Lesson 11 Page and Section Breaks

Overview Use soft and hard page breaks. Control line and page breaks. Control section breaks. Format sections. Use the Go To feature. Demonstrate why learning to control pagination is important: without any control in a long document, text will flow inappropriately from the bottom of one page to the top of another. For example, if a long document contains short chapters, each chapter might need to begin on its own page.

Use Soft and Hard Page Breaks In Word, text flows automatically from the bottom of one page to the top of the next page. As a user keys text, Word calculates the amount of space available on the page. When a document exceeds the page length, Word creates a soft page break. A soft page break appears as a horizontal dotted line on the screen in Normal view. Pagination is the control and customization of how and when text flows from the bottom of one page to the top of the next.

Adjust a Soft Page Break Automatically Inform students that the page breaks described in this lesson might appear in slightly different locations on the screen. Adjusting the position of a soft page break

Insert a Hard Page Break If a user wants a page break to occur at a specific point, a hard page break can be inserted. In Normal view, a hard page break appears on the screen as a dotted line with the words “Page Break.” A hard page break can be inserted by using the keyboard shortcut [Ctrl]+[Enter] or choosing Break from the Insert menu.

Delete a Hard Page Break A hard page break can be deleted by clicking the page break and pressing [Backspace] or [Delete]. After deleting the page break, Word automatically adjusts the pagination. There are several ways to delete a hard page break. Depending on the position of the insertion point, you can use the Backspace or Delete key. You might want to show students how to select the hard page break (in Normal view) by clicking the Page Break or by placing the pointer in the left margin area and clicking when the arrow points to the right.

Control Section Breaks Section breaks separate parts of a document that have formatting different from the rest of the document. The Break dialog box can be used to insert a section break directly into a document at a specific location. Users can specify the type of section break to be inserted. Remind students of the purpose of sections and show examples of publications that use different margins on pages. Explain that sections are like documents within a document. Sections can have their own page numbering, margins, and page orientation.

Format Sections Users can change the formatting of a section or specify a different type of section break. Formatting sections is useful in long documents that have different formatting for some sections. Point out the page and section numbering on the Status bar when students create a new section.

Format Sections Apply formatting to sections. Change the vertical alignment of a section. Check pagination in Print Preview and Page Layout view. Inform students that the formatting applied to a section is stored in the section break. If a section break is deleted, the formatting for the text above the section break is also deleted.

Check Pagination in Print Preview and Page Layout View The formatting of a document can be edited and changed in the Print Layout view or Print Preview. Page Setup dialog box can be opened from Print Preview to change the alignment of the text. In Print Layout view, page breaks are indicated by the actual layout of each page, as it will look when printed. The Zoom box can be used to view a number of pages at the same time. Inform students that Print Preview does not show the dotted lines of the section breaks, but it does show how the page will look when they print it.

Use the Go To Feature Go To can be used to move through a document quickly. Go To enables moving the insertion point to the specified location quickly. Go To can be initiated by: Choosing Go To from the Edit menu Double-click the Status bar anywhere to the left of REC Press [Ctrl]+[G] or [F5].

Use the Go To Feature Go to a specific page or section. Go to a relative destination. Tell students that the Go To command can save time while editing a Word document.

Go To a Relative Destination Go To enables users to move in increments or decrements of pages, lines, or sections. It can be used to move by a certain percentage within the document. Explain to students that they should master the Go To command because it can save a lot of time when editing a long document.

Summary Pagination is the process of flowing text from line to line and from page to page. Word creates a soft page break at the end of each page. A soft page break appears as a horizontal dotted line on the screen in Normal view. In Normal view, a hard page break appears on the screen as a dotted line with the words “Page Break.” A hard page break can be inserted by using the keyboard shortcut [Ctrl]+[Enter] or choosing Break from the Insert menu. A hard page break can be deleted by clicking the page break, and pressing [Delete] or [Backspace].
