Lesson 1: Getting Started Course intro Introducing QuickBooks Getting around in QuickBooks All the accounting you need to know Getting help while using QuickBooks Exiting QuickBooks Moving between company files Instructor Notes: You may want to have people briefly introduce themselves. I ask them to indicate their type of business too – this helps me tailor examples when possible. Also, I want to know how much they know about QuickBooks – have they never seen it, used it a little or been using it for several years.

Lesson 2: Setting up QuickBooks Creating a QuickBooks Company Entering company info Customizing QuickBooks for your business Setting up your business accounting Completing the company file set up Closing the company file Instructor Notes: Mention the Express Start feature that is available. Note that you will be going through the EasyStep Interview which is more comprehensive and provides a good overview of the various features available in QB.

Lesson 3: Working with Lists Using QuickBooks lists Editing the Chart of Accounts Working with the Customer, Vendor and Employee Centers Adding custom fields Managing lists Introducing the new Lead Center Instructor Notes: Mention/show all the lists – let them know that the process to add new, edit, make inactive, etc. is the same for all the lists (even though we won’t talk about all the lists in this seminar).

Lesson 4: Working with Bank Accounts Writing a QuickBooks check Using bank account registers Entering a handwritten check Transferring money between accounts Reconciling checking accounts Instructor NOTES: After discussing how to enter checks – mention that they should enter a check (with a code (like DB) instead of a check number) for Debit purchases, ATM withdraws, EFT, etc. (i.e. money coming out of the bank account can be entered as a check). Also, you may want to mention that PayPal should be set up as a bank account too.

Lesson 5: Using other Accounts in QuickBooks Other account types in QuickBooks Tracking credit card transactions Working with asset accounts Working with liability accounts Understanding equity accounts Instructor NOTES: you may want to mention that a credit card type of account can be used for other revolving lines of credit too (like a bank line of credit, due to owner, etc.).

Lesson 6: Entering Sales Information Using sales forms in QuickBooks Filling in a sales form Repeating a sale and batch invoices Entering a new service item Using multiple price levels Managing overdue customer payments Processing sales orders Tracking backorders Instructor NOTES: explain the difference between an invoice and sales receipt.

Lesson 7: Receiving Payments and Making Deposits Recording customer payments Making deposits Instructor Note: Make sure to explain the importance of following the flow chart – do not just enter a deposit into the register. Explain undeposited funds and how it works.

Lesson 8: Entering and Paying Bills Handling bills in QuickBooks Using Quickbooks for accounts payable Entering Bills Paying Bills Instructor Note: Make sure to explain the difference between enter/pay bills and Write checks. Note that they do not have to use enter/pay bills at all. They can just enter checks – especially if they are entering transactions to get caught up.

Lesson 9: Analyzing Financial Data Reports and graphs help you understand your business Creating QuickReports Creating and customizing preset reports Saving report settings Printing reports Exporting reports to Excel Creating QuickInsight Graphs Instructor NOTE: Reports are the payoff for entering transactions into QB. There are over 100 reports and graphs to help you see how your business is doing and make better business decisions. This section is an overview of the reports & graphs that are available but let them know they need to spend time exploring and looking at all the reports to know what is there. This seminar will help show them what is there and how to modify or customize reports, memorize them and mark favorites.

Lesson 10: Setting up Inventory Turning on Inventory Entering products into inventory Ordering products Receiving inventory Entering a bill for inventory Manually adjusting inventory Tracking finished goods Using units of measure Instructor NOTES: Make sure to explain inventory – they will create an invoice or sales receipt with inventory items on it. Supplies or job materials are usually not inventory. Inventory takes a commitment to enter things properly or they can create a big mess. Discuss periodic inventory and that it may be more appropriate for small businesses. They should discuss it with their accountant or tax pro.

Lesson 11: Tracking and Paying Sales Taxes Overview of sales tax in QuickBooks Setting up your tax rates and agencies Applying tax to each sale Determining the amount you owe Paying your tax agencies Instructor NOTE: Encourage them to find out the sales tax laws that apply to them from their accountant, the state or local SBDCs can help. It is their responsibility to comply and be prepared for a sales tax audit.

Lesson 12: Doing Payroll with QuickBooks Overview of payroll tracking Setting up for payroll Setting up employee payroll info Running a payroll schedule Tracking your tax liabilities Paying payroll taxes Instructor NOTE: Make sure to mention they need a payroll subscription for QB to calculate payroll withholdings, etc. Mention the different payroll subscriptions available: Basic payroll – no tax forms Enhanced payroll – includes federal and state tax forms Assisted Payroll – you enter hours & process paychecks and Intuit handles the tax payments and filings. Complete Payroll Intuit Online Payroll Mention they can learn more about payroll options at http://payroll.intuit.com

Lesson 13: Estimating and Progress Invoicing Creating jobs and estimates Creating an estimate Creating multiple estimates Creating an invoice from an estimate Displaying reports for estimates Updating job status Instructor NOTE: Mention that from an Estimate they can create an invoice or a Purchase order – without re-entering info

Lesson 14: Tracking Time Tracking time and mileage Invoicing a customer for time and mileage Displaying project reports for time tracking Paying nonemployees for time worked Instructor NOTE: Mention that they can change the starting day of the week on the time sheet in Preferences. Also, they need to process payroll to allocate the costs to customer:jobs – not just enter time.

Lesson 15: Customizing Forms and Writing QuickBooks Letters About QuickBooks forms Customizing invoices Designing customer layouts for forms Customizing the design for all your forms Using QuickBooks Letters Collections Center Instructor NOTE: Make sure to show them how to access the Customer Center and edit the text of the emails (Edit > Preferences > Send Forms > Company Preferences).

Lesson 16: Working with Multiple Currencies Using multiple currencies with QuickBooks Setting up multiple currencies Buying and selling items in multiple currencies Instructor NOTE: Make sure to point out the warning – once you turn on multiple currencies you cannot turn it back off. Also, it is designed to use US$ as the home currency. . (Can’t use online banking from US banks if US$ not the home currency, can’t use payroll if US$ not the home currency, etc.)
