Changes That May Require a New Record Regina Romano Reynolds Committee to Study Serials Cataloging ALA Annual Meeting June 17, 2002

Outline Concepts and background What’s new or changed ? Major changes  Edition statement (new rule)  Format (clarified)  Title proper (new wording) Minor changes  Title proper (several new provisions)  Numbering (changed rule) Quiz! (Examples)

Title changes New!!! Major/minor changes

Major vs. Minor Changes A major change in a serial requires a new record

Minor Changes A minor change does not result in a new record but may require revision of the record, e.g., by adding a variant title note and added entry (field 246)

Development of the Rules Desire for fewer new records Desire for fewer new ISSN Harmonization effort among AACR, ISSN, ISBD  Rules for new ISSN track rules for new records in most cases

Basic Principle Only those changes indicating a new Work should result in a new Record

New! Major Changes Main entry changes Translated serial undergoes change in original title Change in corporate body used as uniform title qualifier Major change in title proper Change in physical format Major change in edition statement

Major Change in Edition Statement If the change in an edition statement indicates a change in subject matter or a change in physical format, make a new record  North American ed. North and Central American ed. But not:  Doctor’s ed. Physician’s ed. New record No new record New!

Change in Format Rule of thumb: A change that would result in a new SMD  Print to online  Microfilm to microfiche But not HTML to XML or PDF

Title Proper Title

Major or Minor? Test all potential changes against the title proper (245) against the title proper (245)

Major Changes in Title Proper: 1 st Five Words Addition, deletion, change, or re- ordering of any of the first five words (minus initial article)unless the change is among the minor change exceptions  The mining review The mining and industry review  Yearbook of Nordic statistics Nordic statistical yearbook  ACE newsletter ACE journal New record

Major Changes in Title Proper: Change in Meaning or Subject Words are added, dropped, or changed anywhere in the title that change the meaning of the title or indicate a different subject matter  The best bed & breakfasts in the world The best bed & breakfasts in the United States BUT  Directory, educational and career information services Directory, educational and career information services for adults * Not a change; after 1 st 5 words, no change in meaning New record No new record

Major Changes in Title Proper: Change in Corporate Body Major change in the name of a corporate body (i.e., new heading needed) recorded as part of the title proper  Reports of the Institute of High Speed Mechanics, Tohoku University Reports of the Institute of Fluid Mechanics, Tohoku University New Record

New Minor Changes Several new categories of minor changes in title proper Numbering

New! Representation of words Articles, prepositions, conjunctions added, deleted, changed  Corporate body added, deleted, moved; representation of body name changed Punctuation changed Changed order of titles for titles in more than 1 language Words linking title to designation added, deleted, changed Fluctuating titles  Words are added or deleted from a list, or order changed, with no significant subject change  Words indicating type of resource added/dropped Minor Changes in Title Proper New!

Corporate Body (Revised) The name of the same corporate body is added or deleted anywhere in the title, or the representation of the name is changed (e.g., from full form to acronym or in the fullness of the hierarchy presented). BUT If a major change in the name occurs, make a new record. If another corporate body name is added or substituted, make a new record. New record

Corporate Body Situations Name changes position in title Name added or dropped anywhere in the title (formerly end of title only) Representation of name changed Applies to all bodies, not just issuing body, e.g., recipient of a report Does not apply to personal names

Name Changes Position in Title Minutes of the Sons of Italy Conference Sons of Italy Conference minutes CONSER annual report Annual report of CONSER

Change in Representation of Body Name Journal of the Association of Computing Machinery Journal of the ACM Report of the Joint Commission on Printing JCP report

Special Situations: Minor Changes Involving Body Names Biennial report Biennial report to the governor and legislature Belgium and Luxembourg Fodor’s Belgium and Luxembourg  If Fodor’s was already the publisher = minor  If Fodor’s was not the publisher = major  Principle: does change signify new work?
