All rights reserved Your OneNote notebook is patterned after a paper notebook. It has lots of “paper” you can take notes on and folders that can contain sections to improve organization. It also has a search capability, a record function, and the capacity to add and display pictures within your notes. Becoming familiar with the features in OneNote will help you to create, customize, and manage a well organized notebook. In this guide, you will learn how to: About Your Microsoft ® OneNote ® Notebook Folders Folders are containers for the content in your notebook. To create a new Folder, on the File menu, click New, and then click Folder. Notes To begin taking notes, just click to select an area of the note page and start typing. Find To search for specific items, enter keywords in the Find box. Digital Ink Create handwritten notes anywhere on the page using your digital pen. Just find an area and start inking. Pages You can add new pages as you take notes. To create a new page, on the File menu, click New, and then click New Page. Sections OneNote Sections are similar to sections of a binder. To create a new Section, on the File menu, click New, and then click Section. Screen Clippings Capture any area of your screen and insert it directly into your notes. All rights reserved Work with Notes Everything in OneNote is contained in My Notebook. All folders, sections, and pages are stored here. Folders are an organizational aid for grouping your sections. Folder use is optional. Each folder can hold many sections. Sections are used to keep pages of a similar type grouped together. All pages are contained within a section. Pages are where you actually create your notes. You can write, type, or draw on a page just as you do on paper. To create a new page, section, or folder, one the File menu, click New, and then select New Page, Section, or Folder from the task pane on the right side of the page. Note: Each time you create a page, it resides in the currently open section in OneNote. Insert Screen Clippings Have the application you want to take a screen clipping of running in the background. On the Insert menu, click Screen Clipping. OneNote minimizes and takes you to the last application you used, which is running in the background. Drag the pointer to select content you want to capture. After you complete your selection, the screen image is automatically inserted into your notes. Use OneNote to copy images from your computer screen and insert them into your notes. These images are called screen clippings. Use screen clippings to add visual details to your notes. For example, create a screen image of a Web site that your team is collaborating on. 1 2 Insert Extra Writing Space within Existing Notes You can add additional writing space to a note by pressing Enter, but when you need more than a line or two, use this simple method to create more space: 3 Note: When you have captured a screen clipping from a Web site, the Web address and screen clipping time and date are displayed at the bottom of the page. Move your pointer to the note you want to change and drag the Space line to create as much new space as you need. Use Side Notes for Quick Note Taking Side Notes are like digital sticky notes. To open a Side Note without opening OneNote, press Windows + N. To open a Side Note with OneNote open, press Ctrl + Shift + M. Side Notes contain many basic notebook functions on a taskbar at the bottom of the screen. By default, Side Notes are stored in a section called Side Notes found in the Personal folder of your notebook. On the OneNote toolbar, click the Insert Extra Writing Space button.

All rights reserved View Note Flags Summary Because Note Flags are frequently scattered throughout a notebook, the Note Flags Summary can be used to quickly view all flagged notes in one location. The Note Flags Summary groups flags by type, so that you can easily expand and collapse views to see the flag groups. To see all notes marked with a particular flag, on the View menu, click Note Flags Summary. Record Audio and Video You can record audio and video in OneNote to supplement your notes. You can record audio using either a built-in or external microphone. For video, you must have a camera (such as a Web cam) connected to your computer. Before using the record feature, use the Tuning Wizard to make sure that your microphone and camera are working correctly. 1 2 On the Tools menu, point to Audio and Video Recording, and click Record Audio only or Record Video. When you are finished, click Stop on the recording control. 3 When you click Stop, the recording appears on the page. To play the recording, move the pointer over the recorded note until the icon appears. Click the icon to bring up the recording controls. To start audio or video recording: Search Your Notes Finding specific information in your notes is fast and easy. Enter the search words or phrase in the find box, and click the Find arrow. 1 2 To view the search results, click View, and click Page List. Use Note Flags Add emphasis to your notes, mark them as important, or flag them for follow up by attaching note flags. OneNote comes with five pre-defined flags: To Do, Important, Question, Remember for later, and Definition. To add a note flag to an open note, right-click a block of text, point to Note Flags, and click the flag of your choice. To remove a note flag, right-click the flag and click Remove Note Flag. On the Tools menu, point to Audio and Video Recording, and click Audio and Video Settings. Click the Tuning Wizard button. Complete the Tuning Wizard, and click Finish.

All rights reserved Use OneNote Collaboration Features The collaboration features included in OneNote allow you to share meeting details, send your notes in , and create notes cooperatively in a meeting scenario. Insert Meeting Details from Outlook Insert meeting details (time, place, attendees, subject) from your Outlook Calendar into a note. This is helpful when you are using OneNote to take meeting notes and want to link meeting details to the notes. You can also add any notes, such as flagged To-Dos, to new Outlook 2003 Appointments, Contacts, or Tasks. On the Insert menu, click Outlook Meeting Details to choose the meeting from your Outlook 2003 calendar, and click Insert Details. Point to a paragraph of notes. On the Tools menu, point to Create Outlook Item, and then click Create Outlook Appointment, Contact, or Task Move a Page of Notes to a Different Section Move or Reorder a Section or Folder Open the Page you want to move. On the Edit menu, point to Move Page To, and then click Another Section. Click the Section you are moving the page to, and click Move or Copy. Reorganize Your Notebook To reorganize your existing Pages, Sections and Folders, you must to move them manually. OneNote does not support drag and drop of Pages, Sections or Folders. Note Selecting Move removes the Page from the original location. Selecting Copy leaves the original note in place. Note The Section or Folder moves directly below the location you select. On the horizontal tabs, the section or folder appears directly to the right of the location you select. For example, right-clicking the D tab and then choosing A in the Move dialog box moves D to the right of A in the horizontal tabs. On the View menu, click Deleted Pages Folder. Right-click the tab of the page you wish to recover, and click Restore. 1 2 If you inadvertently delete a page from your notebook, you can restore it again. Restore Deleted Pages in Your Notebook Right-click the tab of the section or folder you want to move, and click Move. Click the location you want to move the section or folder to, and click Move.

All rights reserved Send your notes in ; start a shared note taking session; or share sections of your notebook using SharePoint from a single task pane. To use Share with Others, click File, and then click Share with Others. The Share with Others task pane will appear. To send your notes in Click Send selected pages, and choose the recipients. Type any introductory remarks, and click the Send button. 1 2 Note: recipients do not need to have OneNote installed because the page is inserted directly into the message window. For other OneNote users, the OneNote page is also attached to the message. Click Start a Session. In the Shared Session task pane, if you want to restrict participants, type a password in the Session password box. Using a password is optional. To select the pages to share: Press SHIFT, and then click a page tab to select a range of pages OR press CTRL, and then click to select the individual page tabs you want to include. Click Start Shared Session To host a shared session: 5 Note You must provide your shared host IP address to shared session attendees. To obtain this address, click Shared Address Information. In the Current Shared Session task pane, set the options you want. To join a shared session: Click Join a Session. In the Shared Session Address box, type the IP address provided by the session host. 1 2 Note: If the session host chose to use a password, contact the host to obtain the password. Share Your Notes with Others To share a section of your notebook: Click Browse and Move To. Enter the URL of the SharePoint site or remote location. Click the folder where you want to store your section, and click Save
