How the Ultranet protects privacy Defined roles and access rights control who can view information. Use of complex passwords for all users. Limits on information collected/made available. As a teacher, you decide who sees your personal space (eXpress Space). Class teachers can be Portfolio Viewers of students they teach. This allows them to view a student’s eXpress Space pages. No anonymous postings are allowed. All postings are logged and can be audited. All online communities must be moderated by a teacher. Easy for users to report inappropriate content. Ability to opt out of having your photo displayed. Time outs after 15 minutes and maximum session time of 4 hours. Business processes developed to control expiry, destruction and archiving of information. Privacy

How to protect your privacy 1.Don’t share your password with anyone. 2.Shut down your browser when you finish a session (especially on shared computers). 3.Don’t disclose personal information in online spaces. 4.Understand who can see information about you in the different Ultranet spaces. Privacy

Accessing Student Data Access to student information has major benefits for teachers and students. However, it also creates a responsibility for teachers to use this information in line with Privacy laws. We need to balance the risk of misuse of student information with providing appropriate access for teachers to the information they need to effectively carry out their role. The only purpose for which teachers should use student data from the Ultranet is when it is necessary to enable the teacher to fulfil their official teaching or pastoral care duties to that student. Protecting the privacy of others Only access information on a ‘need to know’ basis. Ensure access is justified (education or pastoral care). Don’t make comments/observations about others or upload content that is: –Not related to your educational context (includes comment/information which refers to a student’s medical history or behavior) –Unsubstantiated, based on hearsay, misleading or out of context –Offensive, defamatory, racist, sexist, homophobic, or bullying in nature. Don’t use materials/content that you find on the Ultranet for purposes other than education. Don’t disclose personal information about other people. Don’t upload information about others without their permission eg photos. Privacy

Safe and Responsible Online Behaviour The internet and digital technologies are now very much a part of life and learning. As an increasingly interactive medium, it brings with it exciting educational opportunities, but at the same time it also brings some risks. Safe and Responsible Use Schools have an important role in educating and supporting students to participate safely and responsibly in online environments. A teacher’s duty of care extends to any online environment that DEECD provides, including the Ultranet.

Duty of Care Our duty of care to students extends to any online environment that DEECD has provided. This includes ensuring there is appropriate oversight of students’ use of the Ultranet. Class teachers should request and gain access as Portfolio Viewers to students’ eXpress spaces. Be aware of your responsibilities as the moderator of a space (see next slide) Be aware that DEECD’s filtered internet service will not prevent student’s from linking to, or uploading, inappropriate content when not using a school computer.

Moderator Role All online spaces MUST have a moderator whether set up by staff or students. Only staff can be moderators. If you set up a space, you automatically become the moderator of that space. Moderators are responsible for reviewing content in a space regularly to check its appropriateness. To support this process, all members of the space are able to flag inappropriate content for moderation. This will result in an being sent to the moderator who can then review the content and take appropriate action.

In Australia, copyright law is contained in the Commonwealth Copyright Act 1968 The Ultranet, because of its scope for sharing materials, highlights that we all need to be more vigilant about using material that is not our own work. Copyright and Intellectual Property Copyright and Intellectual Properly You will be prompted to consider Copyright and Intellectual Property whenever you upload content into the Ultranet. A process is available for you to reference the source of any material that is not your own work. How the Ultranet will support you not to breach copyright:

Any wider use of copyright materials is against the Law. Teachers can use copyrighted content for educational purposes under Part VB and VA of the Copyright Act.

Other issues Teachers cannot rely on Part VB when uploading information that is not for education purposes. 10% rule is cumulative across the Ultranet. Minimise duration of content being on the Ultranet ie: remove to personal repository when not in use, link and take down multiple versions. All third party content must have the source acknowledged. If you are aware of infringing material on the Ultranet – you should seek to have it removed as soon as possible. Copyright and Intellectual Properly
