25 July Report Types Standard Reports –“Canned” reports for the most common types of data inquiries –Uses a Crystal Reports generator to create its output Quick Search Reports –Allows you to select parameters from a list and generate a report

25 July Report Types Power Search Reports –Uses Boolean operators to allow you to generate a report with detailed, specific information –Because we do not have the time to review Boolean arithmetic, power search reports are covered in a separate presentation

25 July Open the Standard Reports Window Click the Standard Reports tool bar button OR Select the Reports > Reports pull-down menu option

25 July Standard Report Categories Each report is a summary of information within a specific database Each category may provide several summary options Click the button for the type of report you need

25 July Where to Print Use the pull-down menu to identify the location to which to print –On screen in a new window –To a data file –To a printer A print selection-unique options button appears

25 July Set Printing Options Based on “Where” Click the button to set how the on- screen window appears Click the button to set the format in which the data should be saved Click the button to set printer options Options are set in a pop-up window

25 July When to Print Use the pull-down menu to identify when to print: –Right now –Various delay options –Specify a time

25 July Data Status Click the Use Saved Data radio button to generate the report with existing data Click the Refresh Data radio button to update the data before printing –Typically used for controller event based reports

25 July Printing and Exiting Click the button to print the report Click the button to exit the report window Click the button to view the revision of the Crystal Reports generator being used

25 July Searchable Event Reports Creates reports based on all the events collected from all the controllers Two types of searchable event reports are available –Quick Search –Power Search (covered in a separate presentation)

25 July Quick Search Quick Search allows you to quickly generate a report by selecting from short lists of event file sorting options These sorting options filter the event file information

25 July Set Filters Use the radio buttons to select between including everything from a category or setting a specific range If you opt to set a specific range, use the pull-down menus, check boxes, and fill-in boxes to set the desired limits

25 July Clear Selection Fields Click the button to quickly clear all fields

25 July View Report On-screen Click the button to view the report on-screen

25 July Print or Save Report Click the button to send the report to your printer Click the button to send the report to a text data file –A standard Microsoft “save as” window appears allowing you to browse to the folder in which the file should be saved

25 July Power Search Power Search allows you to generate a report using very specific search/sort parameters Boolean operators are used to sort through and locate the desired information –We cannot teach Boolean arithmetic in this presentation, this is too detailed of a topic for the amount of time we have

25 July Report Options Click the Reverse order check box to reverse the sort order from first-to-last to last-to-first –Ascending to Descending order Click the ID numbers in report check box to include user ID numbers in the report –Typically used to support time and attendance software
