No need to panic as we will answer such questions as: What should you do if you have a question or problem concerning an electronic resource listed in the Harvard Libraries website? Who do you go to for reliable e-resource expertise regarding content, scope, and interface issues? When do you contact the stewarding library vs. OIS or COERS? What kinds of resource issues? When is it appropriate to communicate e-resource news and enhancements via the new ERESINFO and/or HULINFO?

Office for Information Systems (OIS) / / OIS oversees and implements the acquisition and licensing of e-resources as well as all of the centralized technology services that provide access to e- resources. The E-Resource Management and Licensing unit within OIS performs or coordinates most of the following e-resource management activities: –E-resource policies and procedures –License information and compliance –Care and feeding of major vendors –Renewal and retention decisions –Ejournal management –Fiscal management and oversight –Portal (soon to be MetaLib) and SFX implementation –Provision of usage statistics

Communicating about e-resources Office of Information Services - OIS When should OIS be contacted? What types of e-resource issues? General troubleshooting - Submit e-resource problems via the Portal Comment Form, after checking the Known Problems & Scheduled Downtime page.Portal Comment FormKnown Problems & Scheduled Downtime Acquisitions and licensing information are now available through Harvard ERM's librarian interfaceHarvard ERM's librarian interface Contact the Digital Acquisitions Librarian (Lauren Moffa) for: –trial information –orders and implementation status –ejournal access and registration Contact the Program Manager, E-Resource Management and Licensing (Ivy Anderson) for: –licensing information –e-resource policy –activities within NERL and/or DACC –financial information

What is COERS? Committee on Electronic Resources and Services Oversees and coordinates the evaluation of online resources through a program of stewardship, relying on the full participation of the HUL community and the endorsement of the DACC in this endeavor. Serves as an information exchange and resource for Harvard librarians with regard to online resources. Stewards a number of selected resources in teams.

Stewarding Library What is the Stewardship Program? Program for on-going e-resource management. Each e-resource in the Harvard Libraries portal is assigned to a principal stewarding library. The library designates one person as its primary contact point for stewardship activities, called the Library Steward Coordinator. Responsibilities: resource expertise, resource monitoring, renewal evaluations, portal information, community building, feedback to COERS.

Electronic Resource Stewardship A brief History and Evolution of the Model Pilot program of individual resource stewards started in Stewardship Roadshow 2003: presentations to library community to raise visibility of program, outline management issues, solicit input on future structure of stewardship program Library Stewardship: Proposed in spring 2004, endorsed by DACC and ULC.

Communicating about e-resources Stewarding Libraries When should the Stewarding Library be contacted? What types of e-resource issues? For resource expertise – help with content, scope, interface If you have specific suggestions about the resource content, interface, or configuration If you have developed a user guide that would benefit the community as a whole, or have an idea for one to be developed If you have recommendations for training and outreach

Stewardship Toolbox What is it? A Library Stewardship Program resource for the Harvard library community What’s in it? Directory of stewarding libraries and coordinators Specific stewardship responsibilities Re-evaluation guidelines for renewal Troubleshooting information in general Library stewardship Q&A

E-Resource Management System (ERM) When should you consult the ERM? The ERM provides a wealth of information, including: Stewarding library and steward contact information for each e-resource Detailed licensing information Acquisitions data for shared e-resource purchases Information about new and pending resources Access to trials and real-time comment capability Technical and bibliographic information Links to statistics at the title level Please note: The ERM does not include individual e-journal titles in aggregated databases

ERESINFO: a new e-resource discussion list for Harvard librarians What should you use ERESINFO for? OIS: –New resource offers from vendors or NERL –Vendor updates and announcements (major updates to hulinfo as well) Stewards: –Vendor updates and announcements of general interest (new releases, etc.) –Downtime notices (but post major downtime notices to hulinfo as well) –Requests for evaluation input Non-stewards: –Questions about an e-resource –General discussion and information-sharing
