2 Unpaid Vacation, Sick and Leave Codes Purpose –To ensure an accurate accounting of an employee’s time off – paid or unpaid –The potential overpayment of salaried employees due to unpaid vacation, sick and leave will be eliminated. –Also eliminated is the use of the pay correction form for this unpaid time off.

3 Unpaid Vacation, Sick and Leave Cont’d How to use the new codes –New codes will be used in the Time and Labor system. –Can be used in conjunction with paid time off codes

4 Unpaid Vacation, Sick and Leave Cont’d Affects on employee’s pay –For Hourly employees, these codes will record time off without pay but will not pay the employee. –For Salaried employees, these codes will reduce the salary by the time recorded.

5 Unpaid Vacation, Sick, and Leave Cont’d Reading the employee’s paycheck –For Hourly employees, pay is calculated but not added to the employee gross earnings. –For salaried employees, pay is reduced by the number of recorded unpaid time. –These codes can be used for all employees whether or not the employee has a vacation and sick plan.

7 Reading an Employee’s paycheck with unpaid vacation, sick or leave codes Review of Salary Paycheck Employee’s normal biweekly salary is $2,884.62 Unpaid Leave, Sick and Vacation reduced employee’s gross pay by $1,442.31 which equals 40 hours.

8 Additional Pay Modification Update Changes were made to the modification to accommodate areas of concern stemming from the Additional Pay training held. Areas of concern were: –Okay to pay checkmark automatic for new entries –Ability to terminate an additional pay prior to goal balance and amount balancing out.

9 Additional Pay Cont’d Changes are almost complete. Testing to begin by the end of the week. Modifications may be in place as early as July 28, 2008.

10 Reminders Any work time not reported in Time and Labor in time for payroll processing must be reported on a Pay Correction form. Please do not enter this time onto the timesheet.
