The Bentley Digital Media Library Providing Secure Access to Digitized Audio and Video The Bentley Digital Media Library Good afternoon, Today I want to share with you some of the work we have been doing at the Bentley regarding access to digitized sound recordings; what some of the challenges have been and what solutions we’ve found.

Preservation of Sound Recordings Digitization Access Challenges 2012-2016 Large-scale digitization of audio reels - 1,600 Cassettes - 1,931 4000 + files = 8.5TB approx. Storage Copyright Limitations of tools/ systems at the time Overview/ background During the last four years the Bentley has been working on large-scale digitization of its audio holdings and has already transferred/ digitized over 4k recordings into digital format. This is a lot of content and with AV content comes great responsibility and very many challenges Digitized AV posed for us a number of challenges including the need for massive storage, copyright restrictions, and limitations of access tools/ systems at the time. Section 108 of Copyright law limits the way we display and share AV content. As a result we have a large amount of digitized content which we cannot share beyond the premises of the library, according to Section 108 of Copyright law.

Deep Blue In terms of providing access to digital materials at the Bentley, we had been partnering with UM Main Library in using the university’s institutional repository Deep Blue (Dspace). This provided the archival storage needed for digital materials in our collections. IR only allows for download of content. No streaming That means that for us this limited the way we could provide access to digital audio or video while considering copyright restrictions. Discussion with Peter Hirtle – exploring streaming as an access approach – no copy for private use We set out to find creative wys to use and modify this system Modified browser in reading room computers Secure workstations No uploading, download, or file sharing Restricted to local access through IP address Hard to achieve at scale and had to be fixed every time the browser updated.

AV Access: Goals & Needs Increase access Stream content Archival description levels of access according to item’s rights Metadata searchable & available to world In exploring solutions we narrowed down what we needed to provide appropriate access. We wanted to: Increase access and use of our digitized sound and video recordings Stream Bentley digitized AV content (no downloads) Apply archival descriptive practices Provide different levels of access according to item’s rights - building or ‘world’? access ??? Make Metadata for all content available to world

In exploring solutions, we came upon a new service being provided by university ITS. Enter Kaltura Kaltura video platform – contracted service by UM ITS (MiVideo) Exploring possibilities - Fall 2014 Collaborative work with ITS – modify to our needs Bentley Digital Media Library Include updated image!!!!!

Process & Challenges Modifying Kaltura for Bentley needs Access Controls Bulk Upload User Interface & Navigation Metadata Multiple Access Points Player Worked with ITS to achieve

-Access Controls - Customized access control module to allow content to be played within building to comply with Section 108 of Copyright law. Users not at Bentley can search content and metadata but not play files. -Bulk Upload – Upload through file transfer and XML document.

-Player – Social Media sharing and comments were disabled in the player module. -Metadata - Modified metadata modules and fields to allow for Dublin Core metadata. -Multiple Access Points – to and from finding aids and Bentley website.

-User Interface & Navigation – Modified layout, navigation, search parameters, and static and dynamic pages to show relationships between items using Kaltura modules.
