything else you want me to do?  M: You need to be personally responsible for making sure the conference room is ready before 2.30p.m.  G: No problem.

Listen & Talk  K: Is the room ready for the meeting?  S: Yes, I’ve put the minutes and some spare copies of the agenda on the table. And paper and pencil.  K: Thank you very much. Now I need to get my notebook ready for the meeting.  S: Can I see how you do it?  K: Yes, here. This is the heading “ABC Company” Then underneath that: “Minutes of the Meeting of Branch Managers held in Managing Director’s office at 2:30 p.m. on Friday, 2nd March Then underneath that: “Present: Mr. Ling Feng, Managing Director, in the Chair.”  S: And you’ve left a space underneath to fill in the names of the managers.  K: Yes, that’s right. Then the first item is always “Apologies for Absence.”  S: What comes next?  K: The next item is always “Minutes of Last Meeting.” As soon as the minutes of the last meeting have been read, I can write: “The minutes of the last meeting were read, confirmed and signed.”  S: Signed?  K: Yes, when the minutes have been confirmed, the chairman signs them.

Listen & Talk  S: Anything else?  K: Well, I can’t write any more now.  S: Do you have to write down every word that everyone says?  K: Good gracious, no! That’s very difficult and hardly ever necessary. I just make a note of the topics that are discussed and the result of the discussions.  S: The result of the discussions?  K: When a topic has been discussed for some time, someone usually proposes that some action should be taken.  S: Then what happens?  K: Then the chairman asks whether the members agree to the proposal. And if they do agree, I write down “It was agreed that…” or “It was resolved that…”  S: Is there a difference?  K: Not really. “Resolved” is a special committee word. When a proposal has been agreed to by the committee, it is called a “resolution.” Look, here’s a copy of the minutes of the last meeting, and here are my notes.  S: Let me see what you wrote in your notes: (reading voice) “Proposal that the office would be closed on 25 December. Agreed.”  K: Yes, and here it is in the minutes: It was resolved that the office would be closed on 25 December. Oh, there’s Mr. Ling Feng. I think he must be ready to start the meeting. Yes, Mr. Ling Feng. I’m coming right away.

A: How long here now, Zhang Ming? B: I’ve been working here for three months. A: Well, do you think you can look after the office ? B: Yes, I think I can. Why, shall I have to? A: Yes, you’ll have to look after the office on your own this afternoon because I have to take ________ for Mr. Ling Feng. B: Take minutes? How can you take minutes? A: Oh…Zhang Ming, really! Role Play  Get into groups and each group chooses one student as the chairperson and another as the secretary to take notes. Organize a meeting according to the following steps given below. Pay special attention to expressions used at a meeting.

 3. GATT: The General Agreement on Tariffs and Trade was the outcome of the failure of negotiating governments to create the International Trade Organization (ITO). GATT was formed in 1947 and lasted until 1994, when it was replaced by the World Trade Organization. The GATT's main objective was the reduction of barriers to international trade. This was achieved through the reduction of tariff barriers, quantitative restrictions and subsidies on trade through a series of agreements. The creation of the conference was based on concerns of developing countries over the international market, multi-national corporations, and great disparity between developed nations and developing nations.
