4 Financials Training Framework The Core-CT Financials training approach provides SMEs the opportunity to gradually build their skills. — Training Approach Framework — Implement Understand Discuss Time Ability to Support Change Sustain C A B D General communications, SME Kickoff UAT Training (Classroom Training), Modify Agency Specific Job Aids, Train the Trainer Classroom Training for All Projects/Contracts Users Job Aids & SMEs

5 Financials Subject Matter Experts (SMEs) Agencies have been asked to identify Projects/Contracts SMEs for the Projects and Contracts modules. Your role as a Financial SME includes the following: Review Projects/Contracts Job Aids and reference material before attending User Acceptance Test (UAT) Training Attend Financials UAT Training Attend UAT Modify Job Aids to make them agency specific Attend Projects and Contracts Train the Trainer sessions Train other Projects and Contracts users within your agency Become the first point of contact for end users before contacting Core-CT for assistance Work with end users to establish a process for solving issues within your agency before contacting Core-CT for assistance

6 Financials UAT Training Financials Agency SMEs will attend UAT training before performing user acceptance testing in April Hands on training provided by Core-CT trainers within a training environment Classes have been grouped by agency Projects UAT Training occurs between March 19 – March 23 Specific days are assigned to each agency Projects SMEs MUST attend these classes Contracts UAT Training occurs between March 26 – March 30 Specific days are assigned to each agency Contracts SMEs MUST attend these classes You will receive agency specific presentations on the Projects and Contracts business processes

7 Modify Agency Specific Job Aids Financials Projects/Contracts Agency SMEs will be responsible for inserting agency specific examples into the job aids that have been created by the Core-CT Training Team. You will have to come to Core-CT to modify the job aids to make them more agency specific. Available dates will be between April 30 and May 4

8 Financials Projects/Contracts Train the Trainer Select SMEs will be expected to attend the Train the Trainer program. Once you have successfully attended Train the Trainer, you will be responsible for training other users within your agency in June before Projects and Contracts goes live in July. Approach and Timing You will come to Core-CT to modify the job aids to make them more agency specific. Instruction will be provided on Core-CT functionality and training delivery Financials SME Trainers will conduct ‘dry-runs’ of their classes prior to delivering to end-users Sessions are being held from May 7 through May 31 The sessions are agency specific Core-CT Trainers will assist agency Financials SME Trainers during training delivery for most Financials Projects/Contracts training sessions in June

9 Role Handbook and Role Matrix The Role Handbook assists agencies in the process of mapping personnel to Core-CT Projects/Contracts roles. The Role Handbook explains the tasks associated with each role There are two handbooks in your packet:  Projects Role Handbook  Contracts Role Handbook The Role Matrix is used to document your agency users to the roles listed in the Role Handbook Please complete the Role Matrix by 3/30/2007 and return to

10 Financials UAT To test the software and programming that has been defined. To ensure the configuration items provided are accurate. To identify programming bugs, then retest once it is fixed. To test scenarios that you have brought to UAT. To identify areas where workarounds will be necessary. To identify areas where additional training materials may be necessary for your agency. To take your understanding gained through UAT and include this knowledge in agency specific training and job aids. Purpose of User Acceptance Test (UAT) UAT IS NOT FOR DEFINING NEW REQUIREMENTS

13 HRMS Projects Subject Matter Experts (SMEs) Your agency’s Projects SME role will include: Post Attendance Additional Pay Entries Enter Projects Combo Codes based on Test Scenarios Conduct Payroll Auditing Procedures Run Reports Attend Projects Train the Trainer sessions Train Self Service Projects users within your agency Become the first point of contact for end users before contacting Core-CT for assistance Work with end users to establish a process for solving issues within your agency before contacting Core-CT for assistance

14 HRMS Projects Fields We Have New Entry Fields and View Fields Maintain Time Reporter: new Projects Taskgroups to select New Entry Fields – Resource Type, Resource Category, and Resource Subcategory New View Fields – Resource Type, Resource Category, Resource Subcategory, Projects Costing Business Unit (PCBU), Activity ID and Project ID These new fields will appear on the following pages: Timesheet, Approval, Payable Time Detail, Adjust Paid Time The new fields will also appear on various reports

15 HRMS Agency Projects Readiness Tasks Learn how to change Maintain Time Reporter Taskgroups for all EEs who will be reporting to Projects Maintain Time Reporter Taskgroups need to be updated to a Projects Taskgroup with a June 8, 2007 effective date Taskgroup Update Due Date: May 1 Reason for Due Date: Projects EEs can not have future posted time

16 HRMS Projects UAT Schedule UAT HRMS Projects Training: March 27 – March 29 Agencies process employees’ time with Projects data from Financials team test scenarios The Load TL, Time Admin and Pay Calc processes run every afternoon UAT HRMS Projects Testing: April 2 – April 13 Core-CT Payroll Team runs confirm and back end (financials) processes: April 9 – April 13

17 HRMS Projects Train the Trainer Training Plan Timeframe: Projects TTT Class: May 22 and May 24 Agency Trains EEs: Week of May 28 Agency Facilitates Before-Projects Implementation Rapid Builder Practice Labs: Week of May 28 and June 4 Desktop Rapid Builder Exercises Available: Week of May 28 and June 4 After-Projects Implementation Labs provided by agency trainers (real-life work examples): after June 8 Core-CT will provide Projects Train the Trainer class for Agency SMEs. Agency SMEs are responsible for training their end users by June 8.
