Step-by-Step: Adjust a Chart Axis USE the Pricing Final presentation that is still open from the previous exercise. 1.Click the chart on slide 2 to select it, if necessary. 2.Double-click one of the numbers on the vertical axis (for example, 200). The Format Axis dialog box opens. 3.On the Maximum line, click the Fixed button, and change the value to 500 to establish that as the maximum value for the chart’s vertical axis, see above.

Step-by-Step: Adjust a Chart Axis 4.Click Number in the left pane, and then click the Currency category. 5.Select the value in the Decimal places box and type 0 to reduce decimal places to 0. 6.Click Close to close the dialog box and apply your changes. 7.On the Home tab, open the Font Size drop-down list and click Click the Font Color button’s arrow to open its palette, and click the dark blue square in the Standard Colors section. The chart should resemble the one above. 9.SAVE the presentation and close it. LEAVE PowerPoint to use in the next exercise.

Step-by-Step: Adjust a Chart Axis Adjusting an axis’s scale can be useful if you are trying to make the data convey a certain message. If you want to accentuate the differences between values, tighten up the axis scale. For example, if all the data points are between 110 and 120, you might make the minimum value 100 and the maximum value 120. By default, a chart’s axis and formatting are automatically adjusted as needed when you make changes to the chart. Be aware, however, that if you specify exact values for settings, as you did in the preceding exercise, those settings will remain fixed even if you make changes to the chart.

Step-by-Step: Reposition Chart Elements To reposition chart elements, perform the following tasks: 1.OPEN the Admissions presentation and save it as Admissions Final. 2.Select the chart on slide 2. 3.On the Chart Tools Layout tab, click the Legend button, and then click Show Legend at Bottom. The legend moves to the bottom of the chart and changes its layout to a single row. 4.Click the legend to select it. 5.Point to the border of the legend’s frame, so that the mouse becomes a four- headed arrow, and click and drag the legend onto the chart itself, see right.

Step-by-Step: Reposition Chart Elements 6.Click the Legend button again and click More Legend Options. The Format Legend dialog box opens. 7.In the Legend Position list, click Top Right. 8.Clear the Show The Legend Without Overlapping The Chart check box. The legend moves to the upper-right corner of the chart, inside the chart frame (see above).

Nearly all of the chart elements can be positioned in the same way that you saw in the preceding exercise, but each has its own special options appropriate to it. For example, the chart title can either overlap the chart or not, and data labels can be placed inside or outside of the bars, columns, or pie slices they represent. In each case, the menu that opens when you click the button on the Chart Tools Layout tab contains some basic presets, and you can see more options by clicking the More command at the bottom of the menu.

The Format Chart Area dialog box opens. 5.Click Picture or texture fill, and then click the Texture button. The texture gallery opens. 6.Click the Newsprint texture, and then drag the Transparency slider to 25%. The chart area has been formatted with a light texture background that makes it stand out from the slide, as shown on the next slide.

Step-by-Step: Change the Chart Area Fill When formatting parts of a chart, it is sometimes a challenge to select the element you want to change. Use the Chart Elements list in the Current Selection group on either the Chart Tools Layout or Chart Tools Format tab to help you select the element you want.. You can also select any element on the chart by right- clicking it. The shortcut menu displays a Format command at the bottom that corresponds to the element you have clicked. The dialog box that opens when you select a chart element to format provides options specifically for that element.

Step-by-Step: Apply a Chart’s Border USE the Admissions Final presentation that is still open from the previous exercise. 1.Click the outer border of the chart to select the chart area. 2.On the Chart Tools Format tab, click Format Selection to open the Format Chart Area dialog box. 3.Click Border Color, then click Solid line. 4.Click the Color button, then click the Black, Text 1, Lighter 35% theme color. 5.Click Border Styles, then click the Width up increment arrow until the width is 3-point.

Step-by-Step: Apply a Chart’s Border 6.Click Close to close the dialog box, then click outside the chart so you can see the chart area border. Your slide should look similar to the figure at right. 7.SAVE the presentation. LEAVE the presentation open to use in the next exercise.

All three blue bars become selected. 2.On the Chart Tools Format tab, click the Shape Effects button, and on the menu that appears, point to Bevel, and then click the Circle bevel (see above).

Step-by-Step: Apply Formatting Effects 3.Repeat steps 1 and 2 for the red, and then the orange bars, so that all bars are formatted using the same bevel effect. 4.Click the Shape Effects button again, point to 3-D Rotation, and click the Perspective Heroic Extreme Right effect (the last one in the Perspective section). The entire chart receives a 3-D effect, as shown above. 5.SAVE the presentation. LEAVE the presentation open to use in the next exercise.

Step-by-Step: Format a Chart’s Data Series USE the Admissions Final presentation that is still open from the previous exercise. 1.Click the chart to select it. 2.Click one of the red bars to select the entire data series (all the red bars). 3.Click the Chart Tools Format tab, and notice that the Chart Elements box in the Current Selection group shows that Series “2010” is selected. 4.Click the Format Selection button in the Current Selection group. The Format Data Series dialog box opens.

Step-by-Step: Format a Chart’s Data Series 5.In the Series Options pane, drag the Gap Width slider to 300%. The data series are now separated on the slide by a large gap, and the bars are very narrow, as shown above. 6.With the data series still selected, click Fill in the left pane of the dialog box, and click the Gradient Fill option button.

Step-by-Step: Format a Chart’s Data Series You can use options in the Format Data Series dialog box and the Shape Fill, Shape Outline, and Shape Effects menus to apply colors, pictures, textures, gradients, shadows, bevels, and many other choices. If your time is limited, you can achieve sophisticated effects by simply applying a Quick Style from the Shape Styles gallery. In some situations, you may want to apply formats to a specific data marker rather than to the entire data series. To select a single data marker, click it once to select the data series, and then click it again to remove selection handles from the other markers.

Step-by-Step: Add a Hyperlink USE the Admissions Final presentation that is still open from the previous exercise. 1.Add three new slides at the end of the presentation, all with the Title and Content layout. In the title placeholders, type 2009, 2010, and 2011, respectively. 2.On slide 2, on the chart, click the 2009 entry on the legend to select it. Make sure only the 2009 entry is selected, not the entire legend. 3.Click the Insert tab, and click Hyperlink. The Insert Hyperlink dialog box opens. 4.Click Place in This Document.

Step-by-Step: 5.Click the 2009 slide (see right). 6.Click OK. 7.Repeat steps 2-6 to create hyper- links for the 2010 and 2011 entries in the legend to their respective slides. 8.Test the hyperlinks in Slide Show view, and then return to Normal view 9.SAVE the presentation. PAUSE. EXIT PowerPoint.
