Compliance, Policy and Regulations Supervisory Training

This module sets out the role of the supervisor and this is further defined in section 5 of the ‘Code of Practice Conduct of Postgraduate Research.’ The code and other Academic handbooks can be found:  http://www.salford.ac.uk/qeo/Roles Compliance, policy and regulations module contains information on the following areas: - Supervisory responsibilities - The role as an independent chair - Research Ethics  - UKVI compliance - Student welfare 

Supervisory responsibilities……. Induction and compliance: - Supervisory responsibilities……. Induction and compliance: - Supervision and progress meetings are clear and has an induction - Forms/documents are completed (dated & signed) - Provides advice, conceptual/planning support, completion/writing up support within the period of registration - Guides compliance: ethical approval process/data management - Undertakes a hazard assessment and arranges training - Split-site/distance learning arrangements for meetings - Provide a structured review of work and advice - Creates an open record of progress Writing and thesis guidance: - Provides guidance about the literature and remedial needs - Updates the Learning Agreement, recommends examiners - Endorses thesis, protects intellectual property - Advises on publication, data protection and open access

Supervisory responsibilities……. Progression: - Supervisory responsibilities……. Progression: - Ensures regular meetings = 12 per academic year (5 PT students). Tier 4 students must comply with Attendance Monitoring - The meetings must take place at Induction, to draft Learning Agreement (LA), prior to Annual Progress Report and Self Evaluation, before and after the Interim Assessment (IA) and Internal Evaluation (IE), prior to the thesis submission and the Viva Voce and after the Viva outcome - Additional meetings as required for conference, publications - Co-supervisors are expected to be involved LA, IA & IE - Organise Annual Review, IA and IE Training, development and support: - Provides/arranges training - Highlight research developments, encourage contribution, independence and presenting their work - Co-supervisor to keep contact throughout

The role of independent chair…… - The role of independent chair…… - Supervisory requirement to chair the Viva for another School - Conducts the examination to ensure fairness and policy observance - Does not read thesis or make any contribution - Informs candidate of examiners decision, must complete report and submit examination forms to student admin The Chair ensures that: - The Viva examination is rigorous, fair, reliable and consistent - The Candidate has opportunity to defend the thesis - The questioning is conducted fairly and professionally, adhering to regulations and procedure and concentrated on the examining process - The examiners recommendations are communicated (clearly/timely) - All paperwork is completed (Joint Examiners Report and Independent Chair report)

The role of independent chair…… Before the Viva The Pre-Oral Meeting During the Viva Where/when is it? Contact details PGR office Refresh – PGR Award regulations and CoP or specific programmes/ formats and section D ‘Academic Misconduct’ Check - you have paperwork/forms: Pre-Oral Report Form, Joint Examiners’ Report Form, and Independent Chair Report Form Refer to the IC checklist Takes place on the day of viva Check - examiners have completed pre-oral report forms (or use your copy) Chair the pre-oral meeting: determine agenda, format, questioning, and breaks The option of student presentation Introductions (including the supervisors role if present) Outline format Confirm the candidate is ‘fit to sit’ Make notes for the Independent Chair form, keep focus, check time and breaks Ensure – questioning is fair, intervene if unfair or there’s misconduct At end – manage questions, student/supervisor/s to leave room

The role of independent chair…… The Examiners’ Discussion Concluding the Viva Role Summary Chair examiners’ discussion and advise if required Ensure FULL completion and signatures of the Joint Examiners Report Form If not agreement – examiners submit separate reports to SREC Verbally report outcome and recommendations to student/ supervisor/s (be clear this is provisional) Ensure FULL completion of the Pre-Oral, Joint Examiners’ and Independent Chair forms Submit within 7 days to Student Admin sa-pgr@salford.ac.uk Responsible for completion and submission of paperwork Ensure the viva runs smoothly and fairly and within regulations/policy guidance Refer to the IC checklist for full details or ask PGR admin or School PGR Director.

Compliance…… Research Ethics: - Compliance…… Research Ethics: - Ethical Approval MUST be considered by ALL students - The ethical checklist MUST be completed as part of the Learning Agreement within the first 3 months of commencement - Full approval must be obtained prior to data collection - Penalties exist for approval not in place by the Interim Assessment or Internal Evaluation point - Students MUST attend induction and complete the online course UKVI: - Tier 4 Visa students complete additional requirements – submit evidence of their monthly supervisor meetings - Completed form is signed and uploaded to Advantage at end of month - Important: actual signature is obtained, if a form is late – it’s classed as missed attendance http://www.salford.ac.uk/askus/immigration-visas/attendancemonitoring

Student welfare…… Well-being: - Student welfare…… Well-being: - Well-being and counselling support: http://www.askus.salford.ac.uk/healthwellbeing - Student leave of absence: annually allocated, is authorised by main supervisor, is distinct from an interruption, should not affect student progression or completion - Student’s have 30 days including UoS vacation periods - Absence that exceeds 6 weeks is considered an interruption Advice - interruptions: - During interruptions students are NOT registered.
