3 Important Items Access CATMS here: –be sure to use Internet Explorer; –select “DOD ” certificate; and –if you have an account and are unable to log in, please see the “AO Access and Interface- Navigation Guide.” Match step 1. with to match text with picture. The word team, which is found throughout these guides, refers to personnel grouped together because they have a common work mission. Everyone with a CATMS account in placed in a team. A DASD typically has several teams: a front office and several directorates. In CATMS, the process of assigning work has 2 parts. First, you create an “action” and upload any relevant documents. Second, you task this action to a recipient using a “tasker.” An action CANNOT be tasked to a recipient without a tasker. There is no Home button in CATMS. Home is the Action Dashboard (slide 4) and the Tasker Dashboard (slide 15). 1

4 Using the Action Dashboard 1.Select “Dashboards” in the left navigation pane (under “My Work”). 2.Select “Action Dashboard” from the drop-down list. 3.To view only those actions associated with you/your team, select the “My Active Actions” view. Otherwise, select “Active Actions.” Select white space in the right navigation pane to activate the “New Action” button. 4.Select “New Action” button in order to open a new action window (shown on next slide). Select the white space in an action row. Scroll down to see tasker(s) associated with an action

5 Create an Action: Required Fields 1.Complete all required fields (red asterisk*). 2.“Save.” Use this field to tag action with other ID numbers (JSAPs, OSD #s, etc.) that can be used to find it. 1 2

6 1.Select “Action Notes” pane. Select “Add New Action Note” (not shown.) New dialogue box appears. 2.Enter note. “Send To” relevant recipient(s). 3.Select “Save” or “Save and Close.” Create an Action: Important Optional Fields You may perform the OPTIONAL steps on this page only after you’ve completed the required steps on slide 5. “Action Attachments” is available. But it is easier for recipients if you upload documents to the tasker’s “Original Documents” library (slide 10).

7 Create a New Tasker off of an Action To task out your action, create a tasker Select “Taskers” in the left hand navigation bar. 2.Select “Add New Tasker.”

8 Tasker Fields: General, My Instructions, and Save Complete all required fields (red asterisk*). 1.General: Classification: provide highest classification. Warning Threshold: changes tasker to yellow once due-date is within this hour range. 2.My Instructions: Tell recipients exactly what they should do. 3.“Spell Check.” 4.“Save.” (If you select “Save & Close” the tasker will close) “Action ID” opens the action associated with this tasker.

9 New Tasker’s Appearance: Fields and Buttons These buttons appear if window is maximized. Note: If you have DUAL MONITORS, maximizing your browser window may not show you this view. If window is not maximized, or if you have dual monitors, see below.* CATMS generates a Tasker ID. The Tasker ID is associated with, but distinct from, the “Action ID.” After the Tasker information is saved: * “Task Actions” drop- down menu appears if window is not maximized.

10 “Original Documents” Library Use the tasker’s “Original Documents” library to upload document(s) to your action/tasker. 1.Select the “Original Documents” library (this library is for action/tasker initiators only). 2.Select the “Add document” icon. A new window will appear. 3.Select the “Browse” button and navigate to the desired file. 4.Select “OK”. Uploaded document will appear

11 Assign a Tasker: “Manage Assignments” 1.To assign a tasker to an Office of Primary Responsibility (OPR) and Offices of Coordinating Responsibility (OCRs), select Manage Assignments. (If you do not see this view, select the Task Actions drop-down menu to reach Manage Assignments—slide 9). 2.To cancel the Tasker, select Cancel. 1 2

12 Assign a Tasker: Select Assignees 3.Select search icon. Dialogue box appears. 4.Select Teams or Users. 5.Type name of Team or User in search bar. If you don’t know a full name, type several letters and select the desired assignee from the list that appears. 6.Check box. 7.Select: a.“Add” for each team/user that you want to include in tasker. b.“OK.” Dialogue box disappears. 13 Assign a Tasker: Choose OPR and OCR(s) 8.Choose Office of Primary Responsibility (OPR), Office of Coordinating Responsibility (OCR), or CC. 9.Select “Send.” To add assignees (continued): 8 9

14 1.Go to the tasker screen (if you’ve closed it, reopen by selecting “TaskID”). 2.Select “Tasker Status.” CATMS opens the view below, which the initiator, OPR, and OCRs can see. It shows the status of each component or individual’s progress on the tasker. 3.This view shows the status of each component or individual’s progress on the tasker. 15 Check the Status of Your Tasker from Home view From your Home dashboard, you may quickly check the status of your tasker. 1.Find your tasker: a.search for it (slide 18), or b.sort to find it using the “Assigned Date” header column. 2.Select the white space in a tasker row. CATMS opens this view. NOTE: this view may show fewer assigners or assignees than the “Tasker Status” view on the previous page. 3.Select “TASK ID” number to open a tasker. 1b 1a 2 Provides ID of parent action associated with tasker. 3

16 Locate a Tasker (Using the Search Function) 1.Set the “Dashboard” drop-down menu to “Tasker” 2.Use the dropdown menu to set the “Taskers” grid view to “My Personal Taskers” 3.Go to the search field a.Type *[characters of TaskID]*, e.g., *M500*; or b.Type *[word(s) in the Subject]*, e.g., *tasker to* This search technique lessens the number of taskers in your view. 3a 1 2 3b 4.Result 4 NOTE: This view is now called My Active Taskers.
