You’ve found an On-Campus job! Now - What’s next?

PREVIEW OF STEPS Receive the “Welcome to UC” email from Human Resources Complete the online forms by clicking the link in the email Log-in to iBearcats and submit a request for Onboarding using the appropriate “Employment Onboarding Request” eform found under F-1 Student Services, J-1 Student Services, or Biographical Information (for non F-1 or J-1 Students) depending on your status Receive email approving your request Call the office (UC International) and make an appointment Read your email carefully and follow the instructions Collect the required documents for your appointment: I-94 Form I-20 or DS-2019 Passport Visa SSN (if you have one) 7. Arrive on time for your appointment

After about 2 weeks of patiently waiting.. You will receive the “WELCOME TO UC EMAIL!”

Welcome to the University of Cincinnati! The “Welcome to UC” email is as follows: Dear Joe Bearcat, Welcome to the University of Cincinnati! Prior to coming in on your first day, you will need to complete your online New Hire forms. The forms needed for your employment with UC have been packaged electronically in our New Employee Portal. Please click this New Employee link to login to our New Employee Portal in order to complete and sign the forms. Please write down your user name and password - on your first day of work you will need to have this information and your identification with you to complete your I-9 verification.  We are required by federal regulations to verify your employment eligibility within three (3) working days of your start date. Please make sure that you bring the identification you selected on the electronic I-9 form on your first day to have it verified by Human Resources.   If you have any questions please contact Human Resources at 513-556-6381. Open the Welcome Email and Fill Online Forms: You Will Need Information From Your: I-20 I-94 Passport First you will input basic Biographical Data: Name, Address, Phone# If you do not have an SSN you need to tick That you will apply for one

Filling Your Name Filling Your Address Fill in your name the same as it is on your passport (If you have only one name put it in the Surname field and type n/a in the Given name field) Filling Your Address An example of the proper way to write or format a U.S. address is: Joe Bearcat 1234 Bearcat Way, Apt. 15 Cincinnati, Ohio 45219 Do not write the name of the apartment or dormitory, it is not needed Note: Comma between street and apartment Comma between City and State

Adding Additional Information to the I-9 Form Your Email and Telephone Number are Optional *You may want to add in case there are important communications pertaining to you A citizen of the United States (no don’t pick this one) A noncitizen national of the United States (no) A lawful permanent resident (no) An alien allowed to work until: (the program end date on your I-20 or DS-2019) You will need to input your Passport # OR Your I-94 (Admission #) End Date will be D/S You can access the I-94 at www.cbp.gov/i94 Visa Type: Example F-1 Student Choose: List A - Foreign passport with a Form I-94 and I-20/I-766 Did you need a “Preparer or Translator” = NO

TAXES Are your married or single? Number of Allowances: Suggestion is “1” Additional amount, if any, you want withheld from each paycheck: “0” Are you Exempt from Taxes? No you are not exempt: NO

Next, you will review the following policies and regulations: Form SSA-1945 – The Ohio Ethics Law and Related Statutes Acknowledgment Acknowledgement of Receipt of Auditor of State Fraud Reporting System Information You will click on a link and they will pop up.

After you finish the online forms - Here’s a summary of what will happen next ! You will: Log-on to iBearcats Global (https://ibearcatsglobal.uc.edu) Fill out the appropriate onboarding employment eform Receive Email Approval of the Request Call the Office to Schedule an Appointment (556-4278) Onboard for your new position.

You will be completing one of the following eforms in ibearcatsglobal: “Employment Onboarding Request: Receiving a UC Paycheck” “Employment Onboarding Request: Non-UC Employee” (this is the form used for a job in the food court or bookstore, etc.) “Employment Eligibility Verification/Social Security Number Request for Non F-1 or J-1 Students Note: F-1 Students will look for the eforms under the F-1 Student Services menu; J-1 Students will look under the J-1 Student Services menu; All other status holders will look under the Biographical Information menu

Use the Employment Onboarding Request: Receiving a UC Paycheck When Your Job is with a UC Department Your title will be either “Student Worker” or “Graduate Assistant” This may be either on Main Campus (west) or the Medical Campus (east) or at any of the Branch Campus’ Examples: Student Affairs The Residence Halls The Learning Assistance Center Public Safety – Night Ride Environmental Health Pathology The Libraries UC Information Technology

Use the “Onboarding Employment Request: Non-UC Employee” eform when: The on-campus job is not paid by UC Non-UC Employee jobs are available at the following locations: Main Campus Any of the restaurants on Main Campus Also Medical Campus Caminetto Euro-American Bistro  Mark Pi’s Bearcat Lounge (Kingsgate Hotel)  Subway The Market Place Café  Starbuck’s Au Bon Pain

Use the “Employment Eligibility Verification/Social Security Number Request For Non F-1 or J-1 Student When: You hold an immigration status other then F-1 or J-1 You have a valid employment Authorization Document (EAD) issued by USCIS.

Before your appointment: Gather all your documents Remember your Success Factors password Print and complete forms Social Security Application OPERS Retirement Exemption Form Arrive at your appointment on time with all your materials

When you finish your eform in ibearcatsglobal, you will initially receive a confirmation email from us. We will review your request with 5 business days. Once approved, you will receive an approval email from us. Once the approval email is received, call the office to schedule an appointment for Onboarding 556-4278. It is important that you call for an appointment right away, do not delay. Note: Your onboarding request will be denied if you submit the eform request prior to your receiving the “Welcome to UC” email and completing all the steps in Success Factors highlighted in this presentation.

What will happen at your appointment? You will meet with the HR Coordinator Your documents will be copied and reviewed We will review and complete Success Factors

What will happen at your appointment cont. Review your Social Security Card Application and OPERs Form Receive an authorization letter to present to the Social Security Office Receive directions to the Social Security Office Receive instructions on how to activate Direct Deposit Receive information on how to submit the Tax Analysis eform

FAQ’s and Other Information After Onboarding at UC International, you may start work when your start date arrives even if you haven’t received your SSN yet. Normally, the SSN takes about 10 days to two weeks to arrive at your home after applying. After you receive your SSN you must make a copy and drop it at the front desk at UC International in Edwards Center, Room 7148.
