Introduction to Engineering Project Management - 1 Agenda Learn how to make a project design schedule Begin to prepare a design schedule for your team Project Management - 1

Reference Project Management and Teamwork by Karl Smith Chapters 4 and 6 Chapter 5 – How to be a project manager Not applicable in our situation

The Project Cycle Conceiving and defining the project Planning the project Implementing the plan Completing and evaluating the project Operating and maintaining the project Smith’s “Teamwork and Project Management,” pg. 47 Project Management - 1

Good Project Management Creating a working flow chart designed to represent different phases of your project Creating a working spreadsheet of tasks, responsible parties, and a timeline for completing tasks Implementing your work schedule to complete your project in a timely manner

Tasks Brainstorm to decide what your group’s tasks will be After you have decided these tasks, break them down into smaller parts where possible Put these tasks in order from start to finish for the project

Work Breakdown Structures Work breakdown structures are useful in determining the order in which tasks must be completed These structures outline what needs to be completed before another task can begin The structure serves as a visual interpretation of your schedule A detailed description is found in Smith’s “Project Management and Teamwork,” p.66 Also, students had to use this structure in the Bike Lab in 181 last quarter. Project Management - 1

Hints for Ordering Tasks Look at the syllabus to see what your weekly assignments will be These assignments will help to develop a timeline for your group Work backwards from these assignment due dates

Hints for Ordering Tasks Start with what major assignment or task needs to be completed for each week of the quarter Then use your list of smaller tasks to fill in what needs to be done each day Decide which tasks must be completed before another phase of your project is started and allow for that time

Work Breakdown Structures Task 1 Task 1b Task 1a Final Project Task 2 Task 3 Task 2b Task 2a This example shows that there are 3 major tasks to be comleted before the project is finished. However, it also shows that tasks 1 & 2 are broken down into smaller tasks which must be comleted before task 3 is even began. The stucture also illustrates that tasks one and two are independent of each other, but both tasks as well as the smaller tasks they are broken down into, must be comleted before Task 3. Project Management - 1

Work Breakdown Structure Task 1a (1/2 Day(M) Task 1 (1 Day(M) Turn In Final Project Task 1b (1/2 Day(M) Task 2a (2 Days; TW) Task 3 (1 Day(R) Task 2 (3 Days; TWR) Task 2b (1 Day(R)

Managing Your Project Each group will be required to create a spreadsheet incorporating the following things: Task # Task description Primary worker Secondary worker(s) Date due Projected date of completion Estimated & actual amount of time to complete task

Blank Design Schedule # Task Prim. Worker Sec. Worker All Due Date M T F Sa Su Est. Time Actual Time Date Done 1 2 3 4 5 6 7

Example Design Schedule # Task Prim. Worker Sec. Worker All Due Date M T W R F Sa Su Est. Time Actual Time Date Done 1 1: Research X NA 1 day 3/01 2 1a: Go to Internet Joe Karen ½ day ½ hour 3 1b: Go To Library 6 hours 4 2: Write Report 3 days 2 ½ days 3/04 5 2a: First Draft 2 days 3/03 6 2b: Revisions ½ day 7 3: Complete Final Draft Friday

Assignment In Class At Home Brainstorm ideas for the design schedule Decide what each team member must do this evening to finish the schedule tomorrow At Home Do your part of the schedule CADKEY starts next session so they will need a blank disk. Project Management - 1
